General Description:

The primary responsibility of Volunteer Manager is to strategically develop, manage and inspire growth in community volunteerism. The manager coordinates and manages all aspects of community engagement in United Way and community initiatives that contribute to United Way’s community goals. This staff member reports directly to the Director of Resource Development. Like other team members, this employee coordinates volunteer staffing and inspires advocacy and volunteerism that helps ensure the United Way of Escambia County has the necessary resources and community goodwill to support the mission, goals, and objectives of United Way as set forth by the Board of Directors. The Volunteer Manager should represent United Way in a positive manner in the community and continue to increase the number of volunteers committed to the mission.

In the spirit of teamwork, interacts in collaboration with the Communication and Outreach Director, the Partnership/HR Director, the Director of Leadership Giving, the Vice President and the President/CEO to create, implement and regularly evaluate a plan which will accelerate the continued growth and success of current and new volunteer initiatives.

Primary Duties:

  • Support United Way through development and daily management of the volunteer initiatives and engagement in United Way and partner programs.
  • Staff, coordinate and oversee the volunteers needed for special events in consideration of the UWEC Leadership Team’s vision for engagement as communicated by the Resource Director.
  • Recruit and connect volunteers to meet the needs of United Way, community engagement programs/initiatives and partner agencies that work collaboratively to strengthen the community.
  • Serve as the lead staff member insuring the success of Day of Caring. (Utilizing a philosophy of continuous innovation and improvement, ensure this volunteer day is executed in a way that ensures the retention and growth of corporate and community partners who utilize the event as a way to showcase the compassion of our community.
  • Educate and orient all volunteers on the value of their contribution and their impact on United Way’s goals. Create innovative orientation sessions, training, follow-up consultation and interaction/retention outreachthat inspires volunteers to continued engagement.
  • Build and maintain positive relationships with corporate partners, educational/service/health and civic organizations.
  • Work in partnership with the United Way team to update presentation displays and support materials to be used in educating the community regarding volunteer opportunities.
  • Identify and participate in opportunities to promote volunteerism (i.e. volunteer fairs, service church project fairs, civic group and corporate presentations).
  • Execute reporting and evaluation tasks by effectively tracking volunteer hours, program outputs and outcomes, strengths and needs, program budgets, and impact stories.
  • Support the critical link between UWEC and local businesses by linking partners to engagement opportunities and by deploying assets and information as needed.

Volunteer Coordination:

  • Developand manage all volunteer programs, events and initiatives.
  • Supervise and AmeriCorps VISTA and interns tasked with developing and improving the UWEC Volunteer Center.
  • Select and implement systems and software that promote volunteerism, connect, and manage volunteers once engaged and deployed.
  • Ensure volunteer/engagement needs are met in a timely manner by recruiting volunteers for in-house duties or special events (to include in part- the August Annual Meeting and June Celebration Event)
  • Ensure volunteers are engaged and oriented for on-going support and for one-time opportunities.
  • Assist in recruitment of Loaned Executives, Community Investment Panel members, Nonprofit Trainers, 2-1-1 volunteers, ReadingPals, Cram the Van volunteers and disaster response volunteers.
  • Coordinate individual or group volunteers with UWEC or partnering agencies; track all matches to agencies and report monthly on the support provided.
  • Review and approve volunteer position descriptions submitted by other departments. Create position descriptions when applicable.
  • Develop and conduct orientations for inner-office volunteers for internships, on-going opportunities with departments, one-time opportunities, or for future volunteer interests.
  • Collaborate with other departments on volunteer evaluations and reporting.
  • Maintain the internship program that bridges service learning in support of UWEC departments, programs and initiatives. Build long-term relationships with schools, colleges, and universities.
  • Develop and manage all aspects of the Day of Caring; including but not limited to recruiting Day of Caring committee members, recruiting and managing volunteer staffing from agencies, corporate partners, general volunteers and site locations, managing the budget to ensure minimal expenses, and working with the committee on trainings, logistics, and other sub events.
  • Organize and execute all aspects of the following events: Volunteer Awards and Recognition; Volunteer Appreciation Dinner; Volunteer Outings.

Communication

  • Communicating with staff and key partners regarding volunteer engagement (all aspects).
  • Develop a strong customer service and recognition program that engages, supports, maintains and “thanks” volunteers through communications and annual event that promotes and recognizes the longevity and impact of their efforts to the community and the organization.
  • Communicatestatus of new, ill, retiring, challenging or successful volunteers to strengthen relationships between UWEC paid and volunteer team members.
  • Update and maintain resources and information on the volunteer displayboard.
  • Developing information for Marketing Manager’s monthly e-newsletter to partners.
  • Maintaining regular communication with active volunteers.
  • Developing EOM volunteer services report and statistics.

Administration Duties

  • Develop funding and support necessary for a successful volunteer program.
  • Submit expenses related to the Volunteer Program to the Communications and Outreach Director monthly.
  • Collect data and assist with reporting as required by grant and funding agreements.
  • File or oversee correct filing of all volunteer paperwork.
  • Conduct background checks and screening as needed.
  • Update the volunteer manual, paperwork and forms as needed.

Reporting:

  • Evaluate the volunteer program and track volunteer retention and churn.
  • Develop EOM volunteer services, event and engagement report and statistics.
  • Oversee and as necessary execute any data-basing and reporting of all internal UWEC volunteer hours (Board Directors, Loaned Executives, Community Investment Panels, in-house ongoing and one-time opportunities, internships), partner coalitions, Third Party Events, impact initiatives and all community engagement programs.
  • Ensure appropriate tracking of volunteer hours based on month, department, person, focus areas, company, and volunteer classification. Prepare monthly reports to UWEC staff and board, and fiscal-calendar year reports to United Way Worldwide DB2 and UWEC Annual Report.

Special Event Duties

  • Working with the Communications and Outreach Director and Resource Director to staff events and ensure smooth functioning of the volunteer corps at these events.
  • Working events as needed.
  • Communicating outcome of volunteer follow-up/solicitation on events
  • Coordinating volunteer activities for auction events.

Qualifications:

Required:

  • Bachelor’s degree or the equivalent or three years proven track record or progressive work
  • Ability to work collaboratively with a wide range of people and personalities
  • Excellent organizational skills, verbal and written communication skills; detail oriented
  • Computer skills including Microsoft Office software
  • Success and enjoyment derived from problem solving within existing resources
  • Highly productive worker, who can do the work

Preferred:

  • Knowledge of Pensacola area business, education and social communities
  • Proven experience in a non-profit volunteer management

Other Qualifications:
Must pass all applicable background checks. Must possess a valid driver's license from the state in which you reside. Must be approved to drive for UWEC business.

Physical Demands: While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to stand; walk and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds.
