USING QUICKBOOKS PRO7 20011

QUICKBOOKS PRO7 2001

The following items indicate all the changes that need to be made to the text in order to use QuickBooks Pro7 2001 rather than QuickBooks Pro7 2000.

CHAPTER 1:

Page 7 The folder shown for the company files should not include 2000. An express installation of QuickBooks Pro 2001 will install the files into a QuickBooks Pro folder.

Page 8 the Title bar will show Larry’s Landscaping & Garden Supply as the name of the sample company.

Page 8 the QuickBooks Navigator has been changed to indicate a listing of navigators available in QuickBooks Pro 2001 and a list of Open Windows. The Reminders screen can be displayed as a separate window by clicking Company on the menu bar and clicking Reminders.

Page 11 Add information about a View menu. A View menu: is used to select the use of an open window list, icon bar, shortcut list, multiple windows, and to customize the desktop.

Page 13 When using the Express installation to install QuickBooks Pro, the desktop will include an icon bar below the menu bar. The icon bar is a group of buttons that can be used to give commands to the program. This feature may be turned off by clicking View on the menu bar and clicking Icon bar. If it does not appear, it may be turned on by repeating the same procedure.

Pages 13, 14, and 15 Make the changes to the following Keyboard Shortcuts:

General—Display information about QuickBooks Pro F2.

Help Window—Close Help window ESC.

Moving Around a Window—delete Toggle between form and navigation bar.

Close active window Esc or Ctrl+F4.

Page 16 Add Access the View menu: Alt+V. Change Vendor menu to Alt+O and change Employee menu to Alt+Y.

Page 20 Delete the information regarding Minimize and maximize/restore buttons. Add information for icons.

Send icon is used to Fax or E-mail invoices.

Spelling icon is used to check the spelling in a business document.

Page 24 Add RCPT as a type of transaction in the Checking account register. This is used to record a transaction using a Sales Receipt

Page 24 and 25 Your will click Report Finder in the Memorized Reports section of a QuickBooks Navigator. It is no longer a button at the top of the navigator.

CHAPTER 2:

Page 41 Depending on the installation, QuickBooks Pro may or may not display the Reminders Screen when a company is opened. If a Reminders Screen does not appear, click Company on the menu bar, click Reminders. In addition to a Reminders Screen, a Reminders Overview is shown on the Company Navigator.

Page 42 To access the Company Information screen, click Company on the menu bar, click Company Information.

Page 54 To remove the current date, time, and report basis from the report header, Click Modify Report, click the Header/Footer tab, click Date Prepared, Time Prepared, and Report Basis to deselect these options, click OK on the Modify Report Screen to return to the report. Follow this procedure whenever the instructions are to remove the current date for an individual report.

Page 57 When closing the Customer Balance Detail and Summary Reports, click No to any Memorize Reports dialog boxes. Follow this procedure whenever the Memorize Reports dialog box appears for a report.

Page 76 Replace the third way to access the Customer:Job List with: Click Cust icon on the Icon bar.

Page 83 Access the Chart of Accounts by clicking the Acct icon on the Icon bar.

Page 90 The original text errata sheet contains these changes. The errata is being provided in case one of the uncorrected copies of the text is used:

The transaction for Timothy Matthews in the Memo should be for an amount of $475.

The third line after DO should be AClick the Save & Close button...:

The first Customer Payment displayed should be for Jensen, Yamaguchi, etc.

The second Customer Payment displayed should include a Memo of Partial Payment.

Page 91 The memo for the Customer Payment by Williams Productions should be Partial Payment.

CHAPTER 3:

Page 123 To remove the current date, time, and report basis from the report heading, Click Modify Report, click the Header/Footer tab, click Date Prepared, Time Prepared, and Report Basis to deselect these options, click OK on the Modify Report Screen to return to the report. Follow this procedure whenever the instructions are to remove the current date for an individual report.

Page 124 When closing the reports, click No to any Memorize Reports dialog boxes. Follow this procedure whenever the Memorize Reports dialog box appears for a report.

Page 141 The Payment Date is now located in the lower-right portion of the Pay Bills window. At the very bottom of the page, apply the $5 credit received for the return of fax paper to Office Supplies Wholesale:

Click on the Office Supplies Wholesale bill for $45

Notice that there is a $5 credit

Click Set Credits

On the Discounts and Credits screen, click Done

Notice the Credits Used column indicates that the $5 credit has been used.

Page 153 If a Memo has not been provided on a check, QuickBooks Pro 2001 will insert the Vendor’s account number as the Memo.

Page 162 Delete the line that says “Click Tools on the Navigator bar” and the following line “Click Preferences.”

Page 163 After clicking the Format button, click the Header/Footer tab, click Date Prepared, Time Prepared,and Report Basis to deselect.

CHAPTER 4:

Page 224 The first time the User List is used, the Administrator must be identified. After clicking Set Up Users on the Company menu, click OK. This is the only time this must be done.

CHAPTER 5:

Page 255 Delete the section regarding Close Opening Messages.

Page 255 In the section for adding your name to the company name, Change Click File to Click Company on the menu bar. Delete the line regarding Click Company on the Navigator bar. Delete the words “on QuickBooks Navigator” in the third line.

Page 258 Delete the line “Use QuickBooks Navigator:..” Insert “Time Prepared and Report Basis” in the line Click Date Prepared to deselect

Pages 266, 267, and 268 When clicking Save and New or Save and Close, you may get a check spelling on form dialog box. This is an automatic spelling checker. If you want to ignore the fact that Snowboard is not in the QuickBooks dictionary, click Ignore or Ignore All. If you want to add the word Snowboard to the dictionary, click Add. If you choose Ignore or Ignore All, QuickBooks will never recognize Snowboard as a word. If you add the word to the dictionary, QuickBooks will no longer consider Snowboard as a misspelled word. Check with your instructor regarding whether or not to add Snowboard to the QuickBooks dictionary.

Page 280 The Credit Limit for a new customer is entered on the Payment Info tab.

Page 286 Change “Click the Additional Info tab” to Payment Info tab.

Page 289 Remove the bulleted line that says “Notice that Invoice No. 1 shows as VOID in the Memo column of Find.”

Page 290 When accessing the Customer Balance Detail report, point to Customers & Receivables on the Reports menu rather than Customer & Accounts Receivable.

Page 294 If you get a Memorize Report dialog box when closing the Open Invoices Report, click No.

Page 309 The Receive Payments screen now has fields to record a credit card number and an expiration date.

Page 322 Change the sentence beneath the screen shot of the Credit Memo to read “Once the Credit Memo is complete, click Check Refund at the top of the screen.”

Page 327 The Customer Center is accessed by clicking the Customer Center icon on the Customer Navigator or by clicking Customer Center on the Customer menu.

CHAPTER 6:

Page 348 There is no longer a Tools Navigator. There is an icon for Preferences on the Company Navigator.

Page 355 Click Expand All rather than Detail to display the items to be ordered on the Reminders List.

Page 363 The Bill Due date now appears beneath the Date.

Page 369 The Credit Amount appears before the Ref. No. on the Credit.

Page 370 The icon to use the credit card is Credit Card Charges.

Page 385 The Payment Date now appears at the bottom of the Pay Bills screen on the right side.

Page 385 The Pay Bills window has changed columns displaying information about the bills. They now include columns containing the discount amount and credits used. The columns appear in the following order: Date Due, Vendor, Ref. No., Disc. Date, Amount Due, Disc. Used, Credits Used, Amt. To Pay.

Page 385 There is no longer a Discount Info button. A new section called Discount and Credit Information for Highlighted Bill is on the screen. This area shows any discounts or credits available. To enter the discount, click the Set Discount button. If necessary, On the Discounts and Credits screen, enter the discount account of 4030 Purchases Discounts. Click Done rather than OK.

Page 386 You no longer see more than one transaction for Flying Snow, Inc. To enter the payment for Flying Snow, Inc., click the transaction for Flying Snow, Inc., click the Set Discount button, verify the discount information, click the Credit tab, click in the column next to the date to select the credit (this moves 50.00 from Credit Balance to Amt. To Use), click Done. The discount has been taken and appears as 7.40 in the Disc. Used column. The credit has been applied and appears as 50.00 in the Credits Used column. The Amt. To Pay column shows 312.60.

Page 390 To pay bills using a credit card, click the drop down list arrow next to Checking in the Payment Method section of the Pay Bills window. Click Credit Card. In the Payment Account section of the Pay Bills window, an Ending Balance for the Visa shows and is updated as bills are selected for payment.

Page 394 If the check for the sales tax payment does not print, go to the Write Check window, click Previous until you find the check to the State Board of Equalization and print as previously instructed. In earlier versions of QuickBooks, you could not access the check for sales tax payment once it had been created.

CHAPTER 7:

Page 440 To reconcile the credit card, click Reconcile on the Banking menu. When the Reconcile window appears, click the drop-down list arrow, click 2100 Visa as the account to be reconciled.

Page 445 Note: In QuickBooks Pro 2001, the heading of a report will show whether or not a report was prepared using Accrual or Cash basis.

Page 465:The Trial Balance in the original screen capture is incorrect. The total should be $90,061.30.

Page 467:The Balance Sheet in the original screen capture is incorrect. The total Liabilities & Equity should be $80,925.15.

CHAPTER 8:

Page 495 The annual amount for QuickBooks Pro Basic Payroll is $129.

Page 496 The monthly fee for QuickBooks Pro Deluxe Payroll Service starts at $32.

Page 496 When you open the company file for Barnes, you will get a screen containing an IMPORTANT PAYROLL NOTICE. Click Cancel.

Page 498 California has an Employment Training Tax that will not be used in this chapter. Since the company is in the state of California, you will get a wizard on the screen to create CA-Employment Training Tax, click Next. On the screen asking Does the CA-Employment Company rate in QuickBooks include the rate for CA-Employment Training Tax, click Yes, it includes the rate for CA-Employment Training Tax. Would you like QuickBooks to set up your affected employees for CA-Employment Training Tax, click No I prefer to do all set up and adjustments myself. To complete the wizard, click Next, click Leave.

Page 499 To select manual calculation of payroll taxes, click Learn more about Basic Payroll on the Payroll Setup screen. Scroll through the screen until you find I choose to manually calculate payroll taxes, click this line.

Page 507 When adding the new employee, there is a new field between Type and Hired. The field is Gender. To enter the information in this field, click the drop-down list arrow for Gender, click Female.

Page 528 There is no state tax identification number; therefore, the W-2’s cannot be reviewed. Click OK to this message. Since one W-2 has been displayed on the screen, it is not essential to view all of the other W-2’s in training. Click Cancel.

CHAPTER 9:

Page 547 The Company Info screen contains fields for telephone number, Fax number, e-mail, and Web site. Leave these blank.

Page 579 Preferences has 16 areas that may be customized and includes three new sections: Desktop View, Send Forms and Spelling.

Page 580 Add a section on Desktop View. The preferences listed for Desktop View allows you to select whether to view a single window or multiple windows, to show the Company Navigator when opening a company file, to save the desktop when closing the current company, to change the color scheme, and to change Windows settings for display and sounds.

Page 581 Delete the phrase “to indicate when to save the desktop” from the General Preferences section. This is now done in the Desktop View preference.

Page 582 Add a section for Send Forms preferences. These preferences change the default cover note for business forms you send by e-mail or fax. You can have one cover note for invoices, and if you have QuickBooks Pro, a separate one for estimates.

Page 582 Add a section for Spelling preferences. You can check the spelling in the Description, Memo, and Message fields of most sales forms invoices, estimates, sales receipts, credit memos, and purchase orders, and text fields on certain forms and lists. The Spell Checker does not have the broad functionality of other spell checkers you may have used. It is intended to help you quickly check the spelling of words in most fields in which text can be entered

Page 585 The credit limit is entered on the Payment Info tab instead of the Additional Info tab.

Page 587 Payroll items for salaries and hourly wages need to be added. Click Employees on the menu bar, click Payroll Item List, click No when asked for help setting up payroll in QuickBooks. (Note: the entire payroll set up could be completed using Set Up Payroll; however, it has not been used so text procedures could be followed as much as possible.) Click Payroll Item button at the bottom of the list, click New. Choose Easy Setup as the Setup method, click Next, click Continue. Click the following items to select: Salary, Sick Salary, Vacation Salary, Hourly Regular Wage, Overtime Hourly Wage, Sick Hourly Wage, Vacation Hourly Wage. Click Continue two times. Do not select any insurance benefits, click Continue. Do not select any retirement benefits, click Continue. Do not select any other payments and deductions, click Continue, click Finish.

Page 588 When accessing the Employee List, click No when asked if you would like help setting up payroll in QuickBooks. (Note: the entire payroll set up could be completed using Set Up Payroll; however, it has not been used so text procedures could be followed.)

Page 596 Change the Memo Item: Federal Withholding to apply to all payroll items but not pre-tax deductions.

Page 598 Memo should include the gender for each employee: Mark Canfield, Male; Carrie Bernstein, Female; Jimmy Hernandez, Male; Sally Richards, Female.

Page 600 On the Payroll Info tab, you should click in the Item Name column and click Salary.

Page 604 Click the Activities button on the Employee List, click Set Up Payroll. Note: the entire payroll set up could be completed using Set Up Payroll; however, it has not been used so text procedures could be followed. In order to set up year-to-date amounts, the Set Up Payroll wizard must be completed at this time. Do the following: Click Learn More About Basic Payroll, scroll through the information, click I choose to manually calculate my payroll taxes. On the Company Setup Tasks click Setup payroll taxes, click Done. Click Setup wages, tips, benefits and misc. payroll items, click Continue. Click Enter vendors for payroll liabilities, click Continue two times. Click Enter default payroll settings for new employees, click Continue, click Done. Click item 4 Setup employees, click Continue. Click item 5 Enter year-to-date amounts, click Set Up YTD Amounts.

Page 607 After entering the employee amounts for both quarters, click Finish, click Continue, click Done.

Page 616 Click the Fonts & Numbers tab to change the font size.

Page 617 Click the Header/Footer tab to change the header preferences. In addition to clicking Date Prepared to deselect, click Time Prepared and Report Basis to deselect these two preferences.
