Job Title: Administrative Assistant

Job Summary:

The Administrative Assistant, under direction of the Program Director, provides high-level administrative support to the Work Services (WS) program by conducting research, preparing statistical reports, handling information requests, and performing clerical functions as needed.

Major Duties:

1. Implement principles of welfare reform and the work first philosophy.

2. Maintains Work Services Assurances manuals

3. Ensure Memoranda of Understandings are updated and applicable to service needs of WS clients

4. Maintain individual training records for Work Services staff

5. Coordinate files transition to and from DPA’s Quality Integrity team

6. Review and compile client mediations

7. Track completion of monthly management reviews

8. Compose, type, and distribute meeting notes, routine correspondence, and reports

9. Prepare reports, emails, and other documents

10. Maintain calendar of WS activities

11. Assume an active role in weekly program staff meetings and other meetings as required.

12. Work with other Nine Star Work Services staff to collaborate and meet the needs of all clients.

13. Attend client work site and home visits with staff as necessary.

14. Other duties as assigned.

Qualifications for the Job:

1. Possess a college diploma in business or other related field (experience may be substituted)

2. Proficient in management of database systems to include File Maker Pro

3. Possesses knowledge in the use Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Internet computer application programs.

4. Demonstrate ability to apply conflict resolution skills

5. Adept at working independently as well as with team members

6. Demonstrate effective oral and written communication skills

7. Able to organize and prioritize a variety of task, work with minimal supervision and exercise time management skills

8. Able to coordinate multiple tasks and follow-up in spite of frequent interruptions

9. Maintain a professional attitude with enthusiasm and dependability

10. Willing to take on new tasks with an eagerness to learn new skills.
