WHAT IT PAYS FOR OUT OF THE OPERATING BUDGET

IT BUDGET RESPONSIBILITY

  • All computers for full-time college employees,classrooms, and open access labs. If IT purchases then the computer is on the IT refresh schedule
  • All telephones (not including cell phones and direct connect)
  • A network printer per department
  • All printer supplies for all IT managed labs.
  • All site licensed or institutional (everyone uses it) software (Microsoft, Banner, Blackboard, etc.)
  • All IT infrastructure equipment.
  • All IT supporting service and maintenance contracts

NOT COVERED BY THE IT BUDGET

  • Departments that purchase their own computers will not be on refresh cycle. Examples include SGA, Comment, Radio Station, etc.
  • Department computer labs that are not managed by IT are not on the refresh cycle and IT does not budget for printing supplies.
  • Non-standard computing purchases by departments
  • Equipment, software, and maintenance contracts purchased outside of IT Budget
  • College affiliated organizations

NEW PURCHASING PROCEDURES

  • All administrative departments are prohibited from purchasing computers and printers for individual users. External grant (NIH, NSF, Davis, etc.) funded computer purchases are allowed subject to IT equipment standards. Computers purchased with Grant funds will not be placed on the IT refresh cycle.
  • Purchasing of computer mice, docking stations, additional keyboards, flash drives, speaker telephone, headphones, etc. should be purchased by departmental operating budgets.
  • Departments mustrequest all non-institutional software and maintenance of software, as well as software servicesthrough the budget process. Administration of non-institutional software is the responsibility of the purchasing department. A software review process will be instituted along with a mechanism for emergency software requests
  • Department computer labs not managed by IT willrefreshcomputers through the budgetprocess. IT will provide review and approval. Support for computers not managed by IT will follow rules as defined in the Secondary DMZ: DMZ (2).
  • Requests for new computer labs as well as expansion of existing computer labs should be made during the budget request process.
  • All technology for meeting locations (except classrooms) will be placed on a five year replacement cycle. A reserve equipment fund will be established to fund the replacement cycle. All technology in meeting spaces will be of a lesser and more economical tier than the campus standard for classrooms and will be purchased subject to Information Technology approval.
  • All IT infrastructure equipment purchases of $150,000 or higher should be a capital expenditure funded via capital funds or other College equipment fund.
  • All student organizations will be allowed to purchase computers and printers for individual users as well as computer mice, docking stations, additional keyboards, flash drives, etc.
  • Computers for student workers, graduate assistants, VLs and Part-time workers will be on a 4 year replacement cycle.Computers or other suitable technology solutions will be of a lesser and more economical tier than the campus standard. A reserve equipment fund will be established to fund the replacement cycle.
