Restaurant Management System

Version 1.1 Supplement to Version 1 dated 2/4/2004

Additional Guidance Arising from Elicitation of Requirements:

Maintain Menu:

  1. Would the user have the ability to schedule delivery at a later time / date? If so how many days in advance and how many hours prior to pick up?

For web requests for a take out, the customer must supply a local telephone number. The order may be placed well in advance (even days in advance). BUT the order must be confirmed by The Cove via returned telephone call. When the web-order is confirmed by The Cove, a valid credit card must be available. Credit card payment will not be processed until Customer pick-up or failure for Customer to pick up order – once it is prepared. At the customer’s option, the credit card payment will be held if the Customer prefers to pay by cash or person check upon pick up of the order.

  1. Is there a possibility that the restaurant may offer “Delivery” option in the future?

No.

  1. In addition to the Name of the Dish, Description, Price, would you need to have the ability to add pictures?

Would be a nice touch if you can find any. (I have no pictures.)

  1. Are the menus recurring for e.g. you have a particular dish on Monday/Wednesday but not on other days?

There will be a daily menu (Mon through Thursday). This will not change. The web page should indicate that this is so. Friday evenings through Sunday evenings the menu will be a bit different (but be the same all three days). On Sunday there is also a brunch starting at 11am until 2pm. There is always the possibility to have a Special. If so, this should be so indicated on the daily menu, that is, there needs to be some way to highlight a Special or a change.

The Cove will always entertain a special menu for parties and other special events. If you are considering this, the Customer needs to contact the Cove in person to make arrangements.

  1. Do you want a history of previous menus, I understand that menu might change everyday but you wouldn’t want to enter the same information while creating the menu for each day over and over again, would a facility to pick and choose from list of say entrees that have been offered in the past be helpful or required?

See above.

  1. Do you have a “Happy Hour”, “Senior Specials”(anything that might affect the rates) etc?

The Neptune Lounge, upstairs, has special hours. Please check the web page for this. At the time of this writing, I cannot access Neptune’s Hours link on their web page.

  1. On weekends or from March to October when the restaurant is open during the afternoon – do you have separate menus for Lunch and Dinner?

There is only one menu for a day. For Sat and Sundays when restaurant is open during the days (for lunch/brunch); the single menu contains both lunchtime items as well as dinner items.

  1. Can the customers pay online?

See above for on-line orders. I discuss credit card payment and things like that.

  1. Would the customers need some authentication to order? Will we have a history of previous orders by a particular customer?

Yes, Likely the phone number return (see above) plus holding the credit card should suffice.

Schedule Workers.

  1. How does the schedule of business affect when we can order? For e.g. orders cannot be taken online 30 minutes before COB

There should be a clear section in the Menu for on-line ordering that the confirmed phone call from The Cove back to the Customer would/could communicate whether or not there is sufficient time to process a food order.

Too, a Customer can always just call in an order – completely devoid of using the web page. Or, a Customer may be looking at the web page and prefer to call in while looking at the menu on line. This should work too. The Order taker would require a credit card, etc. as above.

Monitor Conduct Finances.

  1. Confirmation– you need the ability to enter “gross” receipts at the end of the day?

Yes

These will be categorized into

Cash

Credit card (Am Express, Visa, Master Card, debit cards…)

Tips (that might be included in with a credit card payment…)

The bars each also have registers. So additional categories would be available from them.

Each register should have its own identifier, such as Bar1, Bar2, NeptuneBar, DiningRoomRegister.

  1. Do you need to differentiate between “gross” receipts from orders online/and those from the sit down folks?

Not really.

  1. Any requirement to interface with Quicken/MSN Money etc?

No. Not at this time.

Other Facts:

There is no buffet line nor is it a consideration.
