Finance Manager

Job Description

Type of position: Full time, 35 hours with flexible working

Salary: £28k - £30k (depending on experience)

Main responsibilities

You will be overall responsible for the financial administration of the organisation, for charity governance and supervising office administrative matters.

Main tasks

Around 75% of your time will be spent on financial management, administration and reporting including:

· Using accounts package (currently Quickbooks) to record all financial transactions

· Invoicing and banking cheques from organisations or supporters.

· Monthly bank account, company Debit card and petty cash reconciliations

· Processing and reconciling all supporter donations including credit card and direct debit transactions.(Using Salesforce CRM).

· Responsible for setting up supporter Direct Debits and resolving donor queries.

· Monthly payroll turnaround to outsourced company (PSC) and HMRC returns and processing staff pension contributions.

·  Supervising an assistant administrator to ensure the office is adequately resourced, suppliers provide best value, and to ensure smooth running of the office.

·  Processing travel expenses and other expenses claims

· Preparing annual budgets and financial projections, in consultation with the CEO; preparing quarterly reconciliations of actual financial performance against the budget and cashflow for Trustee meetings.

· Prepare the statutory accounts and co-ordinate the audit and preparation of the Annual Report and Accounts.

· Assisting the CEO, other staff and external fundraiser with the preparation of fundraising applications, producing bespoke projections and budgets, as necessary.

· Responsibility for monitoring grant expenditure against budget, producing finance reports for funders and general grant administration.

25% the remaining time will be spent on company governance, risk management and compliance:

· Ensure compliance with ShareAction finance procedures (receipts, supplier payments, trustee and staff expenses etc.)

· Maintain register of Member Organisations and Trustees

· Maintain the finance policies and procedure manual ensuring it is kept up to date with legislation.

· Ensure the company is adequately insured in all necessary areas, and that insurance sums are reviewed annually.

· Ensure all required paperwork is filed with Companies House and with the Charities Commission as and when needed.

· Oversee production of annual report, both as required for legal compliance and as requested by members

· Ensure the company is compliant with data protection legislation

· Monitor ShareAction risk register in conjunction with CEO.

Person Specification

· Accounting qualification

· Fully conversant with accounting procedures, charity finance legal framework (SORP) and Charity Commission and HMRC statutory requirements

· Experience of administrating expense payments, Direct Debits and processing online banking transactions

· Highly IT literate with an emphasis on financial systems, spreadsheets, Quickbooks and CRM/databases.

· Ability to work with minimum supervision

· Strong office administration skills

· Track record of preparing budgets and reporting on performance to budget

· Knowledge of Gift Aid and PAYE

· Experience working with a Board and other senior stakeholders.

· Strong time-management, workload planning

· Highly organised with excellent attention to detail

· Exemplary verbal and written communication abilities

· Good interpersonal skills

· Self motivated and disciplined

· Trustworthiness and discretion when handling confidential information.

Further Details

Hours of work: 35hours per week.

Holidays: 25 days per annum (pro rata), plus the working days between Christmas Day and New Year’s Day, plus public holidays (pro rata).

Pension: 8% contribution from employer.

Accountability: Reporting to the Chief Executive

Supervising: An assistant administrator on 20 hours per week

Flexibility

This job description will be subject to change and development in response to the needs of the charity. It will be reviewed with you by your manager after 6 months and then annually, to ensure it is a true reflection of what is being done, or to incorporate changes when it is found to be inaccurate. You will be expected to participate fully in such discussions with a view to reaching agreement on any changes felt to be necessary. If agreement is not possible, ShareAction reserves the right to insist on changes to your job description in line with your grade / level in the organisation, after consultation with you.
