ADMINISTRATIVE REQUIREMENTS EDUCATIONAL TOUR OCT 15
Please find below list of administrative requirements for the tour of Oct 15. Please confirm or otherwise that these will be catered for without any variances or divergence during the entire trip.
Accommodation
Not more than FOUR children in a room irrespective of the size. To be provided as per boys/girls ratio of the party, without compromising on maximum in a room FOUR. Three students can be considered for sleeping on top provided there is a double bed. One student arrangement on floor with extra bedding arranged.
Each room where required to have an extra complete bedding. It should be laid out before arrival irrespective of the arrival time. Extra Bedding means one mattress, one bedsheet, one blanket, one pillow, one pillow covers. For the other three there should be three pillows, three top sheets and three blankets. In case of excessive cold additional blankets must be made available as required.
One room for every two teacher as per ladies/gents ratio.
One room for Headmaster /& Deputy Headmistress each.
Approximately there would be requirement of 30-34 rooms. All rooms at all places must be in functional condition for entire duration of stay.
If more than one hotel is used, than reservations be made directly by the tour operator at both the hotels and not through the one of the hotel to another. Administratively it has been seen that the standard the hotel booked by the hotel is below standard and management of complaints is a problem.
Linen to be changed after three nights if applicable.
All light AC and plug points must be functional.
Running hot water should be available on arrival in each bathroom.
TV telephone should be functional before arrival. TV reception should be clear. It is most important that Intercom of all rooms are functional at all times. That is the only communication method for parents to contact their children.
Service and door bell where provided must be functional.
Drinking water and glasses must be changed daily.
The hotel must have a sufficient large hall for dinning and entertainment of the children. Enough to seat the complete party and still have performance space.
Toilet paper, bucket, mug and stool along with essential toiletries must be provided in the bathroom.
Room numbers reserved must be available one day prior to arrival at the particular place.
Telephone numbers of the hotels provided to the school must be functional and checked and not just taken from the brochures.
If possible when the tour operator goes for booking/confirmation hotel photos be brought back.
Transportation
Train used must be direct start to destination and return. No break Journey be made.
Buses must be with standard size seats, capable of taking luggage in the boot or on roof, generally what is known as ‘LINE BUSES’ Volvo type.
One AC utility vehicle Tata Sumo class will be made available throughout the tour on 24x7 basis. Number of seats available will be part of the party count.
Exact number of seats available to school per transport must be told.
Transport with bad suspension and leaking exhausts inside the cabin must not be made available to the school.
Each transport must have garbage bag to be cleared at least twice a day. Similar arrangement be made in train per six seater enclosure.
Audio visual system of the transport should be fully functional.
ACs must be switched on appropriately so that the coaches are cool when the students enter. It is not possible to accept that the ACs will run only when the bus is running.
The seating plan for the buses must be taken from the school, which will be made available at least one month in advance and the same must be attached with the route permits of the buses.
Please note that the following is mandatory and non compliance may give rise to legal complications. In case of change of any member of the tour party after reservations have been made. For students an endeavor will be to get name changed with the railway authorities under existing rules. Failing which additional ticket confirmed/RAC/waiting/current will be purchased by the tour operator. The extra amount be billed to the School separately.
All restrictions on parking, reaching the hotels for alighting and de bussing must be clearly spelled. Change of transport mode if required must be discussed before the start of tour. Other wise it will be assumed that the buses will reach all the places causing no inconvenience.
Food
Breakfast, Lunch, Evening Snacks and beverage and Dinner should be catered for. On days of travel in train or buses where the gap between breakfast and lunch is likely to exceed 6 hours, provision of mid day snacks also must be made. Normally this would be required about 6 times during the entire tour. Bed Tea with biscuits for teachers only to be served in their rooms.
Provision for Jain food for approximate 10 students has to be made.
Crockery and cutlery must be sufficient and of good quality. Standard of cleanliness of utensils must be given special care.
Arrangement for packed meals must be made by individual packets and not trying to serve in plates form containers whether it is in the train or packed meal as per programme.
One service station per 50 members be made at all meals.
Everyday at breakfast every child be given one 1 litre sealed bottled water. Extra 20 litre bottles must be available for refilling in the train or buses and during meals at the hotel. This is to be implemented irrespective of local sightseeing day or travelling day train/bus.
A general menu for 15 days will be given and same will have to be catered for.
Miscellaneous
During sight seeing where ever the tourist spot has provisions for government recognized/unrecognized guides. Guides must be engaged one for every 25 students.
At no place should the tour party have a full day free, at best give Half a day free where ever deemed necessary.
On the return journey portage for luggage of the teachers must be catered for, right from the hotel at the last destination.
Name of the tour in charge accompanying the tour must be given well in advance. The same person must be present at all meetings with the school management/staff. The tour incharge must be well versed with the places of visit, route and timings. If required a local points man be hired for each city.
Entry tickets or show tickets where ever being catered for must be of the higher class if available in different classes. Temple darshan lines if paid must also be catered to save time.
