State Board Responsibilities
USA Minnesota Gymnastics
The state board shall work in close cooperation with the State chairperson to
oversee the organization of all events and programs within the state.
1) State board members will attend meetings when called by the State Chairperson.
2) State board will determine the site for all StateChampionships. The sites will be determined by reviewing bids turned in by clubs wanting to host.
3) A member of the State board will be present at all StateMeets.
4) State board members will inform the State chairperson of any competitions that do not follow USA Gymnastics Rules and Policies.
5) State board members will serve on committees as necessary under direction of the
State Chairperson.
6) State board will determine fees, qualifying scores, calendar and awards with the
approval of the Regional Chairperson.
State board members will be nominated by requests from all professional members.
Election ballots will be sent to all professional members.
Consider serving a term or two on the state board or as state chairman. It is a great way to get to know others as well as serve our sport in a vital and important way. For more information, please talk with any board member or the RACC, regarding the State Chair position.
Minnesota USA Gymnastics Meet Checklist
FACILITY / EQUIPMENT
______Secure facility.
______Provide all appropriate equipment for the level ofcompetition being held.
______Determine appropriate supplies needed (scoring system, judge’s slips,
calculators, pencils, stop watches,etc. See Rules and Policies)
SANCTIONS / JUDGES REQUEST
______Complete your Meet Directors certification.
______Send USA Gymnastics meet Sanction (Minimum 6 weeks prior)
______Send Judges’ Request for necessary officials (Minimum 6 weeks prior)
______Send in insurance request to K & K
MEET INFORMATION
______Prepare meet information and send to all members (Min 6 weeks prior)
______Refer to (R&P) Rules and Policies book for specific guidelines.
MEET SCHEDULE / PROGRAMS
______Determine maximum entries and decide on times according to R&P
______Prepare a schedule of events and send to coaches and judges at minimum one
week prior to the event, however the earlier the better.
______Secure an efficient meet scoring program.
______Check all athlete, coaches and judges USAG credentials
MEET PERSONELL
______Assign appropriate flashers, runners, timers, scorers, etc.
______Prepare a job description and post at station.
______Determine appropriate attire and behavior of all meet personnel.
AWARDS
______Determine your awards budget
______Order awards well in advance of competition. Include USA Gymnastics Logo
on Awards for StateMeets.
______Identify awards procedures and location. Have an award script for the announcer, and
awards presenter identifying which age groupsand awards are given. (Awards area for
STATE meets must be adequate for all spectators and have a special feel for the
participants.)
RESULTS
______Forward all meet results to the state statisticianwithin 48 hours.
______Fill out paper work, meet inquires, injury reports, Coaches sign in sheets, Judges sign in
sheets.
______Fill out sanction report and mail or fax all documents to USA Gymnastics.
Gymnast Competition Fee/Head Tax
All Minnesota athletes including XCEL will pay a $15.00 annual competition fee to the MinnesotaState Office.
This fee supports:
- MN gymnastics competitions
- Local organizing boards
- Education
- Publications to keep the community and coaches up to date (running of the website,
etc,)
- Region IV Fees ($5 per gymnast has to go to the regional fund.)
- Regional leotards and apparel.
- Team awards for the top 3 teams at all state meets Level 3-10 (banners and medals).
Please send in your $15.00 competition fee per athlete, Using the Head Tax Form
provided online: (One check per club)
- Send in by August 1st (both for level 3-10 and XCEL)
- Send in with any new gymnasts that enter your program
- Clubs that do not send in the competition fee will be ineligible for team
competition at the state level.

Level 9 & 10 may also qualify to the state meet as an event specialist by Scoring a 9.00 at any sanctioned meet on that event.
Xcel can Qualify to state as a specialist with a 8.5.
Note: Qualifying scores to State may be achieved at anySanctioned meet with rules appropriate to the level. For example, a level 8 gymnastcannot use scores from an open optional competition. When sending in your state meet entry form you must include a photo copy of sanctioned meet resultsshowing that each athlete has obtained the state qualifying score. The last date for a qualification score may be no less than 14 days prior to the day of the StateMeet (2 weekends before the state meet which sometimes means 13 days rather than 14).

TO DO list for our Minnesota coaches:
Mail your head taxAugust 1st. Include gymnast name, level, USA #, DOB & age
as of the state meet. Refer to the state website for mailing address & specifics
If your gym location or roster information has changed, get the correct information to thestate chairman before August 1st for inclusion in the handbook
If you are planning on hosting an invitational, email the state calendar person.
Bids for the state meet should be submitted to the state chairman NO
LATER than May 1st. Make sure all bid forms are filled out appropriately.
After hosting a competition, send a copy of all meet results to the statistician within 48 hours of the completion of the event.
Mail any out of town meet results for gymnasts who have received state
qualifying scores to the state statistician.
DROP BACK DATE Level 6-10: FEBRUARY 1st
The drop back date has been set as February 1st. This allows you to compete an optionalgymnast at the next level, provided she has received the correct mobility score, and then “dropher back” a level after competition if you feel that she is not ready. You MUST DECLARE her dropped back level to the state chair AND statistician by February 1st in order for the move to become effective. Failure todeclare her to the board will result in that gymnast being locked in at that higher level for theremainder of the season.
The Drop back date for Compulsory Gymnasts is November 1st.
