JOB TITLE:Receptionist – Sir Ben Ainslie Sports Centre

GRADE:AS08 (Truro School Support Staff Salary Scale)

ROLE OVERVIEW

The Receptionist will be directly responsible to the Duty Manager and will provide effective and efficient administrative andorganisational support toTruro School sports facilities.

KEY TASKS AND RESPONSIBILITIES

  • To control admissions to the sports facilities, ensuring that customers/pupils observe the procedures of the centre.
  • Operate the Management Software System, ensuring the daily programmes of activities are followed.
  • To undertake administrative and reception duties relating to programming, taking bookings and issuing tickets and receipts for cash handling.
  • Administrative support to the Sports Centre Manager, Customer Liaison Officer andDuty Managers.
  • Daily handling and reconciling of cash being processed through the sports facilities.
  • Responding to telephone and emails for sports facility enquiries and bookings.
  • Liaising with customers and regular hirers to ensure timely communication and passing of information
  • Assisting the Customer Liaison Manager with membership updates
  • Assisting the Customer Liaison Manageras EZ co-coordinator
  • Assisting with the administration and financial processing of various swimming activities
  • Any other duties appropriate to the grading of the post

PERSON SPECIFICATION

Essential

  • Demonstrable and successful work experience in a busy administrative role
  • Evidence of excellent administrative skills / techniques
  • Evidence of strong attention to detail and high standards
  • Proven ability to plan and work under own initiative, while organising own time effectively
  • A professional, calm, helpful and efficient manner
  • Evidence of good verbal and written communication skills (including proficiency in spelling, punctuation, grammar and other English language skills)
  • Proven ability to work to tight deadlines and changing priorities
  • Evidence of good interpersonal skills and ability to foster effective working relationships
  • Good working knowledge and experience of Microsoft Office software applications, particularly Excel spread-sheets, and Word
  • Willingness and ability to be flexible and work outside normal hours on occasions

Desirable

  • Experience of using databases, although training can be arranged
  • Proven experience in administration within a private sector business
  • A good understanding of key elements in event management

ADDITIONAL

  • The normal working hours will beMonday and Tuesday2.45pm to 10.00pm with a 30 minute unpaid break and Sunday 8.00am to 6.00pm with a one hour unpaid break. This equates to a 22.5 hours contracted working week.
  • This is an all year round role, ie,not term-time only.
