The Octavia Foundation provides a wide range of support and opportunities for young people and adults across a variety of settings including:

BASE is the Octavia Foundation's free cultural and creative club for young people aged 7-25 andis located in Pimlico.The youth programme aims to provide young people with opportunities to explore and develop new and existing skills in a range of dynamic activities and projects that include film making, music production, cooking, creative arts and thought provoking workshops.

The purpose of this role

To provide administrative and strategic support to the Octavia Foundation’s BASE youth programme. You will work closely with the Youth Programme Manager and the youth team to provide innovative projects for children and young people.

What is the focus?

  • Improving the Octavia Foundation’s capacity to provide a creative and stimulating programme for children and young people
  • Managing and developing effective administrative systems to capture, store and process young people’s and volunteer’s information
  • Providing administrative support and assistance to the Youth Programme Manager and the youth team
  • Marketing and promoting the BASE youth services to potential stakeholders and fundraisers
  • Manage the recruitment of volunteers to the youth programme

Key tasks
  1. To manage the recruitment of volunteers to the youth programme
  1. Managing the petty cash record and reconciliation procedures on a weekly basis
  1. To draft staff timesheets on a monthly basis
  1. Ordering food for BASE on a weekly basis whilst ensuring that all ingredients are cost effective
  1. To regularly update and maintainthe excel membership database and ensuring all information is translated to registers and staff
  1. To identify relevant funding appropriate to the youth programme and assist with applications for grants
  1. Assisting the Youth Programme Manager with the strategic development of the current BASE youth programme and the expansion of the Foundation’s youth service
  1. Effectively managingmedia equipment bookings andmonitoring all media equipment inventory
  1. Supporting staff in the delivery ofyouth programme activities. This includes ensuring activity session plans are prepared by staff and resources are ordered ahead of sessions
  1. Conducting regular inventory of equipment and identifying stock to be ordered
  1. Receiving telephone/email queries and forwarding messages as necessary
  1. Assisting with general preparation and administration relating to the youth programme
  1. General administrative tasks as required by the Youth Programme Manager
  1. Attendingkey project meetings and providing relevant updates
  1. Attending relevant training related to the role, including safeguarding to ensure compliance with the correct procedures
