TERMS OF PARTICIPATION

4. EXHIBITORS AND EXHIBITS
Exhibitors may be all legal entitles, whose products correspond to the theme of exhibition. Note: removal of the exhibits from the stand during the exhibition is prohibited.
5. RENTAL OF SPACE AND STANDS
The exhibitor may not sublease the stand, in whole or in part, without prior written consent of the organizer. Admission to the exhibition will continue until there is available exhibition space. Both parties are obliged to sign the Participation Contract and abide by the Participation terms.
The co-exhibitor is a company or organization exposing his products and services on exhibition space rented by a principle exhibitor and whose name and data appears in the exhibitors’ registry given in the exhibition catalogue.
The main exhibitor will be liable to the organizer for the payments concerning a co-exhibitor.
Orders for the exhibition space are treated in the order of their submission.
6. DESIGN OF EXHIBITION AREAS
Although the organizer will determine the final location of the stands, special space requirements will be taken into consideration as far as possible.
Organizer offers a selection of ready made stands to the exhibitor or hires constructions, materials, furniture, AV equipment etc. according to relevant price-list. Exhibitor decorates the ready-made stand himself or orders this service from Tartu Fairs according to separate price-list.
7. APPLICATIONS FOR EXHIBITION SPACE
Please return the completed application form to the organizer. Admission to the exhibition will continue until there is available exhibition space. The organizer’s confirmation and invoice will be sent to all accepted exhibitors. Application becomes binding upon issuance of written confirmation by the organizer. The reafter it shall be considered an Agreement concluded between the organizer and the exhibitor in accordance with the present Terms of Participation for MOTOSHOW 2015.
8. PARTICIPATION FEE
The non-refundable participation fee of the exhibition is 250 € per exhibitor, includes:
•publication of the exhibition catalogue (registration of the company in the exhibition’s catalogue)
•issuance of identity cards for participants
•issuance of the invitation cards for visitors
•general advertising expenses of exhibition
•preparation and arrangement of exhibition
•invitation for two persons to the inauguration reception.
The supplementary fee for co-exhibitor is 250 €.
9. IDENTITY CARDS FOR PARTICIPANTS
Identity cards are issued to the exhibitors on September 24and 25, 2015 depending on the size of the exhibition area (5-10 pcs). Cards give the right to entry the exhibition territory and halls during the mounting and exposition layout, dismounting and the business hours of the exhibition.
10. ADVERTISING AND SALE
Exhibitor can use for advertising the inside walls of the stand rented. It is prohibited for the exhibitor to distribute advertising materials outside ones own stand and sell exhibited articles without prior permission of Tartu Fairs.
11. TERMS OF PAYMENT
The participation fee for main exhibitor and co-exhibitor, reserved exhibition space and stands rentals shall be transferred to Tartu Fairs by the due date on the invoice presented by the organizer. The exhibitor is entitled to cancel his reservation fee by informing the organizer in writing, but has to pay the participation fee in full. All payments concerning other services (except these, to be paid in advance) or other liabilities are to be transferred to the Tartu Fairs within 15 days from the date of invoice submitted by the organizer after closing of the event.
12. CANCELLATION
The right to use the stand will revert to the organizer if:
1) the space and stand rentals and the participation fee are not paid in time;
2) the exhibitor fails to take possession of the stand 24 hours prior to the opening of the event (except the exhibitor and the organizer have agreed upon otherwise);
3) the exhibitor fails to follow the terms of participation for the named event.
Cancellation of the confirmed space reservation must be submitted in writing and will be effective upon receipt by the organizer. Exhibitor will be charged for cancellation 100% of the space and stand rental if the refusal comes after September 14, 2015.
13. SERVICES
During the event Service Bureau of the Tartu Fairs is at the disposal of exhibitors, providing:
•electrical service
•telephone connections
•office services
•AV equipment
The surcharge on orders placed during the event, i.e. September 22-27, 2015 is 50%.
14. CUSTOMS AND TRANSPORT SERVICES
Exhibitor arranges the transport of exhibits to and from the exhibition area on his own expenses and is responsible for setting all customs formalities related to his exhibits and other fair articles.
15. RESPONSIBILITIES OF THE ORGANIZERS AND INSURANCE
Organizer is responsible for the general order in the halls and accepts no responsibility for exhibits, constructions, materials. The responsibility for damage which may occur to exhibition articles both during transport to and from exhibition area and during the period of the event, is the exhibitor’s.
16. FIRE PRECAUTIONS
Tartu Fairs Ltd. is responsible for the fire protection and general order in the exhibition complex. Smoking is forbidden in the exhibition halls except in the places indicated by Tartu Fairs.
17. RESPONSIBILITIES OF THE EXHIBITOR
Exhibitor is responsible for the rented materials. Within 1 hour after closing the event the exhibitor has to return the cleaned stand, constructions and materials to the organizers. The exhibitor has to compensate for damages caused to the rented materials and technology according to the price-list. The exhibitor is obliged to avoid from activities which may disturb other exhibitors.
18. FORCE MAJEURE
In case the event is completely cancelled owing to circumstances for which the organizers are not responsible or the circumstances beyond the control of the organizers, the contract will be terminated and prepaid space and stand rents will be reimbursed. Prepaid participation fee remains non-refundable.
19. COMPLAINTS
All complaints should be submitted in writing during 1 week after closing the event.
20. GENERAL CONDITIONS
In case of any difference of interpretation as to the meaning of the present terms of participation, the Estonian language version takes precedence over the versions in any other languages.
