1.  Announcements

Kathy Perry distributed copies of a new brochure highlighting VIVA’s mission and accomplishments.

2.  Changes, additions to agenda

OCLC update discussion (originally item #8) was removed from the agenda

3.  Budget – Kathy Perry:

Budget spreadsheets for this fiscal year and next fiscal year were distributed. Kathy gave a brief overview of the current budgetary climate. Selected items will be paid ahead using funds from this fiscal year which will help buffer rising prices.

4.  Renewals:

·  Ovid (Nursing Titles & LWW) – Sylvia Rortvedt:

We are coming out of five-year contract. Ovid is offering 3 and 5 year step up plans to spread out cost increase. Usage of LWW Total Access titles has been good. The package was intended to support nursing programs but also has strong medical component. Several possible options were considered:. 3 or 5 year plans , a nursing package, a high impact title package, and/or CINAHL full text from EBSCO. Ovid has waived access fee (10%) in current license and would continue to do so as part of Total Access plan.

VIVA has subscribed to 5 non-LWW titles in addition to Total Access. Four of the titles, including American Journal of Obstetrics and Gynecology, AORN Journal, Geriatric Nursing, and Journal of Emergency Nursing, are available via Science Direct Nursing Education Perspectives is available through Academic Search Complete with no embargo.

A motion to drop these five titles was passed.

Discussion of LWW Total Access. If package is cancelled, cost of medical journals picked up by individual schools would be substantial. Representatives from several schools including UVA, VCU, GMU, and ODU indicated they need continuing access and may be willing to consider a cost-sharing model.

Decision to defer further discussion to conference call in early June, prior to next steering committee meeting on June 11. The 5-year deal offers best pricing. Will develop cost sharing proposal based on blend of usage and programs. Shared costs will rise considerably in out years of the plan.

A CINAHL upgrade to full text was briefly discussed. VCU, GMU, JMU, ODU, and Longwood have CINAHL Full Text. This is an Ebsco product and will continue to be responsibility of individual institutions.

·  ProQuest (Cathy Reed)

A motion to approve these renewals as a group was passed.

5.  APA RFP Recommendation – Kathy & Sharon with Rebecca Pappert:

a.  Recommendation – Sharon presented the unanimous recommendation from RFP committee to award contract for PsycINFO, PsycARTICLES and PsycBOOKS to APA. Rebbeca spoke about the interface from APA. The award is a one-year contract with up to nine renewal years.

The RFP Committee also recommends the purchase of PsycBooks. – titles embargoed online for about 18 months. Chapters are available as PDF files so no special reader software is needed. VIVA will own perpetual access to about 65 titles per year published annually by APA in the PsycBOOKS collection. A motion to approve the recommendation of the RFP committee and award the contract to APA was passed.

b.  PsycARTICLES pricing proposal

Individual members are billed by the VIVA central office for their subscription costs. Costs will go down for 2010/11 because of reduction in technology fee. Kathy noted that cost was prorated in current fiscal year so institutions did not pay full price in 2009/10. Sharon will send out details via e-mail and RUC will discuss via conference call.

c.  We will request APA Book E-collections discounted pricing for individual institutions to purchase on their own for current year.

6.  Blackwell Update –Kathy & Sharon: Nothing new to report. Still waiting on a proposal.

7.  VIVA Collections Expansion Taskforce – Cathy Reed:

Charge was to look at ways VIVA could expand collection development activities. The Task Force looked at five main areas, including ebooks, streaming digital media, data sets, cooperative collection development and cooperative digitization. After further investigation a decision was made to concentrate on streaming media and ebooks. A survey of member libraries on collection development expansion showed interest in several areas, with e-journals still top of the list.

Regarding streaming media, the survey ranked interest highest in history, followed by psychology/sociology. American History in Video from Alexander Street Press – is top recommendation. Two second rank recommendations are Films Media Group/Video on Demand and NBC Learn: Archives on Demand Higher Education.

The survey identified top areas of ebooks:

Social Sciences and Science & Technology. There are a wide range of options for ebook collections.

8.  Training Needs for Summer 2010

VIVA will need to do training for APA if the Steering Committee approves the RFP recommendation. Would try to reinstate trial access over the summer months. Dawn Walton and Kevin Harden will work on coordinating training at 3 sites around Virginia for late July.

9.  VIVA Collection Development Principles Revision

Karen Cary and Kevin Harden revised the VIVA Collection Development Principles and Selection Criteria, last updated in 2006. A variety of small edits and updates were necessary but nothing of substance was changed. A motion to accept the revisions was passed.

10.  Other Opportunities –

a.  Oxford Digital Reference – Jane Penner:

Original proposal was only valid until April 15. After discussion there was not sufficient interest at this time to request a new quote.

b.  ProQuest Dissertations – Cathy Reed:

Price quotes were given for two options - abstracting and index only and with full text available Kathy Perry will survey collection development contacts to determine who is currently subscribing. VIVA may purchase on a cost sharing basis. Will discuss this further in conference call.

c.  M.E. Sharpe’s American History Database SOLR – Sharon

Sharon inquired if there was any interest in researching further. Decision was to leave it up to individual institutions.

11.  OCLC Base Package – John Walsh
Only 3 schools are using new FirstSearch interface. Port contention may become more of an issue as more schools switch to new platform. John asked OCLC about getting unlimited ports but the price was not acceptable. He will investigate further and revisit if action becomes necessary.
