Start of School Year - Data Flow

Integration is by BUILDING or DISTRICT.

Users are advised not create/edit forms in Sps Special Services during this two-day process.

When the scheduling of your students is as close to final as possible and the finalized schedule set is selected, please notify NEOnet. It will take 2 NEOnet business days/nights for the data to move from DASL to ProgressBook. Please contact Student Services at NEOnet by 3:00 on the date you are ready to turn on integration between StudentInformation and GradeBook.

* DASL will update ProgressBook. ProgressBook does not delete. This could result in information remaining in ProgressBook that is no longer in DASL. This information can be deleted.

  • Named Codes

Named Codes are carried over from the Prior School Year. Changes are necessary ONLY if changes were made in DASL.

  • For Buildings using Period Attendance:
  • The class that displays on the Period Attendance screen when it is accessed from the Teacher Home Page is the class that is meeting based on the current time of day and appropriately configured period/block code start times and durations. If both the start times and durations are not set up, the first class listed on the Teacher Home Page displays by default on the Period Attendance screen when it is accessed from the Teacher Home Page.

  • Select individual calendars (click arrow)
  • Connect the proper calendar with proper building where the calendar is used. SAVE
  • Calendar Days Tab
  • Verify that ALL attending school days are marked with a Day of the Week. If there are blank days, choose Assign Instructional Cycle Days at the bottom of the page to assign days of the week.
  • Homerooms
  • Homeroom teachers/Homerooms should be populated 1 week before school starts. This is on the Admin home page, under attendance, under Set Required Homerooms for Homeroom Attendance.
  • Courses/Classes

NOTE: Classes that do not meet the first reporting period of the school year, the students will be hidden on the rosters.The teachers can unhide these students by clicking on update roster and unchecking the hide box. Save. Once the reporting period changes, these students will be unhidden automatically.

  • Courses – Clean up courses with no classes
  • IF THE COURSE IS ACTIVE IN DASL, IT WILL MOVE TO PROGRESSBOOK OVERNIGHT. Please inactive unused courses in DASL.
  • Select a Building.
  • Select the Courses With No Classes option in the banner, if desired, to limit search results to only courses that do not have associated classes
  • Click Go.
  • Click Save.
  • Click Yes to confirm the deletion.
  • To delete all the courses in the list at once, select the check box in the Del? column header row.
  • Deleting a course that is associated with a standards-based report card also deletes it from the report card. The report card does not need to be recompiled because the course was deleted.
  • Students
  • New students will come from DASL. Students that are withdrawn/graduated are NOT deleted.

  • Staff
  • Will be populated from DASL. Remember, ProgressBook does not delete. Staff that has left can now be deleted in ProgressBook using the Delete Staff (inside the staff record). There is also a transfer activity which will transfer any lesson plans, homework, etc. to another staff record.

  • Dates are populated with prior year dates but the current year. These dates must be updated for the 13_14 school year.
  • Remember….. if you do not specify a time, ProgressBook will start and end the term and report card entry date as 12:01 AM on that date.

  • Update report card PUBLISH dates so the correct quarter defaults on Parent Access.

  • If general comment changes were made in DASL, ProgressBook will update these comments. Extra comments may need to be deleted.
  • If marks were changed to adjust to a revised grading scale, verify and update Mark Type from DASL.
  • Grading Scale and Ranges
  • If you made grading scale changes in DASL for 14_15, these changes must be updated in ProgressBook.
  • Verify there are no gaps in the point ranges or the percentage ranges.

NOTE: When Grading Scales or Mark Types that have the same point value for multiple letter grades, ProgressBook randomly selects the letter grade to populate the report card entry page.

  • Report Card Builder
  • For each report card, on the GENERAL TAB, check the box Yes or NO on the School Admins making changes to report cards.
  • Post to Parent Access? On the General Tab, check the option to post the report card to Parent Access.
  • GradeBook Configuration Utility: This will configure Custom Setup 2 for ALL teachers using that report card. See documentation.
  • NOTE: If there is NO default assessment selected on the assessment tab in the report card builder, there will be NO DEFAULT ASSESSMENT POPULATED TO SHOW FOR STUDENTS’ PROGRESS.
  • Create any new report cards and corrections to existing report cards before first bucket opens. (Per Report Card Policy).
  • Delete or inactivate any report cards that will not be used.
  • Activate any NEW report cards.
  • Verify the COURSES are attached to the report card.
  • Assessments – External reference to be connected to DASL
  • Verify System Calcs –for Averages and Finals.

NOTE: Year End Calculation may be incorrect if a teacher does not give an exam grade. If there is a missing exam, the mark is ignored and the percentage for the mark is NOT included in the total weight for the semester. See example.

If using weight for Q1, Q2, exam, Q3, Q4 exam which equals the Final Mark, if an Exam bucket is LEFT blank, the Blank is IGNORED and the % of the exam is NOT included in the calculation. The Total weight of 100% (or 10 or whatever) is then reduced by that amount.

Best practice is to use Semester Averages to calculate the final. Then when the semester average is calculated, should there be no exam grade the quarters are both worth half of the semester average as there is no other mark to consider.
