Meeting Minutes
TheAugust CouncilMeeting of the Congregation Council of St. Paul’s Evangelical Lutheran Church, Ardmore, Pennsylvania was held on Wednesday, August 10at 7:15 pm in the Meeting Room.
CALL TO ORDER
Due to a lack of attendance, there was not a formalmeeting or quorum. However, council memberattendance is captured in the table below:

DEVOTIONS
Devotions did not occurred at the meeting. However, the group worked to label Gatorade bottles that would be handed out at the South Ardmore Park summer run that was planned for the following evening 8/11.
PRESENTATION OF MINUTES
Due to a lack of a quorum, the minutes from the July meeting were not formally presented or approved.
COMMITTEE REPORTS
Committee / ReportPastor / Pastor Laura briefly discussed her report, focusing mostly on item 7 (MAP results). She discussed that the results were positive and that we would be having a review with our “navigator” at the next council meeting. See appendix for report.
Administration / The group discussed that next month’s meeting would be held on September 15th instead of the typical schedule of September 8th, predominately because the MAP navigator had a conflict on the 8th.
Technology / Pat reviewed that the website permissions had been updated so that Carisa and Laura can update service times. He also mentioned that he had discovered that $12,000 was approved from the endowment in February of 2015 for use on technology expenditures. Bill Henderson thought that only ~$3,000 had been spent. As such, he asked for ideas or needs the committees might have related to technology. See appendix for report.

Property / No report.
Stewardship / Carol discussed the upcoming plan for events hosted by congregation members. These events will involve members choosing a date they are willing to attend a get together. Once they select a date, they will be told who will be hosting the event. Each event will have 7-11 people. These events will help to get congregation members to know each other better. She also discussed some potential technology needs: laptop, cemetery software, and a cemetery e-mail address.
Cemetery / Louise gave a brief update on the cemetery and discussed some of the recent and upcoming funerals. She also discussed the addition of Dottie as help for the office staff. Dottie will be hired at $10 an hour and may be able to help with items like digitizing the burial records for the cemetery.

Financial Secretary / Bob explained that the finance committee did not meet this month and that since the financials were only published today they had yet to generate the additional reports.

NEW BUSINESS/CORRESPONDENCE
- Changing the date of the September council meeting to September 15. The group stated that this would need to be done over e-mail since we did not have a quorum. Carol was asked to send an e-mail or let Don know to send one to get a vote on this.

There was brief discussion on these two items, but nothing in depth. At this time, we still have not received a name for our consultant.

The next council meeting will be held on September15th at 7:15pm in the meeting room.

Since the meeting did not officially begin, it did not need to officially end.

Pastor’s Report
10 August 2016
- On July 14th, I handed out Gatorades with church times and info at the South Ardmore Park race series. Big thanks to Louise Pierce who helped out! We gave out about 75 bottles. We will reuse the leftovers tomorrow, August 11th at the final race of the summer.
- On July 24, I met with Sunday School superintendents Melissa Krissinger and MaryLynn Kennedy to plan for September. We came up with a plan for singing and opening, in the absence of Pam McDowell, and will be holding a teachers’ meeting on September 12.
- Confirmation planning is underway; we will begin on September 18th. This year we have 26 eighth and ninth graders in the confirmation class, and we will be going on a confirmation retreat March 3-5. We will continue using our same curriculum.
- Youth group planning for 2016-2017 has begun—we have several people interested in volunteering. Our goal is to have 3-4 events per semester, with a mix of service, fellowship, and learning opportunities.
- The garden will be constructed Tuesday and the beds filled with soil; planting will take place Thursday at 1:00 pm. We have a great crew of almost 20 volunteers dedicated to making the garden a success.
- Planning work for the welcome statement is ongoing—I have received several volunteers for the group and am asking a few others to participate. I have put off gathering the group together until after school starts and vacation schedules are no longer an issue.
- The results are in! The MAP team has received the results of the survey taken during May and June, and got an interpretation from a Kairos consultant. There were a lot of positive things to come out of the survey, and some things to work on. We will be working the Rev. Alina Gayeuski, a trained synod navigator, to help us build upon this research and present the findings to council.
- The Augsburg Fortress Musician’s Clinic and Hymn Festival was held at St. Paul’s on August 4-5, with around 60 people in attendance. It was a great few days of music all around the church, and we look forward to welcoming them back next year.

Social Ministry Meeting MINUTES
Thursday, August 4, 6:30pm

Welcome to the Community Garden Volunteers
-Introduce ourselves
-Review timeline for garden and volunteer needs:
- Tuesday, 8/9: 11:00am and Thursday, 8/11: 1:00pm building, spreading soil, planting – Professional bed builder will construct the beds on Tuesday, then we will need volunteers to put the soil into the beds (Dave will be here to help with process; beds will be planted along the fence where there will sun mostly) Planting will take place on Thursday to do planting of beds; we’ll be able to meet the head gardener who will check in with us every 2 weeks to help recognize ripe vegetables to harvest. (4x8 beds); concern about animals getting into garden…
- Ongoing watering, weeding, harvesting, and delivering
- Watering may be covered… Dave believes we’ll be able to run water directly to the garden once the gardens are built; looking into a drip system, otherwise will need to come out and turn on?
- Every 2 weeks partners from the organization will convene to see what’s ready for harvesting, do ongoing maintenance with us
-Tonight, we’ll have you sign up for assistance with next week’s planting, as well as indicate your interest areas and general availability.
-We’d like to create an initial schedule with you, our dedicated volunteers to begin the week of August 15 for the first few weeks; we’ll open it up to the congregation as well via Sign-up Genius, but wanted to start with this group, especially if there are folks interested in having a regular day/time/duty.
- Will plan a weekly email chain (CC: Social Ministry) with all volunteers (ask S.M. who wants to be included, if any?) to coordinate duties, volunteers, what is needed and when; if there is a surplus we will donate to Havertown Temple food pantry, have congregation donate for leftover items or ask them to take them home to cook/bake for AFF

-We have another meeting on Sunday, following worship, with the rest of the volunteers and I will create a schedule and send out next week to all involved.
Fall Service Project with Sunday School
-Collecting bags, boxes, containers for transporting harvested vegetables to the food pantry?
-In addition, host a date for children to harvest and pack some of the containers for delivery – perhaps in early October??
-Bake sale for No Kid Hungry Bake Sale: each family bring in cookies or brownies or cupcakes for kids to decorate and package advertise to congregation that coffee hour will be for sale that week and to bring $$ in to purchase items (OCTOBER? EMAIL Melissa Krissinger and Mary Lynn Kennedy)
-Plus NOVEMBER volunteer date at AFP (collection leading up to date)
TECHNOLOGY
St. Paul’s Technology Committee Report – July, 2016

Accomplished:
- Updated website roles to allow for editors (Carisa, Pastor Laura) to update service times and documented steps to do so.
Upcoming:
- Complete desktop inventory.
- Determine if Office365 can be used to store documentation about the St. Paul’s technology environment.
Meeting: No meeting occurred in July.
WORSHIP & MUSIC
All:
The Committee did not meet this month and does not have a report. I am happy to report that Stephanie Yeung and Lee Sullivan have agreed to join the Committee. The Committee will meet in September to begin plans for Advent, Christmas and 2017 events.

PROPERTY

STEWARDHIP
During the months of September and October members of the congregation will be hosting 7-10 small group gatherings in their homes. These meetings will be an opportunity to chat, share ideas, talk about the past, present and future of St. Paul’s.
A letter will be going out next week to the congregation asking people to commit to the dates and times from which they can choose. When all RSVPs arrive back in the church office people will receive more details from their host. We are encouraging everyone to participate.
We are planning that the meetings will take place on either Friday, Saturday or Sunday evenings beginning the weekend of September 16th.
We did not have a formal meeting this month.

CHRISTIAN EDUCATION
Hello everyone,
I hope your summers are going well. The Christian Education committee did not meet this month. Right now, we are busy getting prepared for Sunday school. Families with Young Children have also been active with their Summer Fun series. They have also submitted their tentative schedule of events for the upcoming school year. Unfortunately, I am still sick and will not be able to attend tonight's meeting.
