What a Difference imagine makes!
Members of the Centers of Excellence (CoE) encountered more positive results as work on the imagine Project continued.Here is some of what they had to say:
Lois notes that there has been good feedback in her county. She is feeling recharged and ready to go.
Misty reports that they are now starting to see some data come in from counties using the data collection tools.
Alessa says that she feels recharged, that her positive juices are flowing and that she is refocused on imagine.
Molly says she has heard great stories shared at county buddy meetings.
Becky says that people were excited to see the new IS system and that there was positive feedback.
Dee tells of how a Service Coordinator had supported someone for 15 years but just found out through imagine discovery that this person had song lyrics that they wanted to put to music.
/ .... / Update from the Region V County Collaborative

There is great excitement about the sense of community that is being created through the Region V County Collaborative (RVCC) and its vision for collaboration!
This vision of voluntary regional collaboration through the sharing of resources and business processes will result in better outcomes for the people we support and increased efficiency and effectiveness of the county boards. It also promises to maintain each county board’s unique identity.
The RVCC’s imagine Project has tackled key processes and organizational structures that kept us from focusing on the people we support and what they truly want in their lives. Their voices are now being heard as well as the voices of the people who do the work. The new processes make sense and the work is aligned with what people have told us they want.
Regional sharing of resources maximizes the ability of county boards to offer or locate an assortment of supports they might have overlooked or otherwise been unable to provide. Taxpayers and citizens expect this type of financial stewardship. The model for organizational improvement for this change is the National Baldrige Criteria for Performance Excellence (http://www.nist.gov/baldrige).
The Centers of Excellence (CoE) were designed by the RVCC to make sure key processes are continuously improved and changes to the information system managed. The CoEs are staffed by the people who do the work and they are the drivers behind needed changes. The Mid-East Ohio Regional Council (MEORC) provides assistance for the processes and data analysis. The CoEs consider feedback from people supported, their families, Service and Support Administrators, and providers.
All 18 counties in Region V are represented in the imagine Project and work together in the Centers of Excellence. This means both large and small counties have a say in the process design and improvement.
Discovery Centers of Excellence (CoE) Update

Activities Accomplished
The PowerPoint presentation “Review of Purpose of CoE” was reviewed and discussed by the Discovery CoE members this past month.
Activities in Progress
Sub-groups related to the Discovery process being used with children, as well as communicating with people supported and their family members have been formed as a result of reviewed data.
Planning CoE

Activities Accomplished
Document managers were identified and plans made for document management in each county. The team also reviewed the CoE purpose and established expectations moving forward. It was noted that meetings are more productive because data is now available for review.
Activities in Progress
The team is collecting examples of outcomes in Adult Foster Care, Shared Setting and 24-Hour Total Care. These examples will be presented to the Core CoE by the end of September.
The Process Map is being revised to clearly show how Planning and Resource Management are joined. This map will be available for review in September.
Listening & Learning CoE

Activities Accomplished
The Listening and Learning Center of Excellence (CoE) continued its forward progress in August. The CoE reviewed and updated its tasks and reviewed all nine of the Listening and Learning process maps. The team also reviewed a presentation around the use of data. A CoE uses data for its recommendations so good data is essential for good recommendations. Listening and Learning has very limited data available from the manual pilot at the present time. We ask that county board staff who are trying the new processes please forward feedback to the Survey Monkey link.
The team also participated in a discussion about outcome measures in the Individual Support Plans and reviewed recommendations from the design team. Results of the Outcome Measurement discussion were forwarded to the Core CoE for its consideration.
Activities in Progress
The following will take place as the Listening and Learning team moves forward:
·  A sub group will be reviewing requests and potentially making a recommendation to the Core CoE regarding a feedback link for providers. This link may be connected with Provider training, Buddy County Meetings, Service and Support Administrators, etc.
·  The team will review the Process Maps to see if they can be condensed into fewer maps.
Introduction & Eligibility CoE

Activities Completed
The responsibilities of the CoEs and the importance of using data for decision-making were discussed by the Introduction and Eligibility CoE. A report on the county buddy meeting process in the counties was also shared. This seems to be a good opportunity for people to work together and exchange information.
Activities in Progress
The pilot for the Level of Care tool has been extended into August because it has been difficult to get physicians to complete/review the clinician’s verification form. Lori Horvath from DODD addressed the question regarding the new tool “feeding” into the Discovery process. It will not feed into it, but will provide information for the Discovery process.
Comments regarding the initial contact form are being reviewed and this document will be finalized at the next meeting.
Program Oversight Update

Activities Completed
The Program Oversight Team focused on the plan and options for the roll-out of the imagine Information System (IS) when the team met on August 13th at the Licking County Board office in Newark. The IS will be tested by the Alpha Team and User Acceptance Testing. The team expects some system and operational issues to come up after it is put into use. That is why the roll-out will start small so the system can be fine-tuned before it is widely implemented. More details about the roll-out plan will be announced soon.

The Program Oversight Team conducted a phone meeting on August 28th. Its next face-to-face meeting will take place September 11th.
Person Centered Thinking Coaches

Activities Completed
The 75 “freshman” coaches attended the first of five sessions in July. The “sophomore” coaches met with Bob Sattler from SDA on August 5th and talked about how to support the new coaches and be a change target. A discussion about outcomes and gaining momentum was also held.

Information Technology Update

Activities Completed
The Information Technology (IT) Development team showcased the imagine IT development effort with the Service and Support Administrators (SSA) at another SSA/Alpha day in late July. IT Development continues to prepare for Alpha, planned in early September with select teams.
Design and development of some finance components continue, including Local Services, Rates and Approvals. The team also gathered logos from every Region V county that will be placed on associated imagine reports.

Final preparations for Alpha continued as the team made itself ready for the Show and Tell in Reynoldsburg on August 26th.
