EAGLS Reporting Guide
Report Log On
In this section you will learn how to: / Log on to the EAGLS Reporting Tool to request, schedule/run, view, delete and print reports. The summary and transaction level reports you may access in EAGLS offer you key information for analyzing program spending data, identifying exceptional behavior and supporting management decisions.The screen displays you will use in this section: /
- Schedule
- View
- Delete
Key points to remember
- Summary level reports provide totals
(i.e. total number of transactions, total credits or debits), while at the transaction level, they provide individual transaction data such as: merchant name and transaction date.
- If you change your password in EAGLS, you must then log off of EAGLS and log back in to get to Reporting.
- The first time you log on to the EAGLS Reporting Tool, download the report Plug-In. The Report Plug-In will allow you to view reports online, down load reports to your desktop and allows you to customize reports by selecting specific data elements within reports.
- When you log on to the EAGLS Reporting Tool, the Reporting Desktop page displays three folders:
- The Request Reports folder contains the list of reports that you can request.
- The Personal Folder contains the list of reports that you have already requested and are now available to view.
- The Scheduled Reports folder contains the list of reports that you have scheduled. If you want to delete a Scheduled Report, you can do so from this folder.
To log on to EAGLS Reporting
STEP 1
USER ACTION /Click on Reports from the EAGLS Menu.
EAGLS ACTION
The Reporting desktop displays as in Step 2.
If you have changed your password in EAGLS during this session then the Reporting Log On screen displays.
STEP 2
USER ACTION /Type your EAGLS User Name and your new Password and click on OK.

STEP 3
USER ACTION /Click on either the Personal folder or the Request Reports folder.
EAGLS ACTION
If the Personal folder is selected, the list of reports you have already Run displays.
If the Request Reports folder is selected, a list of reports displays. Continue to Requesting a Report on page 86.
Report Plug-In
In this section you will learn how to: / Down load the Report Plug-In.Key points to remember
- To view and export reports, the Plug-In must be loaded.
- The report Plug-In provides more flexibility and more options within the report function.
To download the report Plug-In
STEP 1
USER ACTION /From the Report Welcome screen click on Download LRX Plug-In Viewer.
EAGLS ACTION
The Viewer LRX download page displays.
STEP 2
USER ACTION /Click on Download Actuate’s Viewer LRX for Microsoft Explorer, to download the LRX install program.

USER ACTION /Click on the radio button next to Save this program to disc and then click on OK.

Your computer directory displays.
STEP 4
USER ACTION /Select a directory (i.e. msdownld:\temp) to save the setup file (irxmsie.exe or irxm32.exe) and click on SAVE.

File Download: Saving displays and when the program has been downloaded, the Confirmation displays.

USER ACTION /Select a directory (i.e. c:\temp) to save the setup file (irxmsie.exe or irxm32.exe) and click on OK.

USER ACTION /Click on the BACK button on your browser menu bar.

The reporting desktop displays. You can now view and download reports.
Requesting a Report
Key points to remember- Schedule or Run refers to the process of requesting a report based on when you want to view the report. Use the Request Reports folder to schedule reports.
- When running the report from the Request Reports Folder, the Requester Page displays with three Schedule options.
- Right Now
- Once
- Recurring
- All scheduled reports are delivered to your Personal folder when they are ready to be viewed.
- You can delete a recurring report from your Scheduled Report folder.
- Reports that are scheduled on a weekly basis will include report data from the previous Monday through Friday.
- Reports that are scheduled on a monthly basis will include data from the first day of the month through the last day of the month, excluding first and last days that fall on Saturday or Sunday.
- On-Demand Range
- If you choose the Right Now scheduling option and you enter a Date Range of 32 days or less and enter HL1 through HL4 (or lower) in the Hierarchy fields, then the report will be generated and delivered to your Personal Folder.
- If you choose the Right Now scheduling option and you enter a date range of greater than 32 days or only HL1 or HL3 (or higher), you will be presented with a box that states “Due to the large amount of data requested, this report will take long time to run. Please check your Personal Folder at a later time to view the report”.
- When you have a recurring report, EAGLS will store up to 10 versions of each report with the same name. The oldest report will be deleted automatically starting with the 11th version.
To request a report
STEP 1
USER ACTION /From the Reporting desktop click on the Request Reports Folder.

USER ACTION /From the Report List, click on the desired report.

STEP 3
USER ACTION /Enter the desired Parameters and Schedule information. For the Date Parameters, choose either:
- Yesterday’s Data
- Last Week’s Data
- Last Month’s Data - OR -
- Enter a date range in the Start Date and End Date fields.
- Right Now – The requested report will be run immediately and available in your Personal Folder after the run is complete.
- Once – The requested report will be run at the specified date and time and available in your Personal Folder after the Run is complete.
- Recurring – The requested report will be run at the recurring specified time and available in your Personal Folder after the Run is complete.
EAGLS ACTION
The requested report will become available in your Personal Folder, when the report run is complete.
Viewing a report
Key points to remember- All reports are delivered to your Personal folder when they are ready to be viewed.
- Your report must be in the View option to be printed.
- While in the viewer, you can return to the report listing to select another report by clicking on the EAGLS open listing at the bottom of your desktop window.
To view a report

USER ACTION /From the Reporting desktop click on the Personal Folder.

Deleting a report
Key points to remember- You can delete individual reports from your own Personal Folder.
- You can delete a recurring scheduled report from the Scheduled Folder.
To delete a report
STEP 1
USER ACTION /From the Reporting desktop click on the Personal Folder.
To delete a recurring scheduled report, click on the Scheduled Report Folder.

USER ACTION /Scroll to the right and then click on the DETAILS icon next to the report you want to delete.

STEP 3
USER ACTION /Click on DELETE if you are deleting a report from your Personal Folder.
Click on CANCEL REQUEST if you are deleting a report from Scheduled Reports.

The Report is deleted and a confirmation page displays.
Click on BACK twice to return to your Personal Folder.
Printing a report
Key points to remember- Only reports that are in view can be printed.
- The report will print using the default properties you set for the selected printer.
- If you did not set default properties, the printer uses the system-level defaults set by the system administrator.
- You can print a single page, a range of pages, or all the pages.
- You will click on the Print Icon on the toolbar. The toolbar automatically appears when in view.
- Some print properties are paper size, paper orientation, duplex, and number of copies.
To print a report

USER ACTION /Choose your print options such as number of copies or page range. Click on OK.

Report Search option
Key Points to Remember- Use the Search option to select report criteria to include in a report that can be exported to another application such as an Excel spreadsheet.
- You can Save your Search Definition so that it displays in the Search for Report Data dropdown list for future use.
Toolbar Definitions
Using the Report Search option – Search tab
Use the Search tab search option to select specific values for your selected search criteria. Example: You want a report for accounts with expiration dates of two months from now and accounts with a Tennessee mailing address.

USER ACTION /Click on the Search icon (binoculars) or go to the top Menu bar and click on Search and then click on Find.

USER ACTION /Go to the displayed report and click on the criteria on the report that you want to search by and then click on ADD SELECTION.
Note: The cursor shape changes to an arrow with an active symbol at the tip to indicate an object is searchable.

USER ACTION /In the Value column, indicate the value you want to search by. Some options include:

STEP 6
USER ACTION /Repeat the steps 4 and 5 for all search criteria and then click on SEARCH.

USER ACTION /Click on the SAVE button to save your Search Definition.
EAGLS ACTION
The Save Search Definition displays. Type the name of your saved search in the File Name field and click on SAVE. The saved search will display in the Search drop down box from the View report display.
Using the Report Search option – Select tab
Use the Select tab to perform a search for all values for the selected report criteria. Example you want a report that list all active accounts listed by Employee ID, Expiration Date and Status.

USER ACTION /Go to the displayed report and click on the criteria on the report that you want to search by and then click on Add Selection.

USER ACTION /Repeat the step above for all search criteria to search by and then click on Search.

The Results tab displays. You can double click on a match to navigate to that item in the report.

USER ACTION /Click on the SAVE button to save your Search Definition.

The Save Search Definition displays. Type the name of your saved search in the File Name field and click on Save. The saved search will display in the Search drop down box from the View report display.
Exporting a report
Key points to remember- Only reports that are in view can be exported.
- From the Results tab of the Search screen you can Export a report to an Excel spreadsheet.

USER ACTION /Click on the Search icon (binoculars) or go to the top Menu bar and click on Search and then click on Find. Follow the “Search Option” instructions to complete the Search on page 94.
Note: If you saved a Search definition, click on the Search drop down box, click on the saved search and then click on the Export Data icon. Your report will display as in Step 5.

USER ACTION /From the Search Option box, select External Applications from the Extract Data To section. And select Microsoft Excel 97 from the drop down list of External Applications. Click on OK.
EAGLS ACTION
The report displays in Microsoft Excel.
Note: Some options you have within Excel include formatting your report to change column headings, sorting or creating graphs.
Available report options
1. Transaction Detail Report
The Transaction Detail Report provides summary and detailed transaction information for Purchasing, Corporate and Commercial Card programs at summary or detail level. The report can be used for management level decision making and to analyze and compare spending patterns of companies and individuals.
- At the summary level this report provides totals
(i.e. credits, debits, total number of transactions).
- At the transaction level this report provides individual transaction data
(i.e. merchant name and billing amount).
Report Parameters:
You can define customized report parameters such as:
- Bank Number
- Hierarchy Node (HL1 through HL7)
- Date range
- Cost Center Code (available only when grouping by Cost Center)
- G/L Code (available only when grouping by G/L Code)
- Reviewer User ID (Available only when grouping by Reviewer)
- Merchant Currency (available only when grouping by Merchant Currency)
You can view the report using one of the following report menu options. “Transaction Detail Report” by:
- Cost Center Code
- Cost Center Code then by G/L Code
- G/L Code
- G/L Code then by Cost Center Code
- Cardholder
- Hierarchy
- Merchant Currency
- Reviewer
Field Descriptions:
Total ($)Total # of Trans
Total Credit ($)
Total Debit ($)
Card Type / Total Debit – Total Credit for the specific grouping
Count of the transaction records for the specific grouping
Sum of the “Bill Amount” values for a specific grouping, where the transaction is a credit. A transaction is identified as a credit when the Debit/Credit flag = “C”
Sum of the “Bill Amount” values for a specific grouping, where the transaction is a debit. A transaction is identified as a debit when the Debit/Credit flag = “D”
The card types are as follows:
“I” = Commercial Card
“P” = Purchasing Card
“T”= Corporate Card
2. Declined Transaction Report
The Declined Transaction Report provides information for transactions that have been declined for various reasons. The report provides the information grouped first by Reviewer, Hierarchy, Cardholder and MCC (in four different report groupings), second by Cardholder only and third by Account Number.
