All money from the fundraiser must be handled by the adult supervisor.

All money from the fundraiser must be turned in daily with a count of how muchmoney was raised on that day.

Turn all money into the front office and keep a record of how much you depositeach day so that we can reconcile it with the office count.

ACTIVITY APPROVAL PROCESS

In order to ensure a smooth and consistent procedure for obtaining approval/clearance for student organization fundraisers and activities, all Activity Clearance Forms must be presented at the ASB Weekly Meetings. The Weekly Meetings will be the only time that student organizations can submit Activity Clearance Forms.

  1. Each organization will present their activity to the other representatives.
  2. Any questions, concerns, and/or conflicts can be raised and addressed.
  3. All Activity Clearance Forms will be collected, signed by the ASB president, and submitted to the Administration for final approval.
  4. Upon approval/non-approval of activities by Administration, the ASB President will inform the ASB Secretary so as to update the calendar.
  5. The ASB President will then distribute the forms back to the class/organization presidents.

Rationale:

  • The process will be more organized.
  • Student representatives can gain more of an understanding of governmental/organizational procedures.
  • Support and suggestions from students/advisors can be offered.
  • Student leaders/organizations will learn to plan ahead.

ACTIVITY PLANNING GUIDELINES

  • Field trips must be related to grade-level standards and integrated into the day to day curriculum. They may also be service based.
  • School activities must promote a positive school culture and be appropriate for our students. They must also be planned with safety in mind.
  • Chaperones must be provided for field trips away from school (1 adult for every 10-15 students). Supervision must be provided for all other activities (a minimum of three adults).
  • All activities off campus require permission slips from parents.
  • Student lists must be in teachers’ boxes the day before any activity.
  • Bus requests must include time of departure and anticipated return.
  • Once the activity has been approved with the activity clearance sheet, you will be placed on the Master Calendar. Master Calendar updates will be sent out weekly to all staff members.
  • Trips/activities may be denied or adjusted for the following reasons:
  • Budgetary Concerns
  • Scheduling Conflicts
  • Unbalanced Master Calendar (too many activities)
  • Unclear instructional tie-in (field trips)
  • Other
