Addendum One: 10-9-2015

This addendum addresses questions raised after the initial release of the RFP to qualified vendors and provides for additional information regarding the original RFP. The vendor is responsible for insuring receipt of the addendum and/or any additional documents required to complete a comprehensive bid.

Q: Are the door locations per school accessible by ceiling tile? If not will Vendorneed to provide a conduit pathway from the nearest drop tile ceiling or will the customerprovide a contractor to install? ex: Palmetto Elementary

A:Most doors have ceiling tile within a few feet of the top of each door. Plan to have wire-mold with ceiling boots and transitions to provide a complete solution. Plan to also put in a door disconnect at the top of any doors that have a removable mullion to allow for mullion removal if needed. Palmetto Elementary front door is one exception to this as it is in a hard ceiling entry. There is existing wire mold that may have room to utilize as shown in pictures provided during pre-bid.

Q: If there is no mullion in place at the double door locations or if the mullion that isin place will not accept electronic locking hardware, will Vendorneed to cover replacement or installation of a new mullion? ex:PalmettoMiddle

A: Most doors have a mullion except for the doors at Palmetto Middle. If your solution requires a mullion then you will need to provide this. Suggestion on these doors would be to use an electric crash bar that would work without the mullion in place.

Q: If the door location is adouble door, will the customer preferboth sides of door access controlledor only the right hand side when entering the building?

A: Only the right side door will have access control at the schools.

Q: If the wall in which the door is installed in is concrete, will the customer be opposed to exposing conduit and/or weather proof boxes to protect the access control cabling?

A: Yes, conduit and weatherproof metal boxes can be used.

Q: Will the customer require a specifictype of locking hardware for the door locations (maglock, strike, electrified crashbar). If the customer has no specific locking hardware required, would the customerprefer Vendorto install surface mounted strikes on the mulliens to minimize hardware? ShouldMagnetic locks be avoidedat all costs to avoid involving a Fire Alarm contractor or impacting building egress pathways? ShouldElectronic RetractingCrashbars be avoided to minimize hardware cost per door location?

A: The only requirement will be that there are no magnetic locks as these are all exterior doors.

Q: Is there any need for ADA integration (handicap access) at any location? If so will Vendor need to provide a 3rd party contractor for any integration needs or will the customer provide their own local contractor if necessary?

A: No

Q:Will the distance from the door to the nearest data closet exceed 325ft? Is there an existing ceiling pathway between the door location and the nearest data closet.

A: Cable distances between data closets and access control doors do not exceed 325’. In some schools there are existing J hooks, cable tray, and or conduit between the data closet and doors. It is up the bidder to supply the needed material when this does not exist currently.

Q:Is there a specific type of Card reader desired for the door locations? ex: proximity only, keypad only or proximity/keypad combination?

A: Essex Weigand Keypad Stainless steel (EX–KT103SN)

Q:Is there sufficient room in the nearest Data Closet to install the necessary panels and power supplies for the Access Control of the doors. A minimum of 3ft x 4ft of clear wall space.

A: In most instances no, there is however enough room in most closets to mount a power supply for access control door hardware or rack space available.

Q:Will any exterior camerasbe mounted in a location that will not have an interior ceiling areaaccessible by passingthrough the wall ormounting surface?

A: No

Q:Will there be POE Switch Port availability in thenearest data closet?

A: Yes, all switching and port availability will be managed by the district

Q:Section 2.1.6 states to include all applicable sales tax; will this RFP not be tax exempt?

A: This RFP is not tax exempt.

Q:Ask for list of approved equivalent cable manufacturers during site walk?

A: As discussed in pre-bid there are currently several cable manufacturers in the district. There is currently AMP, Panduit, Ortronics, and Superior Essex/Leviton. The solution that you present must be of the same quality or better and hold the same or better manufacturer’s warranty as AMP. Remember as this are current manufacturers of cabling in the district there may be some availability on existing patch panels to terminate the drops.

Q:Section 7.0 defines line item for 2 techs per day as indicated on table 11.0; most of the ‘Additional Service Days’ indicated on the table are near or greater than the labor for the installation. Please clarify this requirement and/or adjust the ‘Additional Service Days’.

A: These days are in addition to the installation of associated hardware in this RFP. The district has the need to address issues with current cameras. These days will be to adjust, focus, and move cameras to maximize coverage with existing surveillance infrastructure.

Q:Section II. States there are (13) sites, while the table in section 11.0 indicates (16), will three of the sites be untouched?

A: As covered in the pre-bid meeting you are bidding 16 sites in section 11.

Q:I know you said the Access Control System you guys are runningat all sitesis cisco correct?

A: Yes

Q:If so, will there enough space for the additional doors? Modules, Blades, Boards, Nodes, etc.

A: Yes, except that you are required to provide the Cisco Access Control Gateway module.

Q:And will we be able to walk the sites prior to bidding?

A:Limited sites will be available next week for walkthrough. As most construction in the district was completed around the same time floorplans and construction materials are similar.

Q:If so who should we contact to set up a scheduled appropriate timing?

A:Yes, specifications meet requirements. Ensure that you confirm ONVIF compliance and that it will work with Cisco VSOM.

Q:In each school what percentage is drop ceiling?

A: In all schools but Wren Middle ceilings are 90% or greater drop tile. Some common areas, gyms, and hallway transitions are drywall, brick, wood, etc.. Wren Middle is drop tile but all cabling is in conduit below ceiling due to asbestos above grid.

Q: In each school what percentage is hard ceiling?

A: Refer to above

Q:Who is responsible for roof penetrations if needed?

A: Bidder

Q:RFP states that all back end programming will be by owner. Will expansion of recorders and storage be by owners as well?

A: Yes

Q:Is there a dedicated spot for the POE switches in the center of each school?

A: Yes and no. There are typically data closets on each hallway and media center. The switches are located centrally throughout the buildings to control cable length and density.

Q:Who is responsible for power at each switch and head end location?

A: District

Q:RFP mentions intercoms at doors. How many doors require intercoms?

A: As covered in the pre-bid there will be three doors requiring intercoms to a front office or receptionist. Palmetto Middle Main building to art building, Palmetto Elementary front door, and District office front door.

Q: Section 6.2 states access control keypads must be the same make and model of current. Please advise manufacturer and model number.

A:Essex Weigand Keypad Stainless steel (EX–KT103SN)

Q: Of the access control door listed, how many have existing strikes? What is the voltage on said strikes?

A: None

Q: How many doors need new vertical rod solutions? Will magnetic locks be acceptable? If so who will be responsible for fire alarm connections?

A: 2 doors have vertical rod at Palmetto Middle School. Magnetic locks will not be accepted.

Q: Are request to exit devices required at each access door?

A: Only if your solution requires them. All doors are exterior doors with crash bars.

Q: Are door position switches required at each door?

A: No

Q: Section 7.1 concerning removal and replacement of cameras. Are the existing cameras IP or analog?

A: IP

Q: Are the outside cameras requiring lightning protection?

A: Only the cameras on the roof of Wren High School as they will be the highest point on the building. Any other cameras that might require lightning protection will be up to the bidder’s discretion.

Q: Section 4.3 calls for patch panels. Who is responsible for supplying the POE switches needed for powering camera and access panels?

A: District
