Mail merge is a process of combining a data field (names, addresses, etc.) and a form letter. This allows the user to type one letter and Word combines all of the different names and saves the user time. The process can also be used to print envelops and mailing labels also, but we will not be completing that part of the process.

Use the following instructions complete the three projects:

1.  Open word and click on Tools, Letters and Mailings, Mail Merge

2.  Select Letter from the list on the right and click Next

3.  Select Use the Current Document and click Next

4.  Select Type a New List and click Create

5.  Type in the addresses into the form, skip the fields that don’t apply

6.  When finished with the 1st address click New Entry to type the second, third, etc.

7.  When finished with the addresses click Close: a save screen will appear. Save the data file as the name given in each project. Be sure you save it to your student folder.

8.  Click Save and a Mail Merge Recipient window will appear. Click OK

9.  Click Next, Write Your Letter

10.  Type the form letter

11.  When you get to the section of the letter that says (Address Block) do not type it, instead click on Address Block (located on the right side of the screen)

12.  The field will automatically appear in the form letter.

13.  When you get to the (greeting line) do not type the greeting instead click on Greeting Line (located on the right side of the screen)

14.  The field will automatically appear in the form letter.

15.  Finish typing the letter.

16.  Click Next: Preview your letters

17.  Click Next: Complete the merge

18.  Make sure that each letter is correct save as the name specified in the project and Print using the print command on the right side of the screen
