a. Bookappointments in JuniorHead’sdiary. Receive the Head’svisitors,incoming telephone calls,other messages and,ifrequired, e-mails, responding on behalfof theJunior Head toroutineenquiries,passing onmessagesto appropriatemembersof staff, and ensuring that all callers receive anappropriateresponse within requiredtimescales; ensurethat confidentialand sensitive issues aredealtwith
in anappropriatemanner.
b. Deal proactivelywith all incoming andoutgoing correspondenceto andfromtheJuniorHead’soffice, includingdraftingletters,emailsorInTouchmessaging, in ordertoensurethatanappropriateandtimelyresponse is madeto all communications.
c. Manage the JuniorSchool Calendar,liaisingwiththe Head’sPA tocheckSeniorSchool events,ensuringthere arenoeventclashesand thatdetailsare clearly communicatedto parentsand staffinatimelymanner.
d. Ensurethat administrative systemsand procedures within the Junior School are compatible with whole school systems, andthatappropriate information isshared with the SeniorSchool,in particularto ensurethesmoothtransferof pupilsbetween the JuniorandSeniorphasesof the school.
e. Ensurethat reception doorsare secureatall timesandthat thereceptiondeskisalways manned.Visitors(going beyond reception) mustsign inand outandbeprovided with securitypassestomeet therequirementsof security and health andsafety.

h. Liaise with theICT Operations andInformation Manager to further progressuse ofSimsacrosstheJuniorSchool.

i.Takelead responsibilityforspecifiedadministrative systems and annual dutiese.g.Updating theJunior StaffHandbook and notice boardsasrequired bytheJuniorHead,including the design and implementation ofprocedurestoensurethat the systemsrunsmoothlyand efficiently.

j.Aspartof the administrative team, contributetothe smooth running oftheschool office,includingproviding coverfor colleaguesasrequired,andprovide general administrative assistancetotheHead, DFOandschool staff.

a. Liaisingwith the Registrar maintain an induction checklist to welcomeandsupportnewparentsinto the JuniorSchool Life.

b. Attendkeyfunctionsandeventsto support prospective parents,e.g.Open Daysand Parent Evenings.

c. Provide a supportive andsympatheticpointofcontact forstudentsorparentsindistress, summoning assistance asrequired.

d. Maintain the attendanceand absenceregister toensure that absencesarerecorded and appropriatelyfollowed up.

e. Provide first aid to studentsasandwhen necessary.
