SuccessFactors Recruiting: Basic Settings

1  Purpose

This document describes the set up steps necessary to prepare a SuccessFactors instance for Recruiting configuration.

1.1  Using the Configuration Guide

This document is set up to support SAP Talent Hybrid customers who are implementing SuccessFactors Recruiting Management Solution.

Please note the configurations included in this guide are based on the US country version. To include other country requirements the country specific configurations will need to be added.

2  Prerequisites

Before you start installing this scenario, you must install the prerequisite building blocks. For more information, see the Building Block Prerequisites Matrix for this Packaged Solution. You will find this document in the content library, attached to the Step-by-Step Guide.

Further in order to complete this CFG ensure all the activities in the Quick Guide have been completed.

It is important to note that in order to perform some of the steps within this guide, the implementer is required to have completed the SuccessFactors Intro to Mastery and the SuccessFactors Recruiting Management Mastery training. Thus, this documentation is written with an assumption that its audience is familiar with the SucessFactors Recruiting Management solution. Additionally, the consultant must also have access to the Provisioning environment for the customer. Follow the procedures from SucessFactors in order to obtain provisioning access to the Customer’s system according to the Partner Portal site

3  Recruiting Instance Setup in SuccessFactors

Use

This section describes the set up steps necessary to enable Recruiting settings in SuccessFactors.

3.1  Prerequisite To Performing These Tasks

Additionally, the consultant must also have access to the Provisioning environment for the customer. Follow the procedures you learned from Introduction to Mastery and Recruiting Mastery training in order to obtain provisioning access to the Customer’s system.

3.2  General Settings in Provisioning

Use

Make the following settings to enable Platform settings applicable to Recruiting Management.

Procedure

1.  In provisioning, go to Company Settings and enable the following settings:

a.  Performance Appraisal Smart Form

b.  Writing Assistant

c.  Competency Library Management Suite

i.  After enabling Competency Library, scroll to the bottom of the Company Settings page to “The company is allowed to add new competencies” and from the “add Source Library” field, choose SuccessFactors from the drop down menu. Save this setting by selecting the ‘add’ button.

d.  Workflow

e.  Legal Scan

f.  Spell Check

g.  Live Profile

h.  Language Packs

i.  Select checkbox for English US (English US)

i.  Managing Documents

j.  Matrix Grid Report (9-Box)

2.  In provisioning, go to Company Settings and disable the following settings:

a.  Advanced Objective Management

b.  BI Publisher Scorecard Integration

c.  Enable Multiple Files in Batch publish

d.  BI Publisher Export Scorecard XML

e.  Export Scorecard XML With Additional Information

f.  Dynamic Groups (deprecated)

3.  Save Feature to save the settings for that section.

3.3  Recruiting Settings In Provisioning

Use

Make the following settings to enable Recruiting in the instance.

Procedure

1.  In provisioning, go to Company Settings > Recruiting and enable the following settings:

a.  Use email as external applicant userId

b.  Enable Job Board Posting

c.  Enable Mass Copy Job Requisitions

d.  Enable Applicant view as a dialog box

e.  Enable Candidate Search OFCCP compliance warning and auditing

f.  Enable Radial Candidate Search

g.  Enable Job Alerts for Candidates

To enable Job Alerts you must specify a job owner for the scheduled jobs from the users in the database.

h.  Save the settings for that section.

2.  In the same section, enable the following settings:

a.  Enable Stack Ranker style Interview Assessments

b.  Enable Recruitment Agency Access

c.  Disable CAPTCHA on the External Career Site

d.  Enable Candidate Workbench

e.  Enable Interview Central and Set Up Interviewers Dialog box

f.  Enable advanced relevancy for candidate search

g.  Enable Late Stage Applications

h.  Enable Comment Visibility on the Jobs Applied Portlet

i.  Enable Forward Candidate to Colleague for Internal Employees

j.  Allow Attach Resume and Cover Letter

k.  Enable Offer Approval

l.  Enable Job Description Header and Footer

m.  Allow users to optionally provide comments on application status change

n.  Enhanced Job Search UI

i.  Enable Multi-Language Job Search

o.  Complete Profile Before Application

p.  Enable inline viewing of resumes(Inline Resume Viewer)

When this is done a warning message (appears in red) – this can be ignored as always appears when the inline resume is enabled.

q.  Enable External Career Site Home Page

r.  Enable Recruiting Team Functionality

3.  Save the settings for that section.

3.4  Administrator Security Access

Use

This section describes the set up steps necessary to grant security access to the administrator userid.

Please note that once Role Based Permissions (RBP) is activated in SuccessFactors Provisioning then the Admin user role will need to be updated as per configuration guide FC7 – SuccessFactors Role Based Permissions (RBP)

Procedure

Administrative Privilege

1.  Navigate to Admin Tools > Manage Employees portlet

2.  Goto Set User Permissions > Administrative Privileges

3.  In the Username input box input the username of your administrator userid and press search users

4.  Choose the checkbox next to the administrator user id

5.  Ensure that the following permissions checkboxes are selected.

a.  Manage Users

b.  Manage Security

c.  Form Template Administration

d.  System Properties

e.  Managing Documents

f.  Dashboards/Reports

g.  Managing Recruiting

h.  Integration Tools

i.  Edit Applicant Status Configuration

6.  Press the Grant Permission button to save your changes

Manage Recruiting Administration

1.  Navigate to Admin Tools

2.  Goto Recruiting > Manage Recruiting Administration

3.  Choose on the Manage recruiting administration through individual users hyperlink

4.  In the Username input box input the username of your administrator userid and press search users

5.  Choose the checkbox next to the administrator user id

6.  Ensure that the following permissions checkboxes are selected.

a.  Manage Recruiting Sites

b.  Manage Offer Letter Templates

c.  Manage Recruiting Email Templates

7.  Press the Grant Permission button to save your changes

Default User Permissions

1.  Navigate to Admin Tools

2.  Under Manage Employee portlet goto Set User Permissions > Default User Permissions

3.  Ensure that the following permissions checkboxes are selected.

a.  System Properties Permission > Picklists

  1. Reports Permissions > Reports Permission

4.  Scroll down to the bottom of the screen and press the Save Settings button.

3.5  Recruiting Settings In Instance for Picklists

Use

A picklist defines the options that appear in drop-down fields throughout the product, including requisitions, candidate profiles, applications, and the offer process. In this step make the following settings for Picklists to enable Recruiting in the instance and to manage the language settings for parent-child picklist.

Procedure

To upload the picklists (for picklists that already exist in the system):

1.  In Admin Tools, go to Company Settings Picklist Management

2.  Select “Import picklist”

3.  Browse to the file Recruiting_Existing_Picklists.csv

4.  In the Are all the Pick Lists new option box. Select N

5.  Choose “Submit

6.  Verify the success message

To upload the picklists (for picklists that do not exist in the system):

1.  In Admin Tools, go to Company Settings Picklist Management

2.  Select “Import picklist”

3.  Browse to the file Recruiting_New_Picklists.csv

4.  In the Are all the Pick Lists new option box. Select Y

5.  Choose “Submit

6.  Verify the success message

To update parent id information in the picklist:

1.  In Admin Tools, go to Company Settings Picklist Management

2.  Select Export all picklist(s). Save the picklist file to your computer

3.  Open the picklist file in excel. Fill in the ParentOptionId for the following entries. Please ensure all rows are removed except the header rows.

3.6  Managing Recruiting Sites

Use

Create an external recruiting site.

Procedure

To create an external recruiting site:

1.  Navigate to Admin Tools

2.  Goto Recruiting > Manage Recruiting Sites

3.  Choose Create New Site button

4.  On the site that you have just created. Select Take Action > Edit

5.  Fill in the fields based on the customer requirements

6.  Choose Save button.

3.7  Modifying the attachment settings.

Use

This section describes the set up steps necessary to enhance the attachment settings to allow resume/cover letter attachments in SuccessFactors.

Prerequisite To Performing These Tasks

1.  Go to Company Settings > Document Attachment section.

2.  Modify the settings as follows:

a.  Attachment Storage Allocation – 1000G

b.  Attachment user limit – No Limit

c.  Attachment max file size – 10M

d.  Attachment Limit Notification Monitor Period – 7d

3.  Choose Save.

3.8  Managing Recruiting Languages

Use

This section describes the set up steps necessary to enable recruiting languages. Please note that only English is delivered.
