INFORMATION FOR PARTICIPANTS

1.TRAVEL ARRANGEMENTS

The BecA Hub will provide you with a return e-ticket for your travel to Nairobi and back to your home country. We will not cater for the ground transport.Please note that once you confirm your route and travel dates, the ticket will be issued. Any change made after confirmation will incur additional fees at the participant’s expense.

2.PASSPORT AND VISA INFORMATION

Foreign nationals must have passports valid for at least six months longer than the validity of their stay, and in some cases visas are required.

  • Nigeria/Senegal/Cameroon passport holders: a visa authorization documentmust be obtained prior to departure. You must carry a copy of the authorization document sent to you to facilitate visa issuance at the airport in Nairobi.
  • Uganda/Tanzania/Burundi/Ethiopia/Eritrea/South Africa/Ghana/Rwanda: Visa not required for a maximum stay of 3 months
  • Sudan/Cote d’Ivoire: Visa required and can be obtained on arrival for USD 50 (single entry)
  • Nationals of Eritrea, Ethiopia, Senegal, Somalia and S. Sudan require a referral visa, I will advise on the way forward. Please consult the following website or your local embassy ( )

NB:Obtain a business visa at the airport in Nairobi (do not obtain a tourist visa). Please carry a copy of your workshop invitation letter in your hand luggage.

Yellow Fever vaccination certificates are required for entry if you are coming from a countrywhere it is endemic. If you are arriving from a country where it is not endemic, a Yellow Fever vaccination is still“highly recommended” by the Kenyan authorities.

3.ARRIVALS AND DEPARTURES

Airport transfer service has been arranged for each participant from Jomo Kenyatta International Airport (JKIA) to the Pride Inn Lantana and back to the airport by the BecA Hub. Upon exiting the customs area at the airport, please look out for the driver at the International Arrivals area holding a placard displaying your name or ILRI. In case of flight delays or an emergency regarding transport to and from the airport, the transfer service agency (Charleston Travel) has an office at the airport on the 1st Floor of the International Arrivals, Suite No. 1.37, and can be reached on Tel +254 720 235819. You can also contact us (see last page) if you encounter difficulties that cannot be resolved by Charleston Travel.

4. ACCOMMODATION

Participants will stay at the Pride Inn Lantanawhich is located in the Lavington suburb approximately 45 minutes (depending on traffic) from the airport. Reservations have been made at the hotel according to the flight information for each participant. Hotel accommodation will be paid directly by the BecA Hub. Extra services (such as room service, laundry, phone calls) will not be covered by the BecA Hub and must be settled by the participant before departure. Hotel check-in time is 2:00pm and check-out time is 10:00am.

5.HOTEL SERVICES AND AMENITIES

The hotel has the following services and amenities, some at an additional cost to the participant:

• Business Center (at an additional cost)

• Laundry services (at an additional cost)

6.MEALS

Breakfast is included in the cost of the room and starts at 6:30am. Lunch will be served at the ILRI cafeteria, and dinner will be provided by the hotel at 7:00pm. All participants must take their dinner from here; if taken anywhere else, the participant will be required to pay.

There will be a Workshop Dinner for all participants and trainers at a restaurant in Nairobi in the course of the workshop.

7.WORKSHOP VENUE

The workshop will take place in Laboratory 4 and the John Vercoe Conference and the room 720, all located at the ILRINairobi Campus in Kabete, Nairobi.

8.CURRENCY

The currency isKenya Shillings. US dollars can be exchanged for Kenya Shilling at the ILRI campus bank. The banking hours are 9:00am – 4:00pm.

9.INCIDENTALS

We do not pay perdiems to the workshop participants. Workshop participants from non-visa paying countrieswill receive a single payment of $100to cover ground transportation and en-route incidentals within their respective countries. Participants from visa-paying countrieswill receivea single payment of $150 to cover visa cost, ground transportation and en-route incidentals in their respective countries.

NB:Kindly note that you will be required to submit your visa receipt (where applicable) and boardingpass on the first day of the workshop. (PLEASE ENSURE THAT YOU KEEP YOUR BOARDING PASS AND VISA RECEIPT SAFELY).

10.WORKSHOP TRANSPORT

Return transport will be provided each day of the workshop from the Pride Inn Lantana to the ILRI Campus. The bus will depart at exactly 7:30am from the hotel reception.Do not be late.Please ensure that you are at the Hotel reception to board the bus in good time.

11.WEATHER

May is commonly a cold and rainy month, with sunny spells; the temperature varies between 13°C and 22°C. Warm clothing may be needed at night to cope with the dramatic temperature change.

12.TIME ZONE

Kenya is in the GMTZone (+3 hrs).

13.LAPTOPS

Please bring your own laptop with you so that you can access online training materials and software during the course. Electricity sockets are British 3 pin. DO NOT check in the lap tops.

13. INTERNET

Wireless internet access facilities are available free of charge at the ILRI.
