Review of stalls by year.

Reception

Entry fees changed: free for children, GBP 1 per adult (cash only)

(The MS is charged GBP 100 for use of field at Waldegrave School)

Year 1

Tokens will be provided by Treasurer and money belt on the day for any event/entry fee requiring cash

Sweets in a jar will be provided by the MSA (year is to count the sweets)

Treasure map will have pre-selected grid taped to back of map. Participant will buy a square and guess where the treasure is hidden.

Year 2

Bal has notes to help with BBQ prep including quantities and sources of meet etc; class to procure all foods needed for BBQ; reimbursed by MSA. Year 2 gets both BBQ and Bar. There are no soft drinks on the stall – this is run by Year 4. A partnership with frequent communication with the MSA is important to procure all items.

MSA new gazebo is to be allocated to BBQ/Bar as a priority.

Food hygiene – should be part of risk assessment (MS)

From last year, cool boxes were short; ideally need large/industrial size (Alison – Bal to enquire)

In the last 30 mins reduce the price of the food to ensure it’s all gone.

Year 3

Class to provide the goalies

Inflatables

Year 4

Soft drinks will be purchased by the MSA (cartons, water, etc)

Coffee and tea, loads of cups in the MSA shed, stirrers and sugar cubes. Need milk. Coffee is often donated by Starbucks, try Teddington and Twickenham starbucks but must speak to local manager ahead of time and be persistent to collect starbucks container on the day

In the last 45 minutes, reduce price and, eventually, give away remaining foods (not drinks)

Collect happy meal boxes as donations from McDonalds

Recycling facility would be great to erect at Waldegrave; can put on sight map (Amanda Penny to take lead)

Year 5

Toy shop; donations collected from school

Hoopla – mannequin legs with football socks

Ping pong game; flower pots in shed (Kelly to possibly get new pots and decorate)

Year 6

Coconut shy; class is to procure cheap coconuts. Try Quality Foods in Hounslow.

MSA have metal stands in shed and disused goal post on the field

Nerf guns; need guns and nerf pellets

Year 7

Last man standing, circular game jump over circular arm that moves round

Luck dip; donations from the school. Kelly from MSA has volunteered to purchase additional gifts if needed.

Eva Marten can provide extra bags for lucky dip

Year 8

TBDYear 8 boys will decide what they will offer.

Teachers

Crockery smash

Can drive onto field; LBM will check on access time. Last year 9-9:30am

Collect donations as they come into the MS reception area to avoid congestion there. Also, this area is locked up on the day (Saturday) so everyone please collect your donations regularly.

Tables are needed for fair; gazebos as well. The MSA have 20 long tables. MS caretakers deliver to field and collect/ take back to school.

Stables back this year with pony rides

Shark game – toss balls into shark mouth

Inflatables again this year

Layout will be different from last year due to ponies (Bal will provide the map of where all the stalls will be)

Medical Rota to be issued to all stalls; Bal to place first aid station near water and easy to find on map.

Football tournament is going to be run by Inken Parker and Paul Shah. Please sign-up ahead of time to avoid disappointment.

Clearing up – stalls and field; needs collective effort to clear it up. All tables are to be delivered by each stall holder to collection area. Refer to map.

AI – MN to send out email to all class reps to provide Gergana’s info for receipt reimbursement

Need a man with a van; does anyone know anyone who can help transport large items on the day? Ie BBQ grill.
