SUMMARY:

Under general supervision, responsible for providing all administrative, clerical and secretarial support necessary to achieve production objectives. These duties will include, but are not limited to, coding and distribution of invoices, processing invoices, coping, filing, answering the phone, ordering supplies and leases, inputting information into database/ spreadsheets (ie. TOW).

ESSENTIAL FUNCTIONS:

Regular and punctual attendance at work is an essential job function of each position and is necessary to your individual effectiveness and that of your work group. Regular and punctual attendance is required of all employees.

  1. Answer all telephone lines and give information to callers or route calls to appropriate employee and/or take messages when appropriate.

Std: Calls answered within 3 rings. All messages are correctly and promptly processed.

  1. Daily retrieval and appropriate distribution of mail. Coding and distribution of invoices, with ability to investigate and resolve overdue invoices.

Std: Invoices are processed and sent to the foreman within 3 days.

  1. Maintain multiple databases and spreadsheets on various activities and generate periodic reports. Input information into TOW system.

Std: Reports are prepared accurately on a timely basis.

  1. Maintain permanent files for information required for reference at a later date.

Std: Records are accurately kept and readily accessible.

  1. Order lease signs for assigned geographical areas as wells are completed or as requested.

Std: Order lease signs within 5 working days of request

Order lease signs within 15 days after first sales of a well.

  1. Perform interoffice activities such as: orders supplies and copies materials, as requested.

Std: No form or standard supply item is exhausted prior to its replacement.

Cost effective supplies are maintained.

  1. Completion and tracking of material transfers.
  1. Assist on projects and assignments not listed on job description, as requested.

QUALIFICATIONS AND EXPERIENCE:

Required Desired

  • High school diploma or equivalent
  • 5+ years administrative office experience
  • Excellent Computer Skills including MS Office (Word, Excel, Outlook) Internet and TOW
  • Ability to use office equipment: copier, fax, shredder, calculator, etc.
  • Good organizational and time management skills
  • Ability to handle multiple simultaneous tasks and follow-up on requests
  • Good telephone and vendor relations

  • Some college education
  • 3+ years of experience utilizing oil and gas production software
  • Prior Oil & Gas experience
  • Extensive knowledge of oil & gas terminology

JOB DIMENSIONS:

  • Frequently work alone in office when superintendent and other employees travel.
  • Busy office environment with occasional overtime.
  • Work usually requires remaining in a normal seated position for sustained periods.
  • Must be able to communicate clearly and concisely with industry professionals and departments within the company.
  • Must be able to work independently.
  • Daily telephone contact with superintendent, engineers and other company personnel
  • Perform interoffice activities such as: orders supplies and copies materials, as requested.
  • Assist on projects and assignments not listed on job description, as requested.
