HOW TO COMPLETE YOUR HSC PAY CLAIM

for markers and senior markers

The staff in BOSTES’ Finance Unit give the processing of marker pay claims a very high priority. However, the prompt processing of over 7,000 claims can only happen if markers, senior markers and Supervisors of Marking work together to ensure that all pay claims are completed neatly and correctly. Remember that one incorrect or untidy pay claim can hold up the processing of an entire subject’s pay claims.

General Information

You must complete your pay claim every day, and have it signed off by your senior marker. At the completion of marking, please enter the employment period dates, sign the pay claim and give it to your senior marker for certification.

Front of Pay Claims

At the first marking session, please check that your personal details are correct and manually amend any errors. Your annual payment summarywill be sent to the address on the pay claim, so it is important that it is correct.

At the first marking session markers you should also fill in the start date and sign the front of the pay claim.The totals area at the bottom should be left blank.

Back of Pay Claims

There are two types of pay claim form and each has a different back section. Standard format pay claims are for itinerant marking and judging sessions, and provide boxes for markers to write the number of hours worked. Scanned format pay claims are issued to most marking centres and have bubbles instead of boxes.

Standard format pay claims

The back of each pay claim has separate sections to cover different parts of the marking process. The sections are headed: Briefing/Pilot Marking Sessions, and Marking Sessions.

Where “real” marking commences part-way through a session, enter the hours for that session into the “briefing/pilot marking” section and a new line for the same date should be started in the “marking” section.

If you are also appointed as a judge, you will receive a separate pay claim for judging. If you are involved in judging during a marking session, please enter those hours on the judging pay claim.

Complete the date, the starting and finishing times, the time taken for lunch and/or tea*, and the number of hours worked. The number of hours worked must be put into the correct box, as follows:

If you work part-time at school, write the usual days you work at school at the bottom of the form. If you are on approved leave, please write the details here and attach a copy of your leave approval.

Scanned format pay claims

Each day, enter the date and the start and end times of your marking session. Lunch and/or tea breaks must be indicated by colouring in the appropriate bubble. The other bubbles are to be completed as follows:

Standard hours w/night or w/dayday marking sessions and weeknight sessions starting at 4pm

SaturdaySaturday sessions

If you are not working standard hours – for example, if you work just 3 hours – you must still colour in either the “w/night or w/day” or “Saturday” bubble, and then write the number of hours worked in the “non-standard hours” box.

If you are day-marking, you should write the number of hours after 3.30pm in the “non-standard hours” box and the number of hours from 9.00am to 3.30pm in the “supplementary hours” box. If you are day marking and are on approved leave or do not normally work at school on that day, you should put the total number of hours up to 3.30pm in the “base rate hours” box, and the number of hours after 3.30pm in the “non-standard hours” box. Hours should be written in decimals – e.g. 3.5 not 3½ .

NOTE: If your marking group chooses to have ½ an hour for lunch or dinner and finish ½ an hour earlier, you shouldstillcolour the “standard hours” bubble.

Briefing/pilot marking

The “briefing/pilot marking” bubble should be coloured in if the session was for briefing or practice marking. If real marking commences part-way through a session, the hours for briefing or practice marking should be entered into the “non-standard hours” box with the “briefing/pilot marking” bubble coloured in. The next new line for the same date should be used to indicate the rest of the hours worked. Write the hours in the “non-standard hours” box. You must still colour the weeknight/weekday or Saturday circle and only indicate one lunch or tea.

Where employment status is shown as part-time or casual at the top of the page, ensure that details of actual days usually worked are written on the details of employment line. If you are

on approved leave these details should also be shown here. Copies of leave approvals should also be provided as support. This information is required for base rate calculations.

Onscreen Marking

For corporately marked onscreen subjects, the scanned pay claim must be completed for all sessions, as described above. In addition, the onscreen marking application will record the number of scripts/questions you mark once general marking commences. This data will be merged with the pay claim data by the Finance Unit to determine whether you are to be paid the hourly rate or the script rate (whichever is the greater).

For subjects that are onscreen marked externally, the scanned pay claim should only be completed for sessions that take place at the marking centre. The onscreen marking application will determine the number of scripts/questions you mark externally, and Finance Unitwill pay accordingly.

General notes:

  • Meal-time cannot be claimed on its own
  • If you colour the briefing/pilot marking bubble, you must also colour in the standard hours bubble, or write the number of hours in the appropriate box
  • A weeknight or Saturday marking session must be specified, even with non-standard hours
  • Use black pen ONLY
  • Only rule out unused columns as in the example overleaf.
