Welcome to SacAnime’s Summer 2017 Artist Alley being held at the Sacramento Convention Center from September 1st- 3rd, 2017.

SacAnime’s Artist Alley is a venue for artists to display and sell their original artwork and crafts. Both amateur and professional artists are welcome. Artist Alley will be located with the Exhibit Hall in the Sacramento Convention Center.

RULES OF CONDUCT

1.Artist may only occupy their assigned table and assigned table space.

2. Artist’s display may not spread beyond their allotted space. Any displays that are blocking walkways behind tables, in front of tables, touching neighboring tables, seem unsteady or unsafe, or contain any inappropriate words or imagery can and will be removed or taken down at the discretion of SacAnime’s Artist Alley staff.

3.Artist is expected to maintain a presence at the assigned table. Event Sponsor is not liable for items that are left unattended at Artist’s table.

4.Event Sponsor is not liable for stolen or lost goods. The doors to the Event Space will be locked and secured after hours, but this does not guarantee the security of Artist’s items.

5.Do not use the Artist Alley tables or chairs as stepladders or scaffolding. Artist accepts all responsibility for injury caused by using the Sacramento Convention Center equipment other than its intended purpose. If the Artist should damage any Sacramento Convention Center supplied materials, Artist will accept full responsibility for replacing the damaged equipment. The tables and chairs are inspected before the convention. If Artist receives faulty equipment it is the Artist’s responsibility to immediately inform SacAnime’s Artist Alley Director.

6.The Artist tables may not be moved. Moving the tables from their original positions may result in Artist’s removal from the Event Space without refund.

7.Only two (2) chairs are permitted at each table. Taking chairs from empty tables may result in Artist’s removal from the Event Space without refund.

8.Securing art or any construction directly to the Sacramento Convention Center equipment such as tables, chairs and walls is prohibited.

9.Any and all set-ups or displays must not interfere with neighboring tables to either side or behind the Artist’s table. Any and all set-ups or displays may not block any of the aisles. All displays must be stable and not pose a hazard.

10.Balloons are not permitted under any circumstances in the Event Space.

11.All sales transactions must be completed at your table. Selling in other areas of the Sacramento ConventionCenter as well as in the Event Space aisles is prohibited.

12.SacAnime may prohibit the sale of any item at any time, for any reason.

13.All material that is inappropriate for minors must be covered and/or stored away. Customers must be of legal age (18) to view/purchase said material. Failure to do so will result in immediate expulsion of Artist from the Sacramento Convention Center without refund. SacAnime will have final judgement in any violation.

14. Misconduct by Artists will not be tolerated and may result in expulsion from the Sacramento Convention Center without refund.

15.Music or videos that are played at Artist’s table must be at an acceptable sound level. If a complaint is filed, SacAnime will issue a warning. Any subsequent violation will result in removal of Artist from the Event Space without refund.

16.Artist has the right to prohibit any and all photography of their Artist Table and any merchandise displayed in their assigned space.

17. “Hawking” or yelling to draw attention to your table is prohibited.

18. Lit candles or Incense are prohibited. Please do not make your table a fire hazard.

19.Industrial Machines and Volatile/Flammable Liquids are prohibited. Please do not bring industrial machines, aerosol cans, airbrushes, or any other supplies or equipment that could be potentially harmful, dangerous or noisy.

20. The convention center fines SacAnime for any large messes left behind! Please remove your trash from your table space at the end of the convention. If you do not clean up your table space upon leaving, it will result in penalties up to a temporary ban from showing at SacAnime.

●“Large messes” includes large amounts of trash, boxes, food packaging, and piles of paper scraps any larger than 1 ft x 1 ft.

21. Artists are prohibited from plugging any electronic devices into the walls of the convention center. If you need power routed to your table accommodations can be arranged for a $60 fee. That same fee will be charged to anyone found using the wall outlets without exception.

TABLE SPACE

Each Artist Alley table is eight (8) feet by two and a half (2.5) feet and includes one (1) Weekend Registration and two (2) chairs. The space behind each table is three (3) feet. Skirting/table cloths will NOT be provided. We suggest artists bring their own table coverings.

HOURS OF OPERATION

The Artist Alley will be open to the public during the hours listed below.

Friday: 12:00PM to 7:00PM Saturday: 10:00AM to 7:00PM Sunday: 10:00AM to 6:00PM

Check-In

Check-in will begin on Thursday at 12 pm (noon) and will conclude at 11pm. If you are unable to check in on Thursday, we will be back on Friday at 7am to check you in. Artists will pick up their badges at Artist Alley Registration, located in the back of the Exhibitor’s hall. Please have all necessary documents ready, including a valid ID and your seller’s permit.

Set-Up and Breakdown

Setup time for Thursday is noon - 11pm. The Artist Alley will be open to artists for set-up at 7:00AM on Friday, 9:00AM on Saturday and Sunday. Artists will have thirty minutes after closing to break down and vacate the Artist Alley. Artists must leave the Exhibit Hall directly—loitering around the vendor booths is not permitted. The doors to the Exhibit Hall will be locked one hour after closing. Under no circumstances will artists be allowed into the Exhibit Hall/Artist Alley after the doors are locked.

The Artist Alley staff will be available during public hours, set-up, and breakdown. After the Exhibit Hall doors are locked, the staff will not be available for any reason for the remainder of the night.

Age Restriction

Artist must be sixteen (16) years of age or older at the time of the Event. Artists who are not eighteen (18) years of age or older at the signing of the contract must have the consent of and be accompanied by a parent or legal guardian while selling at the Event.

Loss/Damage Liability

Event Sponsor makes no claim of the safety and security of Artist’s property. Artist will not hold Event Sponsor responsible for any loss or damage of their property.

ARTIST ALLEY/SMALL PRESS QUALIFICATION

Someone who designs and creates their own original product qualifies to purchase a table in Artist Alley.

Someone who commissions the creation and production of their original product qualifies to purchase a SmallPress table in Artist Alley as long as they hold the rights to these creations.

SALES

Allowable Items for Sale:

Original hand-made items of an artist’s own work and own designs

•Any item featuring an artist’s own original character

•Commissioned and hand-drawn works made during the convention

•Original hand-drawn items including doujinshi, fanzines and similar items

•Original hand-crafted items including etched glass, sculptures, cards, games, plush toys and dolls

•Original clothing, costumes and accessories including t-shirts, bags, pins, buttons, jewelry, props, ears,

tails, chain mail

• Self-published works including books, CDs and DVDs.

Fan art clearly showing the artist’s work being produced and not intended to replicate the original style or the official likeness of a work held by the license holder. Artists selling prints of their FAN ART may not have more than ten (10) copies of each item for sale. SacAnime will have final judgement in any violation.

RESTRICTIONS

Items Artists are NOT Allowed to Offer or Sell:

• Food or Beverages

• Hazardous Items

• On-site airbrush, enamel, glass etching or oil paint-based artwork

• Selling, reselling or distribution of commercial products

• Weapons

• Makeup products or face painting services

• Panels, autograph sessions or other themed programming

Grey Market Goods and Pseudo-Merchandise

“Grey Market Goods,” also known as “bootleg” merchandise (products that are considered to be illegitimate, pirated or illegal), are strictly prohibited at SacAnime. “Pseudo-merchandise” (items that, intentionally or not, directly compete with licensed merchandise available in the Exhibit Hall or elsewhere) is also strictly prohibited. Pseudo-merchandise includes items such as cosplay props and costumes, cosplay weapons, t-shirts, buttons, key chains, and cell phone straps that are similar to existing licensed merchandise. A general rule to follow is to avoid using fanart of any type on t-shirts, bags, buttons, stickers, key chains, and like items.

Prohibited Fanart

By request of the creators, artists may not bring or sell any premade merchandise (on site commissions are allowed) from any of the following franchises:

- HomeStuck

- Rooster Teeth, including both RVB and RWBY

- Welcome to Nightvale

If an Artist has any premade fanart (for sale, or for free) from any of the above they will be required to remove the items from their table. Failure to remove these items will result in the artist being removed from Artist Alley immediately, with no refund for their table space, and the Artist may be put on probation for the following con season.

Reproduced Artwork

Do not under any circumstances use artwork that is not your own. Do not trace, vectorize, copy, or otherwise alter and/or reproduce artwork that is not your own, whether as a part or the whole of a work. This includes official logos, symbols, background art, and any other pre-existing artwork or images that are not yours.

Artists are also prohibited from directly using another artist’s work to create their merchandise, such as cutting up Pokemon cards to be used as buttons.

Adult Material

Artwork deemed inappropriate for children must be kept behind the table and out of view. It is the artist’s responsibility to ensure that adult material is not accessible to minors. Artists found to be selling adult material to minors will be expelled from the Artist Alley immediately and may receive a permanent ban.

Proxy Selling

Proxy selling (i.e. selling the works of a person who is not present and a registered artist in SacAnime’s Artist Alley) is strictly prohibited. Collaborative works, such as anthologies and sketchbooks, would be an exception to this rule.

Studios

If multiple people are involved in the pieces on display in the artist alley, all artists involved must be present for the entire duration of the convention and must be prepared to provide proof of their involvement of the artwork advertised. Examples of involvement can include sketches and .psd layer files. Please have examples on hand in a flash drive.

Since there are only two (2) spaces available per artist alley table, only the art done by the two artists present at the table is allowed.

If you belong to a studio which has more than three employees and thus more than two people represented in the displayed artwork, please consider acquiring a Dealer’s Hall table.

Dealer’s Hall and Artist Alley

If you have acquired a space in the Dealer’s Hall, you are not eligible for applying to and obtaining an Artist Alley table. You may not have a Dealer’s Hall space and an Artist Alley table at the same time.

Mass Production

Mass production of fan art is strictly forbidden. The Artist Alley is a venue for amateur and young professional artists to promote and sell their original artwork - it is not a cheaper alternative to an Exhibit Hall space, nor is it an easy way to make money off of intellectual property that is not your own. For the sake of SacAnime’s Artist Alley, mass production may be defined as more than ten (10) copies of any specific item or art print.

Copyright Law

It is the responsibility of the artist to ensure that their artworks do not violate any copyright laws. SacAnime and the Artist Alley staff cannot and will not provide legal protection to artists under any circumstances. The Artist Alley staff reserve the right to challenge possible violations of copyright at their discretion.

HARASSMENT/CONFLICT

In the case of harassment or conflict, please notify the Artist Alley staff immediately. If an issue of copyright or art theft arises between you and another artist or vendor, please notify the Artist Alley and/or Exhibit Hall staff.

CALIFORNIA SELLER’S PERMIT

By law, any individual selling items in the state of California must have a California Seller’s Permit. The permit is free, and very easy to obtain. You may apply for a permit by mail, or in person at one of the Board of Equalization field offices. SacAnime’s Artist Alley requires that all artists provide a photocopy of their seller’s permit in order to complete their registration. Additionally, all artists must keep either the original or a copy at their table as according to state policy. The application can be found at the California Board of Equalization website at you run into problems that cannot be addressed by the Board of Equalization, please contact the Artist Alley staff as soon as possible.

SACANIME Summer 2017 ARTIST ALLEY CONTRACT

This is a contract for a space at the SacAnime Summer 2017 Artist Alley, which will become a contract between SacAnime (“EVENT”) and the person or persons renting the space (“ARTIST”) upon acceptance. It is based on the terms set forth below, in addition to forthcoming updates and amended information, all of which constitute part of this contract.

SPACE FEE: The registration fee is ONE HUNDRED DOLLARS ($100.00) per table. ARTIST will have the space for the entirety of the convention. You may purchase one additional badge for TWENTY DOLLARS ($20.00). Only two badges are allowed per table. NO EXCEPTIONS.

LOCATION AND PLACEMENT: SacAnime Summer 2017 Artist Alley will be held in the Sacramento Convention Center. All activities related to the Artist Alley will be restricted to only those areas as designated by the EVENT. EVENT reserves the right to make changes at any time during the interval leading up to and during the course of the event.

USE OF SPACE: It is understood that there may be no more than two persons (ARTIST or otherwise) behind a space at any given time. No additional chairs may be placed behind the table at any time.

CROWD CONTROL AND ETIQUETTE: ARTIST shall conduct itself at all times in accordance with normal standards of decorum and good taste. ARTIST is expected to control the flow of traffic around his or her reserved space. Furthermore, ARTIST is expected to follow basic rules of etiquette in regards to use of space and level of noise in the Artist Alley. Should crowd control or complaints regarding behavior become a repeated problem (as identified by EVENT) ARTIST may be asked to vacate his/her reserved space and may further be permanently banned from SacAnime and/or the Artist Alley.

PRODUCTS AND SERVICES TO BE DISPLAYED AND/OR SOLD: (a) All items on sale and display must be the original creation of ARTIST. DVDs, model kits, manga/comic books, production cels, or other commercially produced items of any type will not be permitted to be sold in the Artist Alley. (b) Mass production of fan art is prohibited.

TAXES AND LICENSES: It is understood that the ARTIST of this contract is responsible for obtaining any licenses, permits, or approvals required under law applicable to their activity at SacAnime Winter 2017. The ARTIST shall be responsible for obtaining any tax identification numbers and paying all the taxes, license fees, fines, or any charges that shall come due to any governmental authority in connection with their activity at SacAnime Summer 2017. ARTIST will be required to provide proof of a California Seller’s Permit, temporary or otherwise, which may be acquired from the California Board of Equalization.

HOLD HARMLESS: ARTIST agrees to assume all risk, and to indemnify and hold harmless EVENT, the Sacramento Convention Center, its owners, officials, officers, volunteers and employees (also identified as “INDEMNIFIED PARTIES”) from and against any and all claims, demands, defense costs, liability, expenses or damages of any kind or nature arising out of or in connection with the EVENT’s employees, agents, contractors, representatives, patrons, guests or invitees; excepting such claims, demands, defense costs, liability, expense or damages arising out of the sole negligence of one or more of the INDEMNIFIED PARTIES. Furthermore,ARTIST agrees to defend INDEMNIFIED PARTIES from and against any and all claims, demands, defense costs, liability, expense or damages of any kind arising out of the connection with ARTIST’s or EVENT’s use of leased premises.
