Subject / Summer Graduation Ceremonies 2016

This year the Summer Graduation Ceremonies will take place in the Sir William Whitla Hall from Thursday 30 June to Wednesday 6 July (excluding Sunday). There will be a total of 12 ceremonies with a garden party following each morning and afternoon ceremony.

You are invited to be present at both the ceremony and garden party for your School. Members of staff are encouraged to take part in the academic procession and it is hoped that there will be strong representation from each School. There is no fee for the hire of academic costume for those taking part in an academic procession. Hire of academic costume should be arranged by completing the last page of the attached form. If your academic dress is not from Queen’s, the hire cost will be covered but you must submit your request no later than Monday 23 May 2016.

To ensure maximum utilization of the Hall and to give students the opportunity to celebrate with as many of their family and friends as possible, extra ceremony tickets for staff will be extremely limited and allocated after student requests have been fulfilled. If any are available, they will be allocated on a first-come, first-served basis by contacting Oonagh Bell, Student Registry Services, email: and not through the Eventus office. Those taking part in the academic procession do NOT require a ticket for a seat in the Hall or a garden party ticket.

Please complete and return the enclosed reply form to Melissa Kent at Eventus, Queen’s University Belfast, by Monday 23 May 2016. Please ensure that the deadline date is adhered to as late submissions make planning the event very difficult. Your co-operation in making the arrangements is very much appreciated.

REQUEST TO HIRE ACADEMIC COSTUME

The Academic Costume Hire Service is now permanently located on the ground floor of the Administration Building and this is where academic costume will be issued from. The entrance is via the doors facing into the rear car park.

Hire Costs

The University will cover the cost of the hire of academic costume for all staff participating in an academic procession. This applies to both Queen’s costume and costume sourced from other universities.

Procedure for Academic Costume Collection and Return

Costumes sourced from other Universities must be individually signed for at the point of collection from and return to the Gown Store. You will be asked to produce your staff card at this point. If you are not able to collect it yourself, the person collecting on your behalf must sign for it.

The person who signs for the collection of the costume will take responsibility for its return.

All academic costume must be returned to the Academic Costume Hire Service promptly after the ceremony. Please ensure the label on the gown remains attached and intact.

N.B. Hire fees for academic costume will be charged if it is not returned on time.

Queen’s University Academic Costume

Collection time: Please collect your academic costume at least an hour before your ceremony.

Hire of Academic Costume from other Institutions

If you require academic costume from another institution, we will endeavour to source it for you. However, it must be noted that in some cases in which our supplier may have difficulty sourcing your costume they may send a generic costume of the country you graduated from. We can also offer the nearest equivalent Queen’s University costume.

Collection time: Costumes from other institutions must be collected between 9.30am and 4pm on Friday 24 June.
