1.Purpose and Introduction
This document describes the basics of navigating in the BHSDSTAR Workbooks module including log in, submittingWorkbooks Uploads and Provider Invoices, correcting invoices, and reviewing invoice history.
2.Log In, Navigation, and Account Settings
2.1To Log in:
- From the desktop double-clickyour internet browser to launch. (For best results we recommend Goggle Chrome but other browsers can also be used.)
- Enter bhsdstar.org/ in the browser window and pressthe Enter key.
- Click the ProviderLogin button.
- Click in the Username field and enter user name.
- Press the tab key or click in the Password field and enter user password.
- Click the Login button.
- Depending on permissions the Welcome screen or the Home screen will display listing Projects, Total Allocation, Paid, Outstanding, and Remaining Funds defaulted to the current calendar year. Some Providers will also see Rosters as a menu choice on the top menu bar.
Tip: Some providers do not receive an allocation, but rather submit activities against a shared pool of funds. In those cases, you will not see an allocation or remaining balance displayed.
Tip: Providers with more than 1 Project will have an Overview Panel that displays Total Invoices Requiring Corrections, Total Invoices Pending, and Invoice History Icons.
Tip: This screen can be viewed at any time by clickingPrograms in the upper right corner of the screen.
Tip: The Outstanding amount includes submittedServices that have not yet been paid or denied.
Tip: Items requiring action are displayed with an Icon listing the # of items for each Tracking Item and the Take Action button is displayed.
2.2To edit Profile Settings:
- Click on your logged in Name in the upper right corner.
- Click Update Profile.
- Click the field you want to edit and enter new information.
- Click Update.
2.3To edit Password:
- Click on your logged in Name in the upper right corner.
- Click Change Password.
- Enter current password.
- Enter a new password.
- Re-enter the new password.
- Click Update.
2.4To contact Support via Email:
Tip: Never send a client’s name in the free text section of the email-refer to them by their ID number.
- Click on your logged in Name in the upper right corner.
- Click Contact Support.
2.5To Logout:
- Click on your logged in Name in the upper right corner.
- Click Logout.
2.6To Navigate Back and Forth through Section Links:
- Click on the specific teal Link.
- Click on subsequent specific teal Links.
- To return to the previous sections, click on the Back to Program Summary button.
3.Services
From the Home screen:
- Click the teal links of theWorkbooks Project to submit the Service under.
- Click Add a New Service drop-down and click the Workbook Upload Service.
- Click the Activity Start Date calendar and click date or enter date.
- Click the Activity End Date calendar and click date or enter date, or leave blank if not applicable.
- Click the Activity Cost and enter cost. (Example: 55.54)
- ClickSigned PDF file Browse and locate the PDF to upload.
- ClickExcel Workbook file Browse and locate the Excel to upload.
- Click Yes or No to Providing additional documentation and click file Browse and locate the files to upload(if required).
- Click acknowledgement of verification.
- Click Save.
Tip: To cancel your Service submission, click Cancel.
- The newly submitted Service is displayed in the Services table.
Tip: You can edit/delete the Service until it is processed into an invoice, which happens at 12:01am each night. At that point it is no longer editable.To remove theService, click Delete. To Edit a Service, click on the Service teal link to open, make changes, and click Save.
4.Invoices
4.1Invoice Icon Definitions:
4.2To Correct Invoices:
From the Home screen:
- ClickTake Action under Corrections Required.
- The invoices screen will display.
Tip: Any Invoices requiring Corrections will display an Icon in the Approval or Payment Status columns.
- Under Invoice Details, click the teal link with your Provider Name for the invoice you want to correct.
- Review the Comments explaining the corrections required in the upper right.
- Click the Service link for correction. (Only those Services flagged in orange are editable/deletable)
- Review the data and edit as needed.
- ClickSave.
- Click Action drop-down and click Corrections Completed.
- Click Submit Action.
Tip: To remove the activity click Delete.
- The corrected Activity is displayed in the table after agreeing to the terms of submission. You can edit/delete the service until it is processed into an invoice. At that point it is no longer editable.
Tip: When an Invoice requires correction, always work through the existing invoice to correct or delete flagged services and/or add new services to the invoice. Do not enter a new service through the Project HOME page. This will duplicate the invoice and require extra processing. Note: Service Dates on an invoice cannot be changed to a previous month.
4.3To Add Comments:
- Click Add Comment.
- Enter free text comments.
- Click Submit Comment.
- Comment is displayed and shared with the Program Manager.
4.4To Review your Invoice History:
From the Home screen:
- Clickview under Invoice History.
- The invoices screen will display listing your processed invoices.
- Click the Search field and enter Invoice #.
- The invoice will display in the table.
- Click the Invoice Details link.
- Invoice Details including Services and Invoice Decisions are displayed.
