Aalto-KTH Visiting Faculty Accommodation Service 2017

Aalto University and Royal Institute of Technology KTH (Sweden) have decided to support research collaboration between the two institutions by offering visiting faculty free accommodation for short-term visits (1-5 nights). This service is part of the actions aiming at facilitating the cooperation between Aalto and KTH.

The service is reserved for individual Aalto Faculty members visiting KTH and KTH Faculty members visiting Aalto for research purposes. The hosting university covers accommodation costs of up to five working days per guest and maximum one visit per year per guest, subject to availability and the agreed quota limits.

Period of the service: Until further notice

Application period: 1st January - 15th June and 20th August- 15th December 2017

Quota limits: 50 nights per university per semester (total 200 nights in 2017)

Accommodation facilities:

Aalto University: Visits of 3-5 nights at Töölö Towers, shorter visits at Hotel Blu Radisson, Otaniemi or Ruoholahti (no exceptions).

KTH: Elite Hotel Arcadia or Scandic Park (no exceptions).

Rules:

·  Service is reserved for individual Faculty members (incl. PhD students) for research visit purposes.

·  Faculty members or PhD students who have employment contract/study right at both institutions do not have a right to apply for this service.

·  Maximum of 5 nights (no Friday or Saturday nights), once a year per person (visitor). Accommodation is reserved on a first come, first served basis.

·  If no accommodation is available for the requested period, the visitor is proposed to find another date for the visit or to make accommodation arrangements by his/herself.

·  Accommodation application needs to be submitted at least 2 weeks before the desired beginning day of the visit.

·  Cancellation policy: visitor is responsible for informing both the hotel/accommodation facility and the university’s accommodation coordinator about the possible cancellation according to the cancellation policy provided with the reservation confirmation. In case of “no show” the visitor is responsible of all the expenses.

Instructions on how to apply:

If you are a faculty member at KTH and you are planning to invite a colleague from Aalto University

1)  As soon as the visit has been agreed upon, you as a KTH host should send basic information on the visit (visitor’s name and position, date and purpose of the visit and the visitor’s email address) to the KTH accommodation coordinator Ms. Seija Natri (KTH, University administration, email: ).

2)  When conditions are met the KTH accommodation coordinator contacts your visitor and sends him/her link to the online accommodation application.

3)  After your visitor has submitted the online form KTH accommodation coordinator reserves accommodation, on a first come first served basis. When the reservation has been made reservation confirmation is sent to the visitor. If accommodation is not available during the suggested dates, you should change the dates or arrange the accommodation by some other means.

If you are a researcher at KTH and you are planning a visit to Aalto Univeristy

1)  Find a host, (KTH faculty member; colleague, cooperation partner etc.) for your visit at Aalto University. After agreeing together with the Aalto University host the suitable date for your visit make sure your Aalto University host provides the basic information on your visit (visitor’s name and position, date and purpose of the visit and the visitor’s email address) to the Aalto´s accommodation coordinator Ms. Leena Kangasperko (Aalto University, International relations, email:

2)  When conditions are met, the Aalto accommodation coordinator sends the link to the online application form to you.

3)  Accommodation is reserved as soon as you have submitted the form, on a first come first served basis. Visitor gets email/confirmation regarding the reservation. If there is not availability you should either change the dates or arrange and pay the accommodation yourself
