Responsibilities:

  • To provide an efficient and effective financial support service to the school
  • To provide an efficient and effective support service to the School Business Manager
  • To ensure that school financial procedures are followed by all staff
  • To maintain the accuracy and validity of the school accounting system
  • To maintain the confidentiality associated with financial support services
  • To manage the process for making insurance claims
  • To manage the school’s annual contracts

Duties associated with the above:

Financial Management

a)To be responsible for the day to day operation of all academy finances including the voluntary fund.

b)To ensure the effective management of the academy’s financial records and accounting systems.

c)To process all invoices and make regular BACS payments to all academy suppliers within appropriate time limits and ensuring all audit requirements are fulfilled.

d)To oversee the banking arrangements for all academy income and ensure this is correctly banked, receipted and recorded on the finance system.

e)To operate all academy bank accounts ensuring that a full reconciliation is undertaken at least once a month and any anomalies arising are investigated and resolved as necessary.

f)To assess adequate cash flow to meet commitments by regularly monitoring academy bank account balances.

g)To maintain the assets register in line with the academies financial handbook and ensure this is regularly updated.

h)To contribute to the preparation of annual estimates of income and expenditure.

i)To ensure effective debt management and control highlighting any concerns to the Business Manager.

j)To ensure procurement rules are applied in respect of all orders and contracts ensuring best value at all times in line with financial procedures.

k)To assist with the preparation of financial reports, estimates, and completion of financial returns as required by the Business Manager, governors, EFA, Companies House, HM Customs and Excise, DfE and other statutory organisations in a timely manner.

l)To carry out year end procedures in a timely manner and complete close-down of budget accounts.

m)To support budget holders in respect of managing their budgets and commitments ensuring that financial procedures are followed and budgets are maintained within allocated limits.

n)To monitor expenditure against the budget agreed by governors and prepare monthly management reports for the Business Manager which detail the forecast end of year position with explanations of variances and note future planned expenditure.

o)To ensure compliance with VAT liabilities and advise on financial implications of charitable status with respect to current and future tax legislation.

p)To be responsible for the effective management of community lettings and activities.

q)To ensure all finance transactions are undertaken in accordance with academy finance policy requirements.

r)To be responsible for the monthly recharge of internal services to budget holders as well as the raising of invoices to external debtors for provision of academy services.

s)To verify all monthly salary payments for authorisation with our payroll provider and reconcile monthly salary payments against HCSS salary projections.

t)To be responsible for ensuring the appropriate payment to all third party creditors e.g. pension providers, HMRC, childcare providers.

u)To undertake month end procedures to ensure academy financial transactions have been correctly reconciled.

v)To be responsible for the operation of all petty cash transactions.
