Purpose

This is a generic invitation to attend a 30 minute face to face meeting to create awareness of the toolkit or establish how members of a specific VOPE can be assisted in using the toolkit. If you already know that the specific group is interested in one of the three sections of the toolkit, you can tailor your meeting to suit the group’s requirements. Use and adapt (if necessary) one of the presentations included in the presentation folder for this purpose. Adapt the invitation to reflect the specific purpose of the meeting if it was established beforehand. E.g. for new VOPE’s you might want to share the resources in Section 1 at the first meeting.

Dear Colleague,

I would like to invite you to short meeting to discuss the VOPE Institutional Support Toolkit and ways in which this rich resource can assist your VOPE in various aspects of the setting up, or running of your organisation.

One of the EvalPartners initiatives, responding to requests received from leaders of many VOPEs (Voluntary Organizations for Professional Evaluation), was to develop a toolkit which provides guidance to those who wish to form even informal VOPEs, and leaders of existing VOPEs who seek guidance on strengthening their organization’s capacities. I would like to introduce you to the many subjects addressed in the VOPE Institutional Capacity Toolkit and discuss possible ways you can apply such resources in strengthening their your VOPEs.

The purpose of the meeting will be to:(I include various options here, please adapt this to reflect the purpose of the meeting, in a 30 minute meeting you should be able to deal with one or perhaps two of these)

• Become aware of a range of helpful resources to be used to build strong and transparent VOPEs
• Assist you in setting up your VOPE by guiding you through the first section of the toolkit
• Become involved in disseminating the contents of the toolkit to other potential users
• Become users and even contributors to the Toolkit
• Introduce new board members to the Toolkit and illustrate how the resources in the Toolkit can be used in their respective portfolios. E.g. the Treasures might be interested in the Manage Finances section.
