WinCapWEB Site Setup and User Security
System Setup (mywincap /mysite/site setup) within WinCapWEB is where custom headers and scheduled email reminders may be established. There are three custom headers available for setup for payroll vouchers: instructions, tax election, and mass add instructions. These custom headers are not required but will display at the top of the applicable forms for all users with access. The scheduled email reminders may be established to send a payroll voucher approval reminder to approvers/supervisors each day at a specified time if there are payroll vouchers requiring their approval. Please reference the below instructions on editing system setup in regards to the payroll voucher related items and assigning the proper WinCapWEB security permissions to employees, supervisors and admin users for payroll vouchers.
Select “Site Setup” from the myWinCap/mySite menu:
The “System Setup” options will display. In order to edit the custom headers or scheduled email options, select “edit settings”:
In order to update the custom headers for Payroll Vouchers select the “Payroll Vouchers” tab and the three applicable payroll vouchers tabs will display: Instructions, Tax Election, and Mass Add Instructions. Select the tab that should be edited and then select the “edit” button on the tab:
The custom header text box will appear where the desired text may be input. The text may be formatted and when completed select “ok.” System Setup will still be in edit mode. If additional tabs should be edited, move to the next tab and edit. If this is the only change, select “update” at the bottom of the system setup form.
In order to add a scheduled email for payroll voucher approval reminders select the “scheduled email” tab under the WinCapWEB tab of system settings. Select the green plus sign to add a scheduled email. Select the email type of “Payroll Voucher Approval Reminder Email” and then specify the desired time and occurrence for the reminder to be sent out. When complete, select “update.”
Employees, Supervisors and Administrators will require proper WinCapWEB security in order to submit and manage payroll vouchers. The applicable permissions maybe be setup in a User Security Template and assigned by position or they may be assigned individually to users (Please reference the WinCapWEB user profile documentation for instructions on setting up user security templates and/or updating user profiles). Below outlines the required permissions for users:
In order for employees to be able to add, edit and/or view their own payroll vouchers they will require security under the payroll vouchers/basic tab of the WinCapWEB user profile (mywincap/mysite/user profiles). The “My Payroll Vouchers” pertains to those security permissions an employee can perform for their own payroll voucher claims on WinCapWEB.
The Payroll Vouchers/Admin tab of the WinCapWEB user profile pertains to supervisor and/or Admin security permissions. The first section “Payroll Vouchers” will give a supervisor/ approver access to add, edit and/or view payroll vouchers on behalf of their employees. The “My Payroll Vouchers Approvals” section pertains to the security related to the approval process and the management of employee payroll voucher claims on WinCapWEB. The “Manage” permission will give the supervisor/approver access to approve, disapprove, and/or cancel payroll vouchers.
The “Pay Authorization Instructions” security permissions under the payroll vouchers/admin tab of the WinCapWEB User Profile will give users access to the pay authorization instructions that are created and displayed for particular position or adjustment codes. If a user will be responsible for creating and maintaining the pay authorization instructions, they will require add, delete, edit and view access to the pay authorization instructions.
