Meeting called to order by President Ronnie Hallenberger 7:00 am.

Minutes from Nov 12, 2009: The minutes were presented by Linda Holter, substituting for Cecile Schutter. No changes suggested.

Motion to accept: by Sharon Williams, second by Vivian Dawkins. Approved by acclamation.

Club Secretary's Attendance/Membership Report: Linda Holter – attendance in November was 78.76%. There were 3 meetings for the month.

New member inducted – Brennan Reilly Dec 3rd. Scott Jordan, Corby Leschber will be inducted Dec 10th. (Corby’s wife Lisa Massey is a member of the Harrisburg RC)
Potential new members: Baroque Feinberg sponsored by Bill Diecks, and Joel Stelling sponsored by Cecile Schutter.

Loss of members: Michael Koerner. Michael lives in Galveston and has been a non-attending member for many years. He is active with the Guerrero Clinic in Mexico but has remained on the club rolls as he has kept up with dues.

Club activities reported to D5890 include book sorting, training classes at The Women's Home, ESL classes, Flag Repair, Breakfast with the President, Holiday Party, club Foundation meeting.

Membership Committee: John Collier – not present. See notes under secretary's report.

New Member recommended for board approval: none, but there are two potential to be reviewed at the next board meeting. See above notes.

All accounting is up to date and on track with the budget.

West U Rotary Club Foundation (WURCF): Russ Schulze, Treasurer

Finally has a financial report after struggling to get the proper data from the past treasurer.

Nov 30, 2009 – Checking Account $68,678.64.

Nov 30, 2009 – Money Market Account $37,694.97. Total, including restricted funds (Caring Friends and the Water Committee) $106,373.61.

Sharon Williams pointed out to change a line name under Community Service from DeBakey Interact to just Interact in able to be more flexible on the school.

Financial Reports were provided and are available to anyone by request to Russ Schulze.

A meeting of the WURCF trustees was held on Nov 12, 2009. Minutes and resolutions were presented to the WURC board. (via e-mail)

Russ has received a proposal from Harper & Pearson CPAs to complete the annual Income Tax Reporting so we do not fall into arrears with reports as has happened in past years which resulted in penalties. The cost to prepare the 990 for 2010 is $800.

This was approved in the October 2009 Board Meeting and comes under expected expense.

Harper & Pearson also suggested that best accounting practice for Non-Profit organizations is to have a minimum of two signatures for expenditures over $2500.00. This is included in the West U Rotary Club Foundation Certified Resolutions Nov 12, 2009 as adopted.

International Service – Kathy Kokas

Jerry did have a request from Pauravi Shah for an overage expense of $554.90 for a recent water project with EWB Central Houston Chapter for their 2008-09 Nicaragua Solar II 2009. Terry Ziegler made a motion to help EWB in good faith for half the amount, $250.00. Vivian Dawkins seconded the motion. Funds to come from the International Service Committee budget rather than the water committee budget. Approved by acclamation for $250.00.

Book sorting: Dec 3rd. Wine tasting fellowship was postponed until the January event. Unfortunately there were only four members that attended.

Friendship Exchange – possibility only three or four couples coming from Germany. The exchange will be the last Saturday in March through Easter Sunday. Activities will be scaled down and only involve West U rather than District wide. Dee understands there may be another group visiting from Leipzig during the District conference time. More details from Ed Charlesworth.

Our exchange student is now with the Ziegler family. Juliette attending RYLA was discussed as we have not done this in the past. Juliette has already graduated from high school so she's actually over the age limit. No decisions made.

Community Service – Sharon Williams and Manesh Shah (Manesh has company meetings every Tuesday morning and is unable to attend the board meetings. He is not a voting director)

Inspired by the speaker last week, James McSwain, principle of Lamar HS, Sharon discussed having a regular club meeting at Pershing MS with Robin Lowe to learn more about middle school issues. Discussion was held regarding the participation and effect to attendance. No decisions made as this is not up for board approval because this is not a cancellation of a regular meeting just a change of venue.

Rick Shanks – Emory-Weiner HS Interact Club– no update.

Greg Faldyn – no updates on YES.

Bob Geary – was still short two people for the minimum number of donations required for blood donors.

ESL had 14 students attend on a rainy night.

Vocational Service – Carol Gradziel. Congratulations to the Vocational Award Committee for an excellent award ceremony at the Holiday party. The winners are:

VS – Rotarian: Jerry Gips, for all his service with Water Committee Projects

The Women’s Home: No updates.

Polio Plus Campaign: The Polio Plus Society –There are 114 members to date throughout D5890.

Rotary Holiday Sale – (formally known as Holiday Fruit Sales) Greg Faldyn reported that all is on track. The non-perishable Texas Baskets are being created on Dec 9th, and the fruit baskets on Dec 16th. Delivery to be received at Skeeter’s Dec 17th.

New Officers Election for 2010-2011. By Don Raskin – Don to present the slate of Officer and Directors starting Dec. 10th.

New Business: Discussion about appreciation given to the staff of Skeeter's. Suggested $100 per employee. Expense $500 - $600. Motion made by Cecile Schutter, second by Sharon Williams. The expense to be taken from the breakfast cost account. Approved by acclamation. Ronnie to follow through.

Toys for Christmas: donations to be accepted Dec 10th meeting and being distributed to the Oaks on Bissonnet residents.
