HS2 Ltd Hackathon Terms and Conditions

The Transport Systems Catapult’s (“TSC”) Hs2 Hackathon (“the Event”) is being held on the 8th & 9th of December, 2017 (“the Event”) with a showcase event in Jan 2018, date TBC (“the Showcase”). The Event and Showcase may be sponsored by other organizations (the “Partners”)

The following are the terms upon which Entrants or (“You”) may participate in the Event. You are required to read these terms prior to the first (1st) day of the Event. On the first (1st) day of the Event You will be required to sign in and by doing so it will be deemed that You have read and accepted the terms in full.

1. Eligibility

1.1 To participate in this Event, You must:

(a) be over eighteen (18) years of age;

(b) not be employed by a company involved in open tenders for HS2 contracts;

(c) complete the registration form;

(d) accept these terms of participation; and

(e) attend, sign in and participate in the Event on 8th & 9th of December, 2017.

N.B.

If you are unsure whether point (b) above applies to You, please proceed with registration and a member of the TSC staff will contact you, should you not be eligible for participation.

2. Entry and Participation

2.1 To apply for participation in the Event, You are required to book an Eventbrite ticket via the website (hs2hackathon.eventbrite.co.uk). Assuming tickets are still available, the application process will remain open until 7 December, 2017. The maximum number of Entrants is One Hundred and Fifty (150) and once this number is reached, registration will be deemed closed.

2.2 On the morning of the first (1st) day of the Event, applicants will be encouraged to form teams with a maximum of five (5) members. Applicants may also come with a pre-formed team, consisting of a maximum of five (5) team members. All members of pre-formed teams must register individually for the Event.

3. Jury and Assessment Procedures

3.1 The members of the judging panels for the Event (“the Event Judges”) and the Showcase (“the Showcase Judges”) details of which will be announced in due course.

3.2 All teams will demonstrate their solutions in front of the Event Judges on 9 December, 2017, and the top three (3) teams will be selected and announced on the same day.

3.3 Teams will be selected by the Event Judges, based on criteria that will be released before the Event.:

3.4 The top three (3) teams will be given the opportunity to further develop their solutions and provide a demonstration to the Showcase Judges, at the Showcase.

3.5 Following the demonstrations at the Showcase, the 1st, 2nd and 3rd placed teams will be selected (based on the same criteria used at the Event) and announced.

3.6 The decision of the Judges is final and no correspondence or discussion will be entered into, in relation to any decision.

4. Prizes

4.1 The prize on offer for the winning team is the opportunity to develop their idea with Hs2

4.2 More prizes may be provided by additional Partners supporting the Event and these will be announced in due course.

5. Code of Conduct

5.1 You agree to observe and comply with the following standards of conduct in respect of conduct at the Event.

5.2 We encourage the use of social media or any other online media before, during and after the Event. However, if You post on any social media or other online media, You agree that You will be respectful towards other Entrants, TSC employees/organisers and Partners with any content You post. Photography is encouraged but other Entrants must be given a reasonable chance to refuse being photographed. If they object to being photographed, You must comply with their request. It is inappropriate to take photographs in contexts where people have a reasonable expectation of privacy e.g. in bathrooms or where Entrants are sleeping.

5.3 We expect all TSC employees/organisers, Entrants, Partners and anyone else involved in the Event to help make the Event a place that welcomes and respects all Entrants, regardless of race, gender, age, sexual orientation, disability, physical appearance, national origin, ethnicity or religion. If You are being harassed, notice that someone else is being harassed, or have any other concerns, please contact a TSC employee/organiser immediately.

5.4 Entrants will be removed from the Event at any time and for any reason including but not limited to the following:

(a) Harassing behaviour;

(b) Providing incorrect or false information in any aspect of their entry or at any time during the entry process for the Event;

(c) Use or possession of illegal substances;

(d) Illegal use or possession of alcohol;

(e) Any acts of (i) violence whether verbal or physical; (ii) vandalism; or (iii) disorderly conduct;

(f) Any failure to abide by any rules, particularly in relation to health and safety provided to Entrants at the Event; and

(g) Posting social media or other online media content which is harmful to other Entrants taking part in the Event or the reputation of the Event, TSC employees/organisers and the Partners.

6. Health and Safety

6.1 You agree to comply with any instructions given by TSC employees/organisers of the Event including information and instructions relating to your use of any equipment provided by TSC during the Event.

6.2 As your participation in the Event is likely to involve extended periods without sleep, You understand that there is an increased risk of a health and safety incident or accident occurring and therefore it is imperative that You comply with all health and safety instructions at all times.

7. Disclaimer/Limitation of Liability

7.1 In respect of travel to the Hackathon Venue (170 The Pinnacle, Midsummer Boulevard, Milton Keynes MK9 1BP) and all activities participated in throughout the Event, TSC is not liable for (a) death or personal injury suffered by You; or (b) any theft, damage, destruction or loss to any property belonging to You; or (c) any losses, claims, demands, actions, proceedings, damages, costs or expenses or other liability incurred by You related to the Event.

7.2 By attending and participating in the Event, You agree to accept all responsibility for any of your acts or omissions during the Event.

8. IPR Ownership

8.1 You will own all intellectual property (“IP”) that You create during the Event either solely or jointly with other members of your team depending on how the IP was created and the input of each individual team member. Ownership is subject to any rights to IP that You may have granted to your employer (if applicable). In the case of any jointly owned IP from the Event, You agree that any joint owner can exploit that IP without your consent but subject to fair compensation for any commercial use of that IP.

8.2 In exchange for your participation in the event at TSC’s cost, You grant: (a) TSC a non-commercial licence to use the IP created by You at the Event, to disseminate information about the Event and to write any reports related to the outcomes of the Event; and (b) the Partners a no cost, royalty free, non-exclusive licence to use the IP created by You at the Event, solely for non-commercial purposes.

8.3 TSC is required to report on the impact which it makes. In exchange for your participation in the event at TSC’s cost, You agree to let TSC know if an idea which You and your team develop as part of the Event progresses into a business.

8.4 During or after the Event, TSC may discuss further collaboration projects or other steps including liaison with other teams or Entrants in relation to IP generated by You during the Event. You may wish to collaborate or take other steps, but You are not obliged to do so.

9. Personal Data and Publicity

9.1 By entering the Event, You agree that all personal information You provide may be held and used only by the TSC or the Partners, agents and suppliers to administer the Event including but not limited to the following:

(a) Registration at the Event;

(b) Management and running of the Event;

(c) Advertising/Marketing for the Event and Advertising/Marketing for future hackathon opportunities;

9.2 If You are a winner at the Event, You agree that TSC may use your name, image and town, county of residence or country of residence to announce the winner of the Event.

9.3 You further agree to participate in any reasonable publicity required by TSC.

10. General

10.1 By signing in and participating in this Event, You are agreeing to comply with these terms and conditions.

10.2 By participating in this Event, You accept the right of TSC, by any format or means, including but not limited to written, audiovisual and electronic, to use the name and any image of the Entrant obtained during the Event for the purpose of the communication and dissemination of the Event.

10.3 TSC reserves the right to modify or extend these terms and conditions at any time without notice and therefore Entrants are advised check the website for any updates prior to the day of the Event. If there is any reason to believe that there has been a breach of these terms and conditions, TSC may at its sole discretion reserve the right to exclude You from participating in the Event.

10.4 TSC reserves the right to hold void, suspend or cancel the Event at any time where it becomes necessary to do so. TSC will notify Entrants by email as soon as possible in the event of any suspension or cancellation of the Event.

10.5 These terms and conditions shall be governed by English law and TSC and You agree to submit any claim or dispute (including non-contractual claims and disputes) exclusively to the courts of England.
