Launch Event recommendation

Summary: OPLCTA’s direction to Kathy and Steve was understood to provide recommended course of actions for fall 2009 Membership Launch.

Recommended course of action is to produce and distribute both print and e-blast marketing campaign to potential membership. Follow-up with personal contacts by OPLCTA “Ambassadors”, equipped with print and web collaterals which articulate the mission, vision, and return on investment value for OPLCTA members.

Optimal timeframe for campaign is seen as September – October with early November as the end date.

Suggested primary launch scenario:

· 1st of October canvas mailing to potential membership database;

· 1st of October press release distribution;

· followed by a 7th & 12th of October e-blast of message;

· culminated with a October 14th of October presentation at the The Olympic Peninsula Tourism Summit, sponsored by the Olympic Peninsula Tourism (booth, presentation, take-away materials, ‘farmers-table’ lunch);

· follow-up visits “Ambassador” through the balance of October.

· Assessment and evaluation in December.

Secondary launch scenario = primary launch plus:

Satellite / hybrid support events focused on generating initial OPLCTA awareness at the following existing regional events:

· August 15 - booth for the Olympic Culinary Loop at Salmon Fest, which will take place at the Little Creek Casino Resort

· August 30 – booth and/or table-tents at the Jefferson County Farmers Market Assoc. Harvest Dinner, which will take place at Fort Worden Commons c/o Bon Appétit

· September 11-13, booth Annual Wooden Boat Festival, Port Townsend

· October 3 – booth Mason County’s Oysterfest, location TBD.

· October 10-11, booth Dungeness Crab & Seafood Festival, Port Angeles Waterfront

· Fall (date ? + product?) for the Grays Harbor County Farm City Dinner - Grays Harbor County Harvest Celebration, location TBD;

· November 7 – table tents? for the Port Angeles Harvest Winemaker Dinner, hosted by Olympic Cellars at Joy's Wine Bistro

(Note: the ROI from these support events is directly linked to Weakness and Threats regarding ready access to lots and lots of mature, first rate product within next 15 – 30 days!!)

Steve and Kathy engaged in a modified SWOT analysis of above launch proposal. Some findings include:

Strengths:

· Cost effective when compared to developing, staffing, and funding booths, gatherings, or like events.

· Scalable in that we can quickly deploy campaign, and then individually personalize follow-up

· Growers & producers along with hoteliers and restaurateurs are in their respective: fields, tidelands, wineries, properties or kitchens. They’re not alongside the public at “Taste-centric” events or festivals. The campaign approaches them with a business proposal at their place of business, via the communications mode they’re most accustom to.

Opportunities:

· September-October campaign window should parallel with best, post season, cash flow from growers, lodging and restaurants. (Liberally utilizing farming metaphors:)

· The target dates offer a “Fertile season” for launch event in September, October, not later than first of November.

· Goal: To plant incentivized “seeds” within potential membership base, encouraging them to sow a partnership with OPLCTA for the future harvest of a deliverables envisioned by OPLCTA.

Weakness and Threats

· Don’t yet have mature product, (e.g. logo, website, events, actively touring, dining, lodging foodie public), to prove our case for membership in OPLCTA.

· Rather – in a chicken-or-egg reality we’re asking industry growers and producers to become OPLCTA members on faith that the eventual “harvest” will be a bountiful return on their investment.)

To Do’s:

· Develop potential membership data base – mash-up draft attached as “contacts”

· Develop messaging;

· Deploy message via: Direct mail, e-mail, press releases, four county Chambers and Farmers Market Associations;

· Develop talking points and tool kit for Olympic Peninsula Tourism Summit presentation as well as personal follow-up contacts made by “Ambassadors”

o Will OPLCTA board become “Ambassadors” in whole or part? Otherwise need to identify and recruit “Ambassadors”

· Back all this up with robust and mature: logo, web-site, collaterals, and calendar for Q4’09 and Q1&2 ’10 culinary products.
