Dear Vendor,

We are cordially inviting you to participate in the 2017 Northwest Region of the Wound Ostomy Continence Nurses Society (NWR WOCN) conference to be held October 6th and 7th at the Double Tree by Hilton in Portland, OR. The NWR WOCN includes Alaska, Idaho, Montana, Oregon and Washington. Our annual conference provides affordable education to nurses interested in our specialty as well as support to WOC Nurse Counselors and children attending the Youth Rally camp.

We will have 8 foot tables available and the hotel is providing the table skirts, electricity, trash cans and 2 chairs. Internet access is shared through the public hotel access. You will be provided a list of attendees who agree to share their contact information. This is one of the best opportunities to connect with clinicians in our region. In attempt to better showcase your products and services, we are planning to set up the food and beverage stations in the back of the Vendor Exhibit Hall. Your tables will be in a secure location and can be left set up throughout the entire conference.

The fee per table is $500 and includes two complementary conference registrations and all meal functions. $50 will be charged for each additional vendor. Due to seating limitations in the program rooms, each additional vendor will be expected to register for the conference if they want to attend the presentations and obtain CEU’s. If you are “an additional vendor” and have not registered for the conference, please do not take seating at the tables.There will be a few extra chairs in the back for people who just want to “pop-in”.

We would like to offer you an opportunity to provide additional support by sponsoring a meal, event or speaker. This extra support will be recognized during the conference and on our printed material. We are tremendously grateful for all of your support and information.

Friday, October 6th at 6am, the exhibit hall will be open for set up. We understand this only allows one hour for set up and we apologize for this, however, we do not have another option as there will be a group in the space late the night before. Please see below for shipping information* if you would like to ship materials directly to the hotel.

Friday, October 6th we are planning to open the exhibit all at 7am to attendees for breakfast. We will then offer amorning break, lunch and afternoon break with vendors. From 6-9pm we will be hosting our annual Youth Rally Auction and would love for you to attend. If you cannot stay with us until Saturday, tear-down is during lectures or after 6pm.

Saturday, October 7th we are planning another breakfast and morning break with vendors. Tear-down is during lectures or after 1:15pm.

Please note: We want to respect your time constraints; but respectfully request you not tear-down during our activities or functions with other Vendors as it is distracting and confusing for attendees who believe all exhibits are closing.

**Parcels can be claimed at our Front Desk or Concierge Desk located in the main lobby or with the Banquet Department. A banquet captain or staff member can assist you on site.

Pricing to Receive and to Ship Packages/ Inbound and Outbound:

Large Envelope: Complimentary

Individual Package: $5 per package

Pallets or Crates: $50 per pallet receiving fee + $50 per day fee to store the pallet + a $50 labor fee to deliver the pallet to the meeting space.

**Please note: The DoubleTree recommends that shipments of pallets should be arranged through a drayage company to be delivered on the day of set up. If this arrangement is made, no charges will be incurred. If shipped directly to the hotel, the above fees apply.

Shipping from the DoubleTree:

Fed Ex and UPS pick-ups occur Monday-Friday at 10am and 3pm. If you are shipping via these methods, you can expect your boxes to be shipped out the following business day. Labels can be provided if needed by our Concierge Staff or Banquet Staff. Individuals are welcome to provide their own labels. If boxes need to be shipped out at a specific time, it is up to the person shipping out the boxes to arrange for their own pick-up by a specified courier. Please feel free to see our Concierge Desk if you need additional assistance. Please notify the Concierge Desk or Banquet Staff when your packages are ready and labeled to be picked up to ship out. ***Please do not just leave your packages in a meeting room. The DoubleTree will not be held responsible for parcels left unattended.
