GENERAL INFORMATION

HOTEL ACCOMMODATION

Rooms have been pre-booked at the hotel mentioned overleaf. Hotel accommodation will be provided for the purpose of your participation at the event (single room with breakfast). The costs of all extras and additional nights outside the agreed schedule or double room supplements shall be settled directly by you with the hotel before checking out.

INSURANCE

The Organiser is not liable for damage/health problems that may arise in connection with your journey or during the event. We therefore recommend that you take out your own travel/health insurance before departure.

MEALS

For meals not included in the event programme, special arrangements will be made.

TRAVEL AND REIMBURSEMENT GUIDELINES

A pre-paid flight or train ticket will be provided on the basis of the shortest route and most economic fare. Please note that you must keep and present your original boarding passes, or the original train ticket, at the registration desk. Please do not purchase tickets yourself as the reimbursement of travel expenses cannot be covered. Other related travel expenses, such as visa costs and related mandatory travel/health insurance, exit/entry taxes can be reimbursed to you on site upon presentation of relevant original documents demonstrating the costs incurred. Please note that local transport costs, taxi expenses and any other costs not specifically mentioned above will not be reimbursed. Reimbursements will be made in Euro according to the official European Commission exchange rate.

CANCELATION

In case of cancelation after the booking of the flight, costs are at your expense. Reimbursement is only possible when showing a medical certificate.
