Dear Graduates and Parents:

Congratulations! You’re officially invited to a once in a lifetime event! GFWC Junior Woman’s Club of Elkins has spent months planning an all-night, fun-filled, free party for the EHS Graduating Senior Class of 2017. The First United Methodist Church will be hosting the graduation celebration on Friday, May 26th from 9:00 p.m. to 6:00 am in their gym. We invite you to experience the best-kept secret in Randolph County.

It is our hope that this party will serve as a positive alternative to the traditional alcohol-oriented celebrations. The primary purpose of this drug and alcohol-free party is to prevent circumstances that could threaten the bright future of our graduates on their special day. Graduates are asked to sign an agreement not to use alcohol or other drugs before or during the celebration. We hope that you will encourage your senior to attend this event and entrust us with their safety.

• Project Safe Graduation offers a wide variety of activities and terrific prizes. Some of the evening activities will include: karaoke, dancing to DJ Ron Gooden from WV Cool Tunes, casino games provided by Elkins Kiwanis, a tattoo parlor (removable, of course!), arcade games provided by J Rod’s Vending, a photo booth, prizes and silent auction and a grand prize given by Performance Chevrolet for an enjoyable evening of fun!

• The food committee will provide a variety of “FREE” food. The menu will be pizza, pepperoni rolls, chips & dip, relish trays, desserts, breakfast and much more. Soda, juice, and water to keep you up all night.

• Upon arrival you will be required to check-in at the registration table and you must check-out at the same table in order to receive your free souvenir from Project Safe Graduation!

• Upon registration, you will receive a container of poker chips which can be used for the casino games and silent auction items. The silent auction will be set up for bids until 1am, at which time the bid sheets will be pulled and calculated. The prizes will be awarded 4:00 - 5:30am. The grand prize will be given after the 5:30am breakfast and ONLY those seniors staying all night are eligible to win.

• There will also be a special cash prize drawing for one lucky senior who participated in the fundraising event in December for Project Safe Graduation. Only qualified seniors will be included in this cash prize drawing.

• Chaperones from the community and junior class parents will be working in shifts all night. If you know of a friend who would like to chaperone, call Angie Goff at (304)636-5626 and she can advise them of times available to work. During the week prior to May 26th , chaperones will be contacted to confirm time and location. All chaperones must be 21 years of age or older and are to check in at the Registration Table upon arrival at the First United Methodist Church gym to receive a name tag and work assignment. The GFWC Junior Woman’s Club of Elkins will not be held accountable for any accidents that may occur to chaperones or students!

As a safety precaution, Project Safe Graduation is a lock-down and it is now required that the seniors and guests be pre-registered due to insurance reasons. If we do not have your seniors registration form by the deadline, they will not be permitted into the party. Use the enclosed form and follow instructions carefully. Students may leave at anytime during the evening with written permission on the registration form and we will call the parents to verify that it is okay that their child leaves. If your child has turned in a registration form to attend the party and does not show, we will call to confirm that you know where your child is.

• We encourage parents not to let seniors drive who will be staying all night, to avoid potential accidents due to lack of sleep. If students do drive, we are asking that they park in the parking lot across from the First United Methodist Church, behind Citizens National Bank.

• We have tried to provide the most fun-filled, safe evening for the graduates. Please encourage your son or daughter to join us in this celebration on this momentous day in their life.

RULES

1. Time for Project Safe Graduation: Doors will open at 9:00p.m. Positively NO admittance after 10:30p.m. Closing will be at 6:00 a.m. Parents will be called if your child registered for the party and did not show.

2. Attendance is limited to EHS seniors and one guest. A graduating senior is anyone who is allowed to participate in the graduation ceremony at Elkins High School. Only graduating seniors will be eligible for the prizes and car.

3. If it is determined by a chaperone on duty that a student is under the influence of alcohol or drugs, the student will not be admitted to the party. A chaperone will call your parents to come and pick you up.

4. The chaperones on duty reserve the right to inspect any packages brought in by students. If anyone tries to bring drugs, alcohol, or weapons to the party, we will contact their parents and/or proper authorities and the parents will have to make arrangements for the student to leave immediately. If this is not an option the authorities will be asked to do so.

5. We will not be responsible for valuables. Food, drinks and fun are provided all night long so students are encouraged to leave all personal belongings at home or in their car. Due to limited space and to ensure everyone has a safe and fun party, students will not be permitted to bring backpacks, duffle bags, totes, purses or the like into the party. Also the chaperones have the right to inspect all coats and/or sweatshirts/hoodies at the coat check during registration (this is for everyone’s protection to make sure nothing is being snuck into the party that is not supposed to be there). If a student inadvertently brings such an article with them, he/she will be required to check their bag at their own risk.

6. Once a student leaves the party, he/she will NOT be allowed to return. “Once you’re in, you’re in. Once you’re out, you’re out!”.

7. No misconduct or bullying on the part of the students will be tolerated, whether it be towards another student or a chaperone.

8. If a student does not want to stay all night, then the parent MUST indicate on the registration form the time the student will be leaving. Parents will be

called before the child leaves to verify that it is okay to leave.

9. If a student has a medical condition which requires medication the student and his/her parent will be required to make prior arrangements with the Committee Chair for the parent to bring the students medication at a pre-arranged time. The members of GFWC Junior Woman’s Club of Elkins are not qualified to store and/or administer prescription or over-the-counter medication.

Parents will be notified if:

A. The student does not check in by 10:30 p.m.

B. The student decides to leave before 6:00 a.m. regardless whether the registration form is signed. This is done for safety purposes. There will be NO EXPECTIONS to this rule.

C. If a student has permission to leave but decides to stay, they will be encouraged to call unless otherwise stated on the form.
