1.  Step 1: is your schedule finalized?

  1. If yes, the virtual flag work you done is now gone. Please go back and re-flag.
  2. If not, the virtual flag will show up in our UI. But as soon as you finalize, you need to re-flag!

STEP 2 – Are your courses marked as “virtual”?

2.  Marking courses as “virtual” in STARS

  1. Go to top menu à Miscellaneous à Special Ed Settings
  2. Make sure each course has a “Virtual Type” selected from the dropdown
  3. Click SAVE

Remember: if you finalize the schedule, you need to RE-FLAG these courses!

STEP 3 – Are there teacher(s) associated with the course?

a.  Yes, there are teachers associated with the course. Great! Make sure they are matched in teacher reference (see #4)

b.  No à Please add them to the course immediately and ensure they are matched in teacher reference (see #4)

STEP 4 à Are your teacher(s) matched in the teacher reference screen?

a.  Go to top menuà View à Web Pages; this will open a browser with STARS online

b.  If your teachers are matched in teacher reference screen, you will not see an error on first screen. You are all set. You can check by going to Utilities à Custom Features à Teacher Reference

c.  If they are not matched, you will bright orange error screen telling you which teachers still need to be matched. Go to Utilities à Custom Features à Teacher Reference and select the proper teacher to match to the teacher listed in STARS.

d.  Ensure that the primary teacher for the course is a DOE employee and has a proper numerical EIS #.

e.  Click ACCEPT to save.

STEP 5: Do you need to add an additional teacher to a course?

  1. If yes, go back to Miscellaneous à Special Ed Settings
  2. Double-click on the “Team Teacher” field next to the course you want to add a teacher to
  3. Enter the teacher’s first and last name
  4. Next, go to the column over and select “CTT” under “Teaching Model” dropdown
  5. (Remember, the “Virtual Course Type” should be selected to Virtual Blended Learning, Virtual Advanced Placement, or Virtual Credit Recovery!)
  6. Click “Save”
  7. If this is a NEW teacher you are adding as a team teacher, make sure he/she is properly matched in the teacher reference screen (see step #4 above).
  8. Please note: the primary teacher (“Teacher”) must be a DOE teacher with a proper EIS #. Our system will not support a teacher that does not have a numeral-only EIS #. The secondary teacher, however, is not restricted to this.
