Team Administrator

VocalEyes is looking for a self-motivated Administrator to work with our core team in London. You will be supporting all areas of our work delivering audio description for blind and partially sighted people and working with arts organisations to make their venues, performances and experiences accessible. This is a great opportunity for someone who cares passionately about access looking to further their career in arts administration.

Post: Administrator (P/T 3d per week)

Reporting To:Chief Executive

Salary: FTE £18,500 = £11,100

Aim of the Post

To provide administrative support to ensure the effectiveness of the services that VocalEyes delivers.

Key responsibilities

  • Theatre Programme: Provide administrative support as requested by the Theatre Programme Manager, including the distribution of braille and large print cast lists, arranging for courier delivery of equipment, collation of show reports and statistics.
  • MGH Programme: provide administrative support to the museums, galleries and heritage programme as requested by the MGH Programme Manager, including liaising with training venues regarding booking and other practical arrangements, sending out materials, collation of evaluation forms and booking travel and accommodation for trainers and describers.
  • Marketing – Supporting the Deputy Director to update the website and social media channels as instructed and to agreed guidelines.
  • Marketing- Administer the production and distribution of the printed newsletter (3 x a year), gathering and content, liaising with printer, proofing, organising volunteers etc.
  • Events – provide administrative and other support for meetings and events where required, including Board, meetings, Open House tours, training sessions.
  • Enquiries: receive and handle phone, email and postal enquiries in a timely and polite manner by answering where possible or forwarding to the appropriate team member.
  • Databases: support the programme managers in ensuring that these are kept updated, and accurate.
  • Office: ensure that the office premises are suitably supplied and maintained; liaise with IT, cleaning, stationery and other suppliers dealing with any orders and issues in a timely and effective manner.
  • Other administrative tasks supporting the Chief Executive and Board of Trustees, including travel and conference booking, diary management.

Person Specification / Essential / Desirable
Experience / 2 years’ experience of working in an administrative role / Experience of working in an arts or charity
Experience of working with blind/partially sighted people.
Familiarity with the UK arts sector
Experience of website content creation, e-marketing
Experience of social media in a professional capacity.
Skills / Attributes / Excellent communication skills / Proof-reading and editing skills
IT skills, with confidence in using Microsoft Office and databases.
Organisational skills

Self-motivation and ability to work as part of a team

Terms and Conditions

  • The post is offered as part-time 3d a week (21hours).
  • Annual leave is 22d plus bank holidays pro-rata’d.
  • The successful candidate will serve a six-month probationary period
  • Employment is subject to receipt of two acceptable references
