Position Description
Financial Assistant
I. Title: Financial Assistant
II. Purpose/Scope of Position: The Financial Assistant provides and oversees financial support services to the Presbytery and serves as a member of the staff team.
III. Qualifications/Expectations: The individual must be trained and experienced in accounting, financial and data management in an electronic environment. The position requires independent judgment in accomplishing responsibilities, exercise of good judgment, discretion and confidentiality. The Financial Assistant is expected to be a self-motivated, independent and efficient worker providing high quality and accurate services, while addressing multiple tasks simultaneously. Public relations, hospitality, and communication skills, verbal and written, are critical. A cooperative, flexible attitude is important with a willingness to be an energetic team member.
Associate Degree in Accounting or the equivalent is required. One to three years of experience is required for a person beginning in this position. Specific qualifications are:
· Experienced in accrual accounting, financial and data management in a non-profit setting.
· Ability to communicate effectively, verbally, electronically and in writing.
IV. Responsibilities
A. Maintain chart of accounts, record of receipts, remittance reports, and record of all loans.
B. Process reimbursements for staff travel, study leave and medical expenses.
C. Process accounts payable and accounts receivable.
D. Process monthly journal entries including reconciling general ledger to bank statement.
E. Track and allocate interest income, depreciation, and assets.
F. Generate financial reports as requested and required.
G. Communicate with churches regarding quarterly statements, making necessary adjustments and answering accounting questions.
H. Plan, coordinate, maintain and provide information for annual audit.
I. Monitor money market/checking account fund level and consult with the Stated Clerk/Treasurer as appropriate.
J. Process and track congregational grants from the Presbytery and Presbytery support loans from the Synod and General Assembly according to policies.
K. Participate in preparation of the Presbytery budget as needed.
L. Perform other administrative office duties as requested or assigned, including backing up Administrative Assistant as needed.
M. Other duties as assigned by the Executive Presbyter.
N. Assist Stated Clerk/Treasurer in preparation and distribution of Per Capita and Basic Mission letters and forms to clerks of PSV congregations.
O. Maintain asset keeper software for the fixed asset management system.
P. Maintain church windows accounting system.
Q. Prepare and reconcile annual Form 1099/1096.
R. Assist the Treasurer with regulatory duties surrounding Payroll.
V. Relationships: The Financial Assistant is a member of the staff team, which includes the Executive Presbyter, the Administrative Assistant, the Stated Clerk and the Treasurer.
VI. Accountability: The Financial Assistant is accountable to the Executive Presbyter.
VII. Evaluation: A review is written and given by the Executive Presbyter.
VIII. Employee Type: This is a non-exempt, part-time position, estimated 16 hours per week. The presbytery staff benefits are not available to part-time contract personnel.
IX. Term: This part-time position is for 1 year with an acceptable review after 3 months. The position is renewable and can be terminated by either party with a two (2) week notice.
