TRANSFERRING RECORDS FROM

UNICORN TO OCLC

NOTE: This approach to transferring bib records to OCLC assumes that you have completed your record in Unicorn. Authority records cannot currently be transferred from Unicorn to OCLC.

SEARCHING FOR RECORD IN SMARTPORT

NOTE: Indexes for SmartPort are updated nightly. Any new records or new data in existing records cannot be searched in SmarPort until the following day.

·  Using the instructions in the "Searching Using SmartPort's Z39.50 Protocol" document:

o  Connect the Unicorn Catalog Database

o  Search for the record(s) that you want transfer to OCLC

o  Be at the window display below:

·  You can use the Arrow icons in this window to scroll to an earlier or later record within the hit list

·  You can use the icon to "jump" to a specific record. When you click on this, you'll get a window similar to the one below:

You'll be asked to enter a number between 1 and the total number of

records in your list. (For example, there were a total of 22records in the

list for the above window. Entering "3" and clicking OK would display

the 3rd record.)

SAVING RECORDS TO A FILE

·  Once you have identified a record that you want to transfer to OCLC, click on the file in the View Records window

·  A window will appear asking you to verify the record selected:

·  The record number in the box corresponds to the number of the record in the Hit List

·  Click on "Raw" to save the record

·  This screen will then appear:

·  Specify "urecords.mrc" in the "File name" box

·  Click on "Open", which really means "Save"

NOTE: Because of the macro used in OCLC to finish the process, only one record can be saved at a time.

FINISHING THE PROCESS IN OCLC

·  Login to OCLC

·  Run the "MARC2OCLC" macro in the "UNICORN" macrobook. This will:

o  Transfer your new or edited bib or authority record to OCLC

o  The record will be displayed on the screen in OCLC for you to finish the contribution to OCLC

o  The "urecords.mrc" file will be deleted
