MINUTES OF PRE-BID CONFERENCE

The Pre-bid Conference for the Procurement of Service Vehicles for City Health Office, CSWD Office, City Veterinary Office and City Treasury Office use, held at BAC Office, El Salvador City, was called to order at 3:00 P.M. of September 26, 2016, and was presided by the BAC Chairman, Engr. Mauricio L. Tomarong.
1. Business Matters:
· Engr. Tomarong introduced the members of the BAC as well as the attending prospective bidder.
· He then presented the technical and financial components of the bid and explained the different documents to be submitted by each bidder. Pass/fail criteria will be used in the preliminary examination of bid to determine each bidder’s compliance with the document required to be submitted for eligibility and technical requirements. If ever there will be a failure on bidding, the BAC will re-bid and adjust on the quantity in consonant with the ABC. The bidder should also pay the amount of ₱ 5,000.00 for bidding documents. (3 units L-300 and 1 unit adventure)
· The marking and sealing of bids is strictly imposed for fast and easy checking of the documents.
· ABC for 4 vehicles is ₱ 3,700,000.00 with the following specifications:
a. Engine – diesel, Euro 2 compliant, 5 speed manual
b. Tire – 4 wheeler (brand new tires) with 1 brand new spare tire, tools required (i.e. hydraulic jack, tee wrench, etc.)
c. Free LTO registration and TPL insurance, FOB El Salvador City.
d. Warranty Certificates of each vehicle is required.
· For Adventure unit, the ICO-City Treasurer, Ms. Elisa R. Tan chose "Red" color of the unit. She also emphasized the deduction of business tax on the payment.
· Provision of EWD and seat cover was also added.
· Engr. Tomarong reminded the attending prospective bidders that the BAC will open the bid with the presence of the bidder’s representative.
· Bid opening is scheduled on October 14, 2016 at 2:00 p.m.
There being no other remaining topics for discussion, the Pre-bid Conference adjourned at 4:40 P.M.
