Executive Officer

POSITION DESCRIPTION

Position Title / Great Eastern Country Zone Executive Officer
Estimated hours / Average of 33 hours per month
(variable between 18hrs to 55hrs per month)

Position Objective

To provide efficient and confidential assistance to the Great Eastern Country Zone.

Key Responsibilities and Duties

Key Duties
Communication with Zone Stakeholders /
  • The Zone Executive Officer is the principal point of contact for all Zone business
  • Liaise with the President and Executive Committee as required
  • Liaise with WALGA on a range of Zone issues
  • Facilitate appointment of specialists and consultants for Zone business when directed

Meeting responsibilities /
  • Attendance at Zone Meetings
  • Compiling and forwarding timely notice of Zone meetings to member Councils.
  • Preparation of agendas and minutes of all meetings
  • Preparation of meetings, re: meeting room bookings and set-up, teleconference facilities etc.
  • Prepare correspondence and any action items relating to all meetings
  • Assist in organisation of any other meeting or deputation.
  • Assist in organisation of the joint Wheatbelt Conference
  • In conjunction with the Zone President arrange guest speakers for Zone meetings including relevant State and Federal Members of Parliament.
  • Conduct of Zone elections
  • Facilitation of other Committees from time to time.

Finance /
  • Maintain financial records, bookkeeping functions and taxation compliance
  • Preparation of the annual budget.

Public Relations and Advocacy /
  • On occasions, provide advocacy on behalf of the zone as agreed by the Zone Executive with Ministers, Members of Parliament and others as required.
  • Prepare submissions relating to matters affecting Zone Member Councils.

Position Requirements

  • Excellent written, verbal communication and interpersonal skills
  • Developed finance and reporting skills
  • Good time management and organisational skills
  • Strong public relations and advocacy skills
  • Working knowledge of communities and regional issues
  • Hold adequate insurance cover

Minimum Insurance Requirements

The successful applicant will be requested to provide evidence that they hold the following minimum insurance policies:

  1. Insurance under the Workers Compensation and Injury Management Act 1981
  2. Public Liability insurance with a sum insured of not less than $10,000,000 per occurrence; and
  3. Professional indemnity insurance with a sum insured of not less than $2,000,000 per occurrence.
  4. Travel and journey cover.
