The University is committed to providing sustainable travel options for staff travelling to and from work and at work. The University is spread across many sites in Cambridge and staff often need to travel throughout the working day. Pool bike schemes have been put in place across the University for staff to use to travel between meetings.

Almost half of bikes used within the University’s pool bike schemes are electric bikes which allow staff to travel to their destinations with reduced physical effort.

Where are the pool bikes locations?

Pool bike schemes are located at Greenwich House, New Museums Site, the School of Clinical Medicine and West Cambridge. Click on the map to find out where you can collect a bike from.

Bike accessories

All bikes come with lights and staff can request panniers along with their booking. Helmets are not handed out with the bikes for health and safety reasons as there is a risk that reused helmet could become damaged.

Helmets are available to buy at a reduced cost from Greenwich House and the Clinical Schools receptions.

How do I book a bike?

All bookings are made through MICAD and you must be a University staff member or contractor working on behalf of the University, to access the bikes. You can register and create a password on MICAD by choosing “I am a new user” on the landing page.

All prospective pool bike users need to sign a User Agreement before they will be accepted as a pool bike user. If you are based in a building which hosts a pool bike scheme, please print or scan a copy of a signed user agreement and return to reception. If your building does not host a pool bike scheme, you can download the User Agreement, sign it, scan it and email to .

Under the User Agreement you must agree to these terms and conditions:

  • I confirmthat I am a University of Cambridge employee or contractor employed by the University of Cambridge.
  • I consider that I am competent cyclist. If an accident occurs I will record it and report it to a First Aider to ensure that I have received the treatment required and I will fill in the University of Cambridge accident form.
  • If I choose to not wear a helmet when cycling at work, the University of Cambridge will not be held liable for the results of any injury that may have been prevented by the wearing of a helmet. If I choose to wear a helmet that I provide, I understand that the University of Cambridge will not be held liable for the results of any injury that may have been caused by the wearing of my helmet.
  • I will adhere to the Highway Code and cycle in a safe way whilst cycling at work.
  • I am in good physical health and fit to ride a bicycle. I will not ride a bike if I feel unwell.
  • I will perform a routine check on the bicycle to ensure it is in a satisfactory condition before the start of each journey.
  • I will lock the bike securely using the locks provided in the correct way, as advised in the Cycling at Work Guidance.
  • I will return the bicycle in a good, working order after loaning the bike.
  • I will report any faults as soon as possible reception.
  • I will return all equipment (locks, lights) to the reception where the bike was collected, after borrowing the bike. If I do not return the bike and equipment, my Line Manager will be informed.

Once you have accepted the terms and conditions and you have been told that your name has been added to the user list, you are free to book a bike. All pool bike users should also read the University’s Cycle at Work Guidance.

Choose your preferred site and bike type and once your booking has been accepted you will be able to collect the keys to that bike at the schemes reception. Each bike is numbered and will be either stored in a locked cycle hangar, for which you will be given a key, or in covered cycle parking.

We recommend giving yourself extra time within your booking to collect the bike keys and after your meeting in case there are unforeseen delays. If you are going to be later than the return time that you specified please inform the reception in question.

Reporting faults and bike management

If you notice a fault while cycling please inform reception upon your returnso the bike can be removed from operation.

For users of electric bikes please assess the battery level before you return the bike keys. If the battery level is at two bars please remove the battery and return it to reception for charging or you can inform reception that the battery needs charging.
