Position/ Title: Sr. Event Registration Coordinator

Reports to: Manager/Senior Manager, Event Registration

Status: Salaried/Exempt

EDUCATION and/or EXPERIENCE

Bachelor's Degree (B.A.) from four-year college or university, or 2-4 years related experience and/or training; or equivalent combination of education and experience.

Two years of project management, event coordination, hospitality experience, or any combination of the three with any related field is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

· Performs data analysis using advanced Excel skills to create reports of high-volume attendee metrics.

· Ensures seamless coordination with internal and external event team by providing written, verbal and graphical status reports.

· Speaks in client meetings.

· Maintains a familiarity with department resources (e.g., Eventcore, ECP, Brick FTP, RegOnline, SharePoint, other general resources) and CRG’s operating procedures and websites.

· Understands registration websites and reports; tests websites.

· Monitors event email, voice mail and phone lines on a daily basis.

· Provides attendee support and demonstrates exemplary customer service.

· Thoroughly completes all projects within hourly goal and budgetary requirements by identifying and utilizing the most efficient methods to execute projects and tasks.

· Leads and trains Customer Service Reps., Coordinators, and Registration Assistants within event teams.

· Attends weekly staff and department meetings and training sessions as needed.

Registration

This position is responsible for assisting and executing tasks related to event registration. This includes working with event teams to manage registration methods (including online, pre-event and on-site registration), actively participating in the attendee registration process, working with multiple vendors, and working directly with clients under supervision by the event Registration Lead or Supervisor.

· Ensures that the most effective registration processes and documents are used for each project/client.

· Supports lead with registration website build.

· Manages reporting through registration database and advanced analysis in Excel.

· Troubleshoots attendee registration issues pre-event, onsite, and post-event.

· Onsite: Assists with onsite set up, tear down, and check-in at various sized events as a Registration Second.

· Onsite: May manage onsite with assistance from an onsite supervisor.

· Onsite: Escalation point for Registration staff regarding attendee issues.

· Onsite: Prepares and conducts temp staff training.

SUPERVISORY RESPONSIBILITIES

This position has supervisory responsibilities as required by the event or project. This position may mentor and supervise temporary employees and/or manage event registration teams.

OTHER SKILLS/ABILITIES

Word processing and spreadsheet experience required (MS Word and Excel preferred). Demonstrated ability to do the following is required:

· Successfully perform in high stress, fast-paced environment.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from a group of managers, clients, customers, and the general public. Ability to interact on a one-to-one and group basis.

MATHEMATICAL SKILLS

Ability to apply concepts of basic algebra and geometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to create, monitor, and understand budgets, debits, credits etc.

REASONING SKILLS

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

This position requires frequent sitting, standing, walking, talking and hearing. This position requires using hands to finger, handle or feel, and occasionally climbing or balancing, stooping, kneeling, crouching or crawling, and reaching with hands and arms.

During actual events, this position may require long work hours and long periods of time walking or standing.

WORK ENVIRONMENT

The work environment for this position is generally within an office environment, either at the CRG office, client office or vendor office. The noise levels at these locations are typically moderate. During events, this position may be required to be outside or in non-office environments. The noise levels during events may be loud. Working hours can be long and irregular, with coordinators working more than 40 hours per week in the time leading up to a meeting and fewer hours post-show. Onsite, hours typically range from 10-12 hours per day and this position may be required to work some weekends depending on the event.

TRAVEL REQUIRED

This position is often required to travel in order to attend events. Air travel and overnight stays are required.

This position is regularly required to initiate meetings with the clients at the discretion of the individual in this position.
