WHAT YOU SHOULD KNOW ABOUT THE MARKET

The aim of our market is to promote French products sold or made by French designers living in Australia. No secondhand products will be accepted. This application form is an expression of interest only. Your application once received will be confirmed by email.

MARKET ACTIVITES:

The market activities will include the following events during the weekend:

Activities:
French language trial classes
Film screenings
Photo booth
Children’s games (fish a parcel, target toss)

All the above activities will be free for except the children’s games and the photo booth for which a gold coin donation will be asked.

COMMUNICATION OPPORTUNITIES

As a stallholder, you will benefit from visibility on the Alliance Française de Melbourne website via the exhibitor listing on the official Christmas Market event page.
Because helping you to promote your business is important tous, we have included an extra promotional package opportunity to enhance your communication strategy, offering you more visibility and more opportunities to promote your products and savoir faire to our open-minded and cultivated audience.

(*) A0 & A2 posters as well as A6 flyers will be distributed by a distribution company.Quantities TBC.

STALL PRESENTATION:
Each stall holder is expected to present his/her stall in the most attractive manner possible (BYO tablecloth, signage, etc.). Displaying signage on the walls will only be permitted if and when using removable tapes (eg: 3M products or similar) or blutak.

OPERATING HOURS, SET-UP & DISMANTLING

Operating Hours:

  • Saturday 6 December, 10am to 5pm
  • Sunday 7 December, 10am to 5pm.

Delivery of products: Friday 5 December in the afternoon between 2.30pm and 6.00pm.

Stalls Set-up:The location of each stall will be allocated by the Alliance Française de Melbourne.

-Indoor stalls: Friday afternoon between 2.30pm and 6.00pm

-Outdoor stalls: Saturday 6 December 2014between 8.00am and 9.00am.

Note: All outdoor stalls will be required to store their products in one of our secured/locked rooms overnight between the Saturday/Sunday. Regular checks will be operated by our security company overnight.
IMPORTANT: Parking in our car park is guaranteed on the Friday afternoon, however, only "one short term" parking spaces will be reserved for stall holders on market days to allow unloading of last minute equipment/products: on Saturday & on Sunday between 8.00am and 9.00am. Once unloading is finished, stall holders will be required to move their vehicle and park elsewhere (ie: in the streets close by or at the Metropol or George Public Car Parks located round the corner on Fitzroy Street).

INSURANCE

All stall holders need to take out a Public & Product Liability Insurancecover of up $10,000,000. Please include your certificate of currency (showing the insurance cover and validity date)with your application.

LICENCE & OTHER PERMITS
All stall holders selling alcohol (take away or pre-orders bottles only – selling by the glass is strictly prohibited) will be required to apply for a licence with the appropriate authority. A copy of the licence will be required with the application. All ready-to-eat food stalls must comply with the relevant State and Commonwealth Acts.

PAYMENT & CANCELLATION:

Once your application has been approved you will be sent a 5-day term invoice.
All cancellations must be advised in writing. For cancellations made prior to Friday 21 November 2014 5pm, a 25% administration fee will be retained. No refund will be granted after that date.

DETAILS OF PRODUCTS:
The aim of this market is to promote French products sold or made by French designers living in Australia. A small number of ready-to-eat food stalls (with a French flavour) will be accepted. Hot food stalls will be outdoors exclusively. No alcohol can be sold by the glass by stall holders andsecond-hand products will not be accepted. Please list & describe below as best as possible all the products you wish to sell (please include photos of the products with your applicable if available). You must declare on this application if you intend to sell ready-to-eat foods or alcohol. Failure to do so may result in your stall being shut down on market day.

STALL SELECTION:
There are two types of stalls to choose from: indoor or outdoor. Please click appropriate box(es) below:

(1) Coffee, soft drinks or alcohol by the glass cannot be sold by stallholders as these products are exclusively sold at the Alliance Francaise’s café/bar stalls.
(2) 10AMP only. Most indoor stalls will have access to a power point, but only 3 to 4 outdoor stalls will have such access – these will be allocated in priority to food stalls.
(3) Use of the Alliance Française’s cool roomand kitchen will not be available this year.

TERMS & CONDITIONS

1. The organiser, Alliance Française de Melbourne (AFM) reserves the right to decline an application if the proposed products do not correspond to the market’s policy.
2. The AFM will try, to the best of its abilities to avoid the erecting of stalls with the same product. However, the stallholder notes that this cannot be guaranteed.

3. Stallholders must book and attend both market days and cannot dismantle their stall until Sunday 7 December, 5pm.

4. Full payment must be made by the due date as shown on the invoice.
5. The stallholder shall comply with the rules and regulations stipulated by the AFM. In the case of non-compliance by any of the stallholders the AFM reserve the right to cancel the participation of such stallholders.

6. The stallholder shall comply with the rules and regulations of all relevant State and Commonwealth Acts. In the case of non-compliance by any of the stallholders, each stallholder accepts liability for all acts or omissions of themselves, their servants, contractors, and agents and indemnifies the AFM and keeps them indemnified against all liability in respect thereof and against all actions, suits, proceedings, claims, demands, costs and expenses whatsoever, which may be made against the AFM including any legal costs.
7. Stallholders are required to include a certificate of currency of their own insurance showing a public/product liability cover of up to $10,000,000 and validity date at the time of the application.
8. All cancellations must be advised in writing. For cancellations made prior to Friday 14November 2014 5pm, a 25% administration fee will be retained. No refund will be granted after that date.
9. The stallholder will not damage any part of the venue or any equipment therein by nails, screws, oil, paint, or any other cause whatsoever.
10. No stallholder shall erect any sign, stand, wall or obstruction, which in the opinion of the AFM interferes with an adjoining stallholder.
11. The AFM reserve the right to stop any activity on the part of any stallholder that may cause annoyance to other stallholders or visitors.
12. The stall holder is responsible for the safety of their products, display and stall in general. Stalls should not be left unattended at any time.
13. It is the responsibility of the stallholder to keep their stall clean and tidy during the market and on moving out.
14. Stalls must not be removed or dismantled before 5pm on Sunday 07 December 2014.
15. If due to any unforeseen circumstances, it is found necessary to vary the market opening hours, the AFM reserves the right to do so, at their sole discretion.
16. The AFM reserves the right to postpone or cancel the market and will not be responsible for any loss or damage occasioned by the stallholder in this regard. In the event of postponement and the stallholder cannot attend on the new dates or in the event of cancellation, all monies paid to the AFM by the stall holders will be returned within seven days.
