1. Home. School Year Setup.
a. In the Review and Update information about the School, click the green School hyperlink to enter and update data in all fields on the School Information page. Fields with a red asterisk (*) are required fields.
b. Enter a zip code in the Zip Code field and then click the Find button to display the city and state.
c. Click Save at the bottom of the screen when finished.
d. Click Home at the top left of the screen
e. Click the green Mark Complete hyperlink
f. Click the green Unit hyperlink and enter data in all fields with an asterisk (*)
g. Select the Senior Affiliation from the pull down list.
h. Click Save at the bottom of the screen when finished.
i. Click Home at the top left of the screen
j. Click the green Mark Complete hyperlink
2. Add a new cadet. Go to Manage Cadets, Search Add Cadets and click Add Cadet.

3. Promote David Allen to Private First Class. Go to Manage Cadets, Search Add Cadets and search for David Allen.
a. Click the Rank hyperlink
b. Click the Add New button
c. Select Private First Class from the pull down list under Rank.
d. Save
e. Click the Printer icon under Action to view the Promotion Order
4. Manage Lists
a. Select Award Category List and add School Awards as the Category
b. Select Award Lists and add ADOPT-A-SPOT to the School Awards Category
c. Enter 1 for Required Credit
d. Save
5. Manage Lists
a. Event Name List
b. Add ADOPT-A-SPOT
c. Save
6. Manage Unit
a. Select Manage Events then Add New
b. Select ADOPT-A-SPOT from the event pull down
c. Select Community Support from the event category pull down
d. Select Environmental Cleanup from the Event Type pull down
e. Enter 4 in Event Community Service Hours
f. Enter 2 in # of Staff
g. Save
7. Manage Unit Events
a. Event Instances – select ADOPT-A-SPOT by clicking the radio button
b. Awards linked to ADOPT-A-SPOT, click Add New, select School Awards from the pull down list under Category
c. Select ADOPT-A-SPOT from the pull down list under Award
d. Enter 1 for Event Credit
e. Save
8. Cadets linked to ADOPT-A-SPOT
a. Click Add New and select 10 cadets.
b. Save
9. Manage Unit – Upline Reporting Data – Unit Report
a. Select NO for probation and YES for Participated in JLAB
b. Save
c. Create Report
10. Go to Manage Supplies, Clothing, Clothing Adjust Shelf and add the following clothing Catalog items and quantities. In Location pick Catalog, in Category Pick All, in Expendable pick No and Search
a. SKIRT, WOMANS AG-489, SIZE 10MR – Actual Inventory – 10

i. Save
12. Issue clothing to David Allen. Go to Manage Cadets, Search Add Cadets and search for David Allen.

13. Create the Clothing Hand Receipt for David Allen. Go to Reports, Clothing: Cadet. Select Cadet Clothing/Instruction Materials Record.

14. Create a New Clothing Order. Manage Supplies, Clothing, Clothing Orders. Order the following clothing items and Submit the Order.

c. BOOTS, COMBAT, HOT WEATHER, TAN, Size 7R, Order Quantity – 5

e. To submit the order, click the Edit icon under Action for your order. Scroll to the bottom of the screen and click the Submit Order button.
15. Receive the following items by clicking the package icon under Action. You received a partial shipment of 15 of the BADGE QUALIFICATION, EXPERT AIR RIFLE

17. Annual Reports – The following reports are located under Manage Unit, Upline Reporting Data
a. Enrollment Report
b. GPC Report
c. Manage Control Report
d. P.A.R.T Report
e. Unit Intentions of Graduates Report
f. Unit Report
18. To create an Enrollment Report
a. Enter the Number of Students for the School Enrollment for Freshmen, Sophomore, Juniors, and Seniors.
b. Enter the Ethnic Breakout of Males and Females for the School. The total for the School Enrollment and grand total for the School Ethnic Breakout must match.
c. Save and click Create Report
d. Click the Submit button and the submitted report will be listed under Reports and Submitted History.
19. GPC Report
a. Go to Manage Lists and GPC Description List.
b. Click Add New and enter and item in the GPC Description box.
c. Save
d. Repeat these steps for additional items.
e. Go to Manage Lists and GPC Supplier List
f. Click Add New and enter and item in the GPC Supplier box.
g. Save
h. Repeat these steps for additional suppliers
20. Create a GPC Report
a. Go to Manage Unit, Upline Reporting Data and pick GPC Report
b. Under GPC Purchases click Add New
c. Report Year and Report Month will default to the current month and year. If you are working on a different month or year, then select it from the pull down.
d. Enter Starting Balance
e. Enter Card Holder
f. Enter Billing Official
g. Save
h. Click the radio button under Select
i. Under GPC Purchase for the month and year click Add New
j. Enter the Control Number
k. Date Ordered defaults to the current date. Select if different.
l. Select the Supplier
m. Select the Description
n. Enter the number of items
o. Enter the Authorization – this field is optional
p. Enter the Date Received if different from the default date
q. Enter the total price.
r. Save
s. To SUBMIT the GPC Report, click the printer icon under Action under GPC Purchases and then click the Submit button. The submitted report will be listed under Reports and Submitted History.
21. PART Report – Community Service hours and Service Learning hours are auto-populated from Manage Events Unit Report.
a. Go to Manage Unit, Upline Reporting Data and pick P.A.R.T Report
b. Select the School Year
c. Under Success Stories, enter the total number of students receiving the President’s Student Service Award and the Testimonial
d. Under Partnered Organizations, check all that apply and enter the total number Partnered organizations on all service events
e. Under Adopt-a-School, click Add New and enter the School Name and check all that apply under Program Type and Save.
f. To submit the PART report, click Create Report and then click Submit. The submitted report will be listed under Reports and Submitted History.
22. Unit Intentions of Graduates Report
a. Go to Manage Unit, Upline Reporting Data and pick Unit Intentions of Graduates Report
b. Select the School Year
c. Under Graduates, click the edit icon under Action and enter the graduation plans for each senior and Save.
d. Under School/Unit Information, enter the Average GPA Scale for the school, and the Average SAT and ACT, dropouts, suspensions, average daily attendance, and graduates for the school and unit. SAT and ACT scores can be entered for each cadet in the Academic link under Manage Cadets. The averages scores will display in the System Derived for Unit column
e. Save then click Create Report and then click Submit. The submitted report will be listed under Reports and Submitted History.
23. Unit Report
a. Manage Unit – Upline Reporting Data – Unit Report
b. Click the radio for Yes or No for probation
c. Click the radio for Yes or No Participated in JLAB
d. Enter Principal Comments
e. Select the DAI/SAI/AI
f. Save
g. Create Report
h. Click Submit. The submitted report will be listed under Reports and Submitted History.
