JOB SPECIFICATION – Transport Booking Officer

SALARY£17,500 p.a. – rising to £18,600 p.a.after successful 9 month probationary period

RESPONSIBLE TO: D.A.C.T. Operations Manager

HOLIDAYS22 working days plus public holidays + 3 Extra Statutory days, increasing to 27 days + 3 extra statutory days after 5 years (currently the leave period during Christmas & New Year is not included in the main annual leave allocation. This means that on an unofficial basis the annual leave is increased by 4 or 5 days each year)

PROBATIONARY 9 months, with a review at 3 months & 6 months

General Overview

We require someone who can use a computer to help run the Car and Minibus booking systems. Our main computer programme is Microsoft Access. Training can be given to operate this system and therefore a willingness to learn is vital.

Good general administration skills including word processing are required with the ability to prioritise workload.

As we are a small team, the post holder will be expected to gain an understanding of other team member duties and cover certain aspects of each other’s jobs when necessary.

This meets our aim for all DACT staff to gain transferable skills.

Must be bright, flexible and adaptable, and be able to cope with ever changing daily demands.

The post holder will be expected to gain knowledge of the Car Scheme booking system and Minibus booking system, becoming a full member of a three-person team. This will enable all three team members to interchange their roles creating a flexible working team.

The post holder will be expected to gain knowledge surrounding the booking and scheduling of minibus maintenance and resolving breakdown issues.

Good humour and a positive nature are important attributes, because dealing with the public is an important part of daily routine. Volunteer drivers are essential to the operation of DACT, so friendly interaction with drivers is an extremely important part of the role.

Key tasks:

1. To operate DACT’s transport booking systems for Car and Minibus including the booking out of volunteer drivers and issuing of paperwork.

2.To deal with incoming and outgoing phone calls to volunteer drivers and users of the service and to deal with the public face to face in the office.

3.To be involved in researching information and inputting it into the Trips Database.

  1. To photocopy, fax, collate and circulate documents as required, and to copy & file annual driver record checks as well as completing CRB

Application forms as required.

  1. To maintain expenditure records of all volunteer drivers and process expenses.

6.To be involved in other aspects of vehicle maintenance and breakdowns on the administration side, keeping records, Scheduling servicing and MOT’s and making phone calls to breakdown services and garages etc.

7.To send out monthly Affiliation renewal reminders to Groups.

8.To receive, process and distribute forms and messages as required.

9.To be responsible, in the absence of others, for the security of the office.

10. Respond to the public/volunteers and deal with their enquiries, understanding a customer-friendly approach.

11. Receive payments, issue receiptsand Invoice for services provided.

12.To give administrative support where necessary.

  3. Willing to undertake our Minibus MiDAS Drivers Course, which provides a nationally recognised 4-year certificate. This will assist the occasional movement of DACT minibuses (e.g. local servicing/repairs)
  4. Hands-on approach to helping resolve minor maintenance issues
