Working with Reports

This document contains the techniques used to open, view, print preview, print, and close a report in Apollo.

Opening a Report

A report is actually a template set up in tabular form. It consists of summary information pertaining to the section that is active when the report is opened. There are several reports already constructed for you, but you can build and save your own reports for later use with other sections. This module will deal with reports that already exist. The intermediate class discusses building your own reports.

Steps / Result/Comment
1.Open a section you wish to work with reports in
2.Click on the Report button to begin the process of opening a report / The View Report dialog box appears:

3.Locate and double click on the report to be used / The report opens. Notice that the title bar displays the title of the report.

Ways of Viewing a Report

  • You may zoom the view of a report using the percentage of zoom control. The zooming of the report on the screen has no effect on the printed copy.
  • Depending on the size of the report, you may need to use the scroll bars to move around the report. Some reports are wider than the others. Wider reports will have a horizontal scroll bar.

Previewing a Report

  • You can get a sense of how a report will print by using the Print Preview feature of Apollo.

Steps / Result/Comment
1.Open the report to be used / See the previous page of these notes.
2.From the FILE menu, choose PRINT PREVIEW / The current report is displayed in Print Preview mode.

Print Preview Options

The NEXT button moves to a preview of the next page when a report is comprised of more than one page (notice that just above the buttons the page number and total number of pages appears).

The PREVIOUS button moves to previous pages in the report.

You may use the ZOOM IN button more than one time to enlarge the view of the report.

Up to 4 pages of a multiple page report can be viewed on the screen at one time with the MULTIPLE button.

The SINGLE button (available when the report is in multiple page view) returns to previewing one page of the report at a time.

The SETUP... button moves to the Page Setup dialog box. Some of the specifics of how the page will be printed can be determined here.

The PRINT button performs the same operation as choosing FILE / PRINT from the menu when not in Print Preview.

Printing a Report

A report can be printed by choosing FILE / PRINT… from the menus while the report is active. You may also print from the Print Preview dialog box by clicking on the PRINT button.

Closing a Report

  • An open report may be closed by clicking on its Close button.
  • An open/active report may also be closed by selecting Close from the File menu.
